1 2018 Summer Concert Series Vendor Application Over the past 5 years, the City of Andover, KS has hosted a summer Concert in the Park. Because of its success, the City embarked on a project to construct a permanent amphitheater in Central Park. The Capitol Federal Amphitheater will celebrate the inaugural season of concerts in With a capacity of just over 10,000, it serves as the centerpiece of Central Park. For more information, contact Event Director, Katie Cork, at or kcork@andoverks.com. General Information We have space to accommodate approximately 15 food vendors at each concert. Preferred location assignments will be based on many factors, including previous participation and the date the application is received. A map of the vendor locations is included. Please note that preferred locations are not guaranteed. Vendors must submit a $100 deposit, payable by check, with the application to be considered for participation. If the vendor is not chosen to participate, the $100 will be returned Concerts Food vendors may choose to participate at individual concerts or the entire summer season. Only one application is required to participate in multiple concerts. Preference will be given to vendors who sign up for multiple concerts. Gates will open two (2) hours prior to the concert and vendors will be permitted to sell through the end of the concert. The concert dates are as follows: May 26 Ticketed Country Music Concert; Application Due: March 30 June 16 Free Blues Concert; Application Due: May 4 July 21 Ticketed Country Music Concert; Application Due: June 15 August 11 Free Folk Rock/Contemporary Concert; Application Due: July 6 This year, we are including an option to participate in the National Fireworks Association Convention. The National Fireworks Association Convention will be held in Wichita, KS, September The City of Andover is partnering with the City of Wichita to host the shoot site for nightly fireworks. There are a few options for vendors to participate during the convention. Vendors who participate for the entire concert season may participate in one of the shoot night events Monday Thursday at no additional cost. Please indicate your preference on the application. Since these events will be much smaller, the City of Andover only has space for 1-2 vendors each night. On Friday, September 14, the convention will end with a public display of fireworks. This event is expected to draw thousands of attendees, much like the summer concerts. All vendors are welcome to participate in this event along with the concerts. Pricing is the same as a summer concert. However, vendor spots will be limited. To be considered a season vendor, vendors must indicate interest in participation for the 4 summer concerts, but are not required to participate in the September 14 event. Fees & Services Upon acceptance as a vendor, the City of Andover will invoice the vendor for the remaining fees. Fees are based on space and power needs for each vendor. Sales generated at the event will go directly to
2 each vendor. The City of Andover will not provide napkins, utensils or any other materials for each vendor. Vendor spaces measure 10 x20 (WxD) and are available for $200. Vendors needing more than 10 of space will be required to rent multiple spaces. Partial spaces are not available at this time. Trucks or trailers must fit in the allotted space. Remember to include the total dimensions of the truck/trailer on the application (including all attachments). The Capitol Federal Amphitheater has twenty-two (22) 110 V/20 Amp outlets and six (6) 220 V/50 Amp outlets. Power is charged at $50 for each outlet required. Please note that the limited number of 220 V/50 Amp outlets. These will sell out fast and priority will be given based on application submission dates. Ice is available for $6 per 20lb bag. Water is included free of charge. Vendor is responsible for the cleanliness of the rented space(s). It is expected that the space(s) will be left in the same condition upon conclusion of the event. Vendors selling items processed with grease must cover the susceptible areas. Full payment must be received 30 days prior to the event. Checks should be made payable to City of Andover and mailed to PO Box 295, Andover, KS Deposits for accepted vendors are nonrefundable and refunds for cancellations made less than 30 days prior to the event will not be given. Insurance/Licenses The City of Andover requires all food vendors to have $1,000,000 of liability insurance and must name the City of Andover as additional insured. Certificates of Insurance must be provided to the City prior to or with the final payment. All vendors must meet minimum requirements of the Butler County Health Department. Vendors must have an up-to-date license displayed in a visible place during operation. Other Information Specific information for each event (set up times, parking, etc.) will be provided no later than 2 weeks prior to each event. Vendors are required to collect and pay applicable sales tax. All federal, state and local laws governing retail sales tax must be followed. Vendors must adhere to all city and state laws. The City reserves the right to refuse vendors for each event for any reason. Upon acceptance, vendors will be required to sign a participation agreement that will outline policies and guidelines. Vendors will only be permitted to sell what is listed on the menu on this application. Water and nonalcoholic beverages are permitted; however, the sale of alcoholic beverages at your truck or booth is strictly prohibited. Glass containers are not allowed at Capitol Federal Amphitheater. The vendor and all participants shall indemnify, keep and save harmless Capitol Federal Amphitheater, the Convention and Visitors Bureau, and the City of Andover, their agents, representatives, members, officials, and employees from any and all liability caused by injury or other circumstances resulting from participating as a vendor. Spaces assigned to the vendor are public and cannot be considered exclusive by the user. The vendor is responsible for any damage done to setup location.
