2 Catering Policies & Procedures Revised and Updated January 2009 Guarantee: A minimum guarantee of attendance must be received before 12:00 noon, three business days prior to the event. (Thursday for Monday events). This is the minimum number for which you will be charged unless otherwise specified in your letter of agreement. The Hotel will provide seating and food for 3% above the designated guarantee count. The guarantee listed on the banquet event order will apply if not revised two business days prior to the event. No reductions in the guarantee will be accepted less than three business days prior to the event. Taxes/Pricing: All Federal, State, Municipal taxes are applicable and will be assessed to all goods and services (including service charges) unless a tax-exempt certificate is produced prior to the event. Service Charge: All food and beverages are subject to a 21% service charge. Labor Charge: A labor charge of $50.00 will be added to any meal function when less than 25 guests are guaranteed. Payment: Full payment shall be made prior to each function unless direct billing has been pre-approved by the Hotel s accounting Department. Authorized Signature: The function sponsor agrees that by signing the guest check for service, food, beverages, rentals, audio visual equipment, phone lines, labor and any other miscellaneous charges, the function sponsor is acknowledging the fact there is no dispute over such charges and is solely responsible for the payment of the total amount due. Function Rooms: Function room(s) are assigned according to the client s original specifications. The Hotel, if necessary reserves the right to reassign function room(s), in which case, every effort will be made to provide our client s with advance notification. Upon function date, any change in room set-up, which differs from the original banquet event order, is subject to an additional labor fee. Function Room Liability: The Hotel reserves the right to inspect and control all private functions. Liability for damages to the premises will be charged to the representative making the arrangements at actual repair or replacement costs. Please note the following: Tape, nails, push pins or potential damaging fasteners MAY NOT be use to hang signs or other materials on the walls in the Hotel. No posters or signs may be located in the Hotel lobby without prior permission from the Hotel General Manager. Banners may be hung with approval and coordination through the Catering Department. The Hotel will not assume any responsibility for the damage/loss of any property left in the Hotel before/during/or after the function. Audio Visual Equipment: The Hotel has its own contracted Audio Visual Company. All special equipment and services can be arranged through our Catering Department. Guests will be responsible for all rental charges, labor charges, and taxes incurred. Engineering Services: Should meetings require extra lighting, electrical requirements, or Engineering assistance, this information must be provided 7 days in advance. Depending on the extent of the arrangements and additional labor or equipment needed, additional charges may be assessed. Subcontractors: The Catering Department will be happy to refer florists, decorators, musicians, and photographers. All subcontractors must abide by Hotel policies as established by the Park Cities Hilton. American Disabilities Act: As required by the American Disabilities Act, our primary meeting facilities are accessible by persons with disabilities. Cancellation: Function cancellations made business days prior to an event will result in cancellation damages of 50 % of anticipated revenue. Function cancellations made within 30 business days before an event will result in cancellation damages of 100% of the anticipated revenue. The hotel will exert every effort to resell the space. If we are able to book an event at a revenue equivalent to the canceled function, the cancellation damages will be waived. Payment is due within 30 days of receipt of invoice. Pg #2

50 Selecting Beverage Service for Your Event Imagine as your guests arrive, our white-gloved servers are prepared to pass elegant flutes of champagne, offer cocktails from a full bar menu or perhaps, we may design a theme cocktail station to enhance your event! Beverage service with an imaginative twist. We offer three distinct payment methods to complement the event and allow the host to coordinate their budget. Hourly Bar Service: The preferred option for many of our Corporate Guests. The beverage service is charged as an hourly rate per guest, based on guaranteed attendance. Guests select the level of product to be served at the standard hourly rate. The host can budget the exact amount for their beverage service charges. A bartender fee of $75.00 applies to each bar for this service. Sponsored Bar Service: Social Events and Corporate Events with varying attendance enjoy the flexibility of being charged for the drinks consumed by their guests. Similar to running a tab, each drink served is added to the host s master account. Clients select the types of product to be offered and are charged according to their guest s consumption. We can only offer estimates of the final charges, based upon similar types of events. The actual consumption may be lower or higher than the average. A bartender fee of $75.00 applies to each bar for this service. No-Host Bar Service: The Event Planner will contract to have a bar available to their guests and each person is responsible for the payment for their own beverages. If per bar sales are higher than $400. There is no charge to the host, should sales fall below this threshold, the host is required to pay fee of $100. All No-Host bars require a cashier at $75.00 per cashier. Products offered are determined by the hotel at the same prices as our other outlets. Club Membership Information The Park Cities Hilton is located in a dry area and therefore each guest will have to present a valid form of identification prior to purchasing liquor. After proper verification the guest will be issued a membership identification card, which will offer the guest to purchase liquor. If the liquor service is sponsored the host will be the only one issued a membership card. This host then assumes responsibility for all guests being served liquor. The Hotel will fully comply with all State and Municipal laws as they pertain to the consumption of alcoholic beverages. Pg #50
