7 Booking Terms & Conditions Party Booking Form Christmas Events Including: Christmas Lunches, Join a Party, Breakfast with Santa, Lunch with Santa, New Year s Eve Ball 1.Deposits and Booking Form To confirm your booking, please complete our booking form and return within 7 days, enclosing a 10 per person deposit which is nonrefundable and non-transferable. If a deposit and signed booking form is not received within this time, your booking will automatically release. completed booking forms to events@doubletreehull.com. If you would like to make a deposit payment via the phone, please call Once a signed booking form has been received you will be contractually obliged to make the deposit payment for the number of guests specified, within 7 days. Any booking forms being returned by post, please send them to: DoubleTree by Hilton Hull, FAO Events Team 24 Ferensway, Kingston Upon Hull, HU2 8NH Breakfast with Santa and Lunch with Santa require payment in full at the time of booking. All payments are non-transferable and non-refundable. 2.Payments Full payment for all provisional bookings is required by Wednesday 3rd October, this is non-refundable and non-transferable. If full payment is not made by this date the booking will be considered as cancelled and the cancellation policy, point 3, will apply. Any bookings made after 3rd October must be paid in full at the time of booking by card or BACS, within 7 days of initial booking. In order for us to provide the best possible food service, details of your dietary requirements need to be given to us by Friday 5th October. Any promotional drinks pre-orders must be submitted and paid for by Friday 16th November. Any further changes to your booking made after this point may incur a 15 admin charge. 3.Cancellations If you cancel your confirmed booking under any circumstances any deposit/full payment will be retained by the hotel as a cancellation charge. Cancellation charges cannot be offset against other items or services provided by the hotel. We reserve the right to cancel any 12 Bookings events@doubletreehull.com events or reservations if the hotel is unable to go ahead with the function due to circumstances beyond our control (e.g. fire, food, bad weather, building works or low number of guests etc). In such circumstances, we shall endeavour to provide an alternative date or refund any payments in full but will not be under any obligation to provide you with any further compensation. The hotel reserves the right to amend any menus, packages, etc. as detailed in this brochure and provide a suitable alternative if items or services are unavailable to the hotel. 4.Conditions No food or drinks are to be brought into the hotel for consumption. The management reserve the right to refuse admission. Please do not bring with you or organise anything that may offend other guests. We cannot guarantee seating plans at shared parties, and smaller parties may have to join others to meet the capacity of the room. All prices quoted in this brochure are inclusive of VAT at 20% and correct at the time of going to print. Any increase in the rate of VAT will be added to your final bill. All bookings are subject to availability and table shapes and sizes cannot be guaranteed, however we will do our best to accommodate any requests. All Christmas parties must be arranged through one party organiser and this person will become the main point of contact for all details, amendments and payments that take place for the booking. 5.FAQs We will do our upmost to cater for all dietary requirements and allergies, this information is required by Friday 5th October. Children under 18 years are not permitted to attend party nights.
