7 SANDMAN SIGNATURE LONDON GATWICK HOTEL CHRISTMAS & NEW YEAR S EVE TERMS & CONDITIONS 3;;4;;3 1. To confirm your booking, a non-refundable and non-transferable deposit of per person is required within 10 days of a provisional booking being made. The Hotel reserves the right to cancel a provisional booking if the deposit is not paid within this time. 2. For bookings taken after 1st November, full payment will be required at the time of booking. 3. Cheques should be made payable to Sandman Hotel Group UK Limited. Multiple cheques are not accepted. Cheques to be received a minimum of five (5) weeks prior to the event addressed to: Christmas Team, Sandman Signature London Gatwick Hotel, Tinsley Lane South, Crawley, West Sussex RH10 8XH. 4. The final balance is required a minimum of four (4) weeks prior to the event, is non-refundable, and is non-transferable in the event of cancellation. 5. Cancellations of a party or individual guests (including cancellation due to adverse weather conditions) will result in deposits being forfeited. 6. To ensure an enjoyable atmosphere for all, Sandman Signature London Gatwick Hotel reserves the right to transfer bookings to alternative dates if minimum numbers are not achieved for any event. Two (2) weeks notice will be given if this is foreseen and a full refund will be provided if alternative dates are unsuitable. The Hotel s liability for cancellations is limited to a full refund of payments received. 7. All menu choices are due two (2) weeks prior to the event. Any special dietary requirements must be made known to the Hotel at least two (2) weeks prior to the event date. 8. Pre-ordered drink packages are non-amendable and non-refundable. 9. The minimum age for attending Christmas Party nights and New Year s Eve at the Hotel is 16 years. 10. Should any damage occur to the Hotel or Hotel property during the event, a charge will be imposed to cover the cost of such damage. 11. Guests are not permitted to bring their own alcohol to consume on the premises. We may operate a bag search policy; any alcohol found will be confiscated. 12. Special guest room prices only available on selected party dates between November to January and are not available on 31st December. 13. Parties allocated in a private room will be away from the main party room for the dinner but can join the disco afterwards. We cannot guarantee seating in the main party room during the disco. 14. All room and table plans are at the discretion of the Hotel; however, no individual name cards will be produced. The Hotel will attempt to accommodate any special seating requests. These cannot be guaranteed as overall party sizes will determine final table arrangements.
