8 SPECIAL EVENT CONTRACT RESERVATION DEPOSIT AND PAYMENT SCHEDULE Initial payment for this event is a deposit equal to $600 or 50% of the estimated final bill whichever is less. Please be aware that your requested date is confirmed when your deposit has been received at the club. Final payment is due at the time of service and may be made by personal check, MasterCard/Visa, or American Express. CANCELLATION POLICY Any cancellation made at least (60) sixty days prior to the event will incur no expenses. Cancellations made at least (30) thirty days prior to the event will result in a forfeiture of the initial deposit. If cancellation is made less than (7) seven calendar days prior to the event you will be responsible for a fee equal to one-half the estimated price of the menu, service staff, room charge, and equipment charge, based on the number of expected guests as noted at the top of this agreement. If cancellation is received less than (2) two working days prior to the event date, you will be responsible for the entire event cost. FINAL GUEST COUNT Your final guest count is due (7) seven business days prior to your event. Once given, you may not decrease your guest count. You may increase guest count up to (2) two working days prior. Menu and event quote is based on a minimum anticipated count of guests. This estimate will be used as a basis for purchasing, scheduling, and preparation. Therefore, should your count decrease below the minimum, we reserve the right to increase prices accordingly if necessary All conditions herein apply to the services and costs detailed on the final menu proposal. GUARANTEES/WARRANTIES Our product liability does not cover us for any food or related items not provided by The Capstone Club of Alabama. In the event that weather or natural disaster causes cancellation or disruption of your event, Capstone cannot be held responsible. In such cases, you will be charged actual expenses incurred and/or for items not used but required to be paid for.
