1 Thank you for your patience regarding the confirmation of your participation in the 2018 National Multicultural Festival. STALL ALLOCATION IS DONE WITHIN REGARD TO LOGISTICAL REQUIREMENTS. WE WILL NOT BE MAKING ANY CHANGES TO THE ALLOCATION. Please take a moment to read the following information to ensure that you are aware of all the compliance with all the technical and work safety requirements for your participation in the Festival. ACCESS Parking of stallholder vehicles on the festival site is strictly forbidden other than for unloading or loading equipment at the specified times during setup and pack up period. 2 Sections H Bunda Street Access from Petrie Plaza or Scotts Crossing H1 to H11 & H48 to H58 Information stall in Garema Place ( Front of the big Screen) H12 to H47 FURNITURE PICK UP POLICY Stallholder must pick up their stall furniture (1 Table and 2 Chairs) for 3X3 sites and (2 Tables and 4 chairs) for 6X3 sites from the designated pick up point and return it in the same condition they received it during the pack up time. Please Note Stallholders, must present their allocation letter in order to collect their furniture and without this proof will not be provided with any furniture. No additional Furniture will be provided. 2 or 3 days stall holders only have to return their furniture once, on the last day. SET UP AND PACK UP TIME (Bump in & Bump Out) Stallholders will have access to their stalls for set up / pack up, at the following times: MORNING SETUP FRIDAY 16 February 10.00am to 2.30pm (Trading commences 3 pm) SATURDAY 17 February 6.00AM to 10.00AM (Trading commences am) SUNDAY 18 February 6.00AM to 10.00AM (Trading commences 10.30am) EVENING PACK UP FRIDAY 16 February MIDNIGHT onwards (Trading closes midnight) SATURDAY 17 February MIDNIGHT onwards (Trading closes midnight) SUNDAY 18 February 6.00PM onwards (Trading closes 6.00pm) Stallholders are encouraged to have their stall open and staffed for the entire operating hours [each day applied for] of the Festival. APPROVED SALE OF LIQUOR HOURS Friday 16 February - 4pm to 10pm Saturday 17 February Midday to 10pm Sunday 18 February Midday to 5pm Please bring a trolley to move equipment and stock in and out of your stall. Please note that all vehicles, trolleys and waste must be removed from the Festival Footprint 30 minutes before trading is due to commence. 2
3 VEHICLES ACCESSING THE 2018 NMF FOOTPRINT FOR BUMP IN /BUMP OUT AND DELIVERIES All the vehicles accessing the 2018 National Multicultural Festival during the bump in and bump out period, including delivery and cool room trucks and Vans must attach a copy of their allocation letter to their front windscreen. Traffic controllers and Security Officers will not allow any vehicles accessing the 2018 footprint without the allocation letter. The maximum speed limit on the festival food print is 5km per hour and the hazard lights must be on at all time. COOLROOM SITES Stallholders who have booked and paid for a cool room will be listed in the list provided to the traffic controllers. The traffic controllers will refer to this list to allow. Cool rooms on the footprint will be connected to generators from 10 am on Friday 16 for the entire three (3) days. Please note: Cool rooms must be single phase with the maximum of 240W power; Cars must be moved out of the car park as soon as the cool room is delivered ; and No cars are to be parked with cool rooms.. STALLS Stalls will have a sign which will display the stall number. Please do not adjust the stalls or move weights. They are there to ensure the stall is safe for you. Look out for the Festival Volunteers who can direct you to your stall. Stall holders must only use the allocated space inside their marquee for storage and food preparation during the event. Please wipe down the table(s) & chair(s), and remove all rubbish and food left on site to the skips daily. Please ensure that the stall is left in a state that you would like to find it ACT HEALTH AND LIQUOR LICENSING ACT Health Protection Service Inspectors will be checking and monitoring ALL food stalls throughout the Festival. The Office of Regulatory Services will be checking and monitoring ALL Liquor stalls throughout the Festival [day & night]. WASTE - GRAY WATER AND OIL DISPOSAL The Festival has contracted a Waste Management Contractor Waste Away. Do not use the general garbage bins as these are for the general public. All Stallholders will be required to take and dispose of their waste from their stalls, to two (2) designated Waste Management area on the festival footprint including cardboard [which will be recycled] Food vendors at the Multicultural Festival Stalls will be provided with a 20 litre oil tin to dispose of cooking oils and this will be replaced each night. All Stalls using cooking oil, will be provided with a container every morning to dispose their oils in the designated areas on the footprint. 3
4 We have also have several Gray water disposal points on the 2018 footprint. Please do not use the storm water drainages. Gray Water Collection points: Riverside Lane- Ainslie Avenue Tocumwal Lane Petrie Plaza Garema Place - Laneway behind stall B30 Civic Square City walk Akuna Street end near stage 6 ELECTRICAL TESTING AND TAGGING Ensure that all electrical equipment has been tested and tagged BEFORE Friday 16 February. Check the Yellow Pages for a Testing and Tagging supplier. This is the stall holder s responsibility and all electrical items should be checked before use on the day. Affinity Electrical contractors will have a designated Test & Tag station located on the corner of London circuit & Ainslie Avenue. We will make this service available between 8am-10am Fri, Sat & Sun. Stall holders will need to bring their items to the contractor, they will not be walking all over the footprint tagging equipment. The cost will be $15/tag, cash only. Stallholders will receive a receipt. POWER SUPPLY We have allocated the number of points per site based on your stall applications. Changes and/or modifications cannot be made on the day of the Festival. Please bring extension cables (no less than 20 metres) to distribute the power within your site if needed. All equipment (leads, power leads and equipment) must be safety tagged as per Australian Safety Standard - AS3760). In case of power outages please notify your local Area Warden who will then relay the information to the Event Control Centre (ECC). Festival operation centre will respond accordingly. OVERNIGHT POWER All power will be turned off after midnight except for the Cool room area. WATER Stallholders can access water for cooking from the following locations: Garema Place Beside the big Screen City Walk Behind Stall E20 City Walk Behind Stall E35 Ainslie Place Beside the first aid Tent Civic Square Near assembly building Civic Square Theo Notaras Multicultural Centre 4
5 SECURITY OVERNIGHT The Festival organiser have arranged security personnel to patrol the festival footprint through the night. The festival organiser, take no responsibility for items stolen. Please do not leave any valuables in your tent. EVACUATION POINTS Primary Evacuation points during the Festival will be through to, and out from LONDON CIRCUIT. Secondary Evacuation points are Glebe Park and Bunda Street. VOLUNTEERS AND EMERGENCY SERVICES PERSONEL Over 160 people have given freely of their time to volunteer and to ensure the festival is a safe and entertaining event for all. Please treat volunteers with respect and feel free to offer them a taste or soft drink from your stall. They are also working very hard for you! 2018 Event Control Centre (ECC) The ECC is located in level 2 North Building (Entrance directly behind stall G8 and G9). All stallholders are required to report any electrical fault, safety concerns to the Area Wardens. The reception will be open throughout the event. SEE SOMETHING/ SAY SOMETHING If you see or hear something that you consider not normal, please report your concerns to the relevant Area Warden or Festival Volunteer.
