7 Terms & Condition Bookings Dove Nest Lodge shall have the right to require full payment in advance or a deposit at the time of booking in certain circumstances or if the Booking includes the supply of certain items or services. No Booking shall be treated as confirmed until the details and/or payment/deposit described in this paragraph have been provided. (Duly signed LPOs/LSOs must be submitted for corporate clients, full payment for personal events and weddings). The guaranteed attendance will be charged at the agreed delegate rate even if a lower number of persons attend the event unless the minimum guarantee is modified in writing by the client and accepted by Dove Nest Lodge in writing at least 48 hours in advance. Conference rooms shall be allocated and charged as per their minimum capacity. The final booking requirements are to be received 24hrs before the event. Check In / Check Out In the interests of security and to prevent fraud, at the time of check-in, guests are required to confirm their identity by providing their passport/identity card. All guests are required to fill in the reservation form. On the day of departure we kindly ask all guests to vacate their rooms by 10.00am (unless a later departure is stated as part of your Booking). Late check-out after this time can be requested subject to availability and will be charged at an hourly rate at the discretion of the hotel. No Smoking Guests are not permitted to smoke in rooms, conference halls or public areas but only at hotel designated areas. Children All children (a person under 12 years of age) staying at the Hotel must be accompanied by an adult and must be supervised by an adult at all times. Cots and extra beds are available but limited and subject to availability. Additional charges may apply. Please check at the time of booking. Guest Behaviour Guests are requested to conduct themselves appropriately at all times and to comply with hotel procedures and/or requests with regard to conduct and respect for the property of the hotel, its employees and guests and their health and safety. Guests are requested not to disrupt the comfort and enjoyment of other guests, the smooth running of the hotel, or cause offence to other guests or our members of staff. We reserve the right to refuse accommodation or services or remove you and members of your party from the hotel if, in our reasonable opinion, we consider this provision to have been breached. Where this is the case shall have no obligation to refund you for lost accommodation, other services or any other loss or expense incurred. Hotel Events Please be aware that at certain times throughout the year our hotel may host weddings, events and parties, which you may feel would be an intrusion on your break. Please contact the Hotel directly in advance of your stay for further information. Damage We reserve the right to charge you for any damage incurred to your room or the Hotel during your stay or for any items that are missing when you leave. Offer Validity In order for the guest rooms, cottages, conference halls, event venues and rates to be booked and guaranteed, please sign below and affix your company stamp within 48hrs. Bookings and rates will be subject to availability should the hotel not receive a signed copy. Payment Terms We require 75% upfront payment before the function with the remainder paid in full after the event commences. If your company has established credit with Dove Nest Lodge, a duly signed LPO/LSO should be provided at the booking point. All bills relating to the occasion mentioned shall be forwarded to the company and full payment is required immediately upon receipt of invoice. All outstanding charges must be paid for in full on checkout from the Hotel. If staying for multiple nights at the Hotel we may require you to make payment for any outstanding charges on a more frequent basis during your stay. Cancellation Policy 48 hours or less prior to the event 75% Cancellation Fee on anticipated loss (Not applicable on 24hr package). 7 days or less prior to the event 50% Cancellation Fee on anticipated loss. 14 days or less prior to the event 25% Cancellation Fee on anticipated loss. All cancellations will attract a handling charge of 10% on the amount paid. All prices quoted are inclusive of all Government taxes
