1 35 th Annual North Carolina Oyster Festival Food Vendor Application Brought to you by: BRUNSWICK COUNTY CHAMBER OF COMMERCE PO BOX 1185 SHALLOTTE, NC (910) PLACE: DATE & TIME: SET-UP: ELIGIBILITY: ENTRIES-FEES: ELECTRICITY: SALES: REQUIREMENTS: Ocean Isle Beach, between the Museum of Coastal Carolina and Causeway Drive. SATURDAY, OCTOBER 17, :00 AM to 6:00 PM SUNDAY, OCTOBER 18, :00 AM to 5:00 PM Exhibitors may check-in at the festival area on Friday, October 16 between 10:00am to 7:00pm (ALL CARS & PEOPLE must be off festival grounds at 7pm; gates will be closed and locked promptly at 7pm on Friday, October 16 th ). There will be no exceptions for entering before or after the designated time. Festival grounds will re-open on Saturday, October 19 th at 6am for set-up to resume. Booths will be set-up on grass and dirt ground, please plan accordingly (bring something to secure your tent). Booth setup must be complete and ready for viewing on Saturday morning at 8:00 am. ALL VEHICLES MUST BE OUT OF FESTIVAL GROUNDS AT 8:00am on Saturday and Sunday and cannot re-enter site after show closing until the site is clear of festival attendees. The Brunswick County Chamber of Commerce is not responsible for lost or damaged items. Police will monitor the Festival grounds Friday and Saturday night. The Oyster Festival committee reserves the right to deny any application for any reason. COMPLETED APPLICATIONS WILL BE REVIEWED UPON RECEIPT. SPACE IS LIMITED. RETURN CHECK FEE IS $35. Once application and payment has been submitted, there will be no refunds. COMMERCIAL FOOD VENDORS: $625 ($525 for Chamber Members) SNACK FOOD VENDORS: $350 ($300 for Chamber Members) PRE-PACKAGED FOOD VENDORS: $200 ($175 for Chamber Members) ABILITY TO SELL DRINKS (ALCOHOL PROHIBITED): $175 Vendors must list all electrical connections on application. *Extra fees may apply for extraordinary needs. 120 volt 20 amp circuit $ volt 30 amp circuit $ volt 50 amp circuit $150 Participants will handle their own sales and be responsible for collecting and turning in NC sales tax where applicable. Participants are responsible for reading the sales tax notice from the N.C. Department (not provided). ALL FOOD VENDORS MUST prominently display MENU ITEMS AND PRICES including only the food items that are approved by the Oyster Festival committee to sell. Food Vendors are responsible for obtaining all necessary Health Department permits from the Brunswick County Health Department ( ). The Health Department will be onsite Saturday, Oct 17 th at 8am for inspections. The exhibitor will be responsible for tent, tables, chairs, props, drop cords, etc. and for keeping his booth manned during show hours. Be sure your booth is attractive from all sides and will not distract from your neighbor s display. There will be no duplications accepted for main food items. VENDORS ARE RESPONSIBLE FOR COMPLIANCE OF THE NC FIRE PREVENTION CODE. IF YOU HAVE ANY QUESTIONS, PLEASE CONTACT CHUCK RASH AT
2 WEATHER: ATMOSPHERE: APPROVAL: The show will not be canceled because of rain. Since this is an outdoor show, you must be prepared for weather changes. The cost of the event will prohibit us from making refunds. Closings due to weather will be decided by the Chamber Staff, Oyster Festival Committee or Brunswick County Emergency Management. This is a family oriented show for spectators of all ages. Exhibits must be in accordance with this atmosphere. Festival officials will patrol the show at intervals to ensure that all exhibitors are in compliance with the rules. Your approval letter will be ED to you (please make sure that you give a valid address on your application). Please check your s often, as this is the main form of communication between the Brunswick County Chamber of Commerce and vendors. Approvals can take up to 4 weeks. You will be notified immediately upon approval or denial. The committee strongly suggests that you get your application in early so that you will have plenty of time to prepare for the festival. Vendor packets will be available at Vendor Check-in on Friday, October 17 th. You will get your assigned space in your vendor packet. Vendor booth assignments will not be given out before check-in. Please note that we do not accept vendor s requests for certain space numbers. Many vendors requests the same spaces and we would like to make it as fair as possible. Past vendors are not guaranteed the same space they have had in the past. Only paid corner requests will be given corners. If a food is not approved the vendor agrees that he/she will not include the item on the menu. Failure to follow rules will result in exclusion from future festivals. 5 1. Show hours for ALL Vendors: Saturday 9:00 AM to 6:00 PM Sunday 10:00 AM to 5:00 PM RULES Each exhibitor must maintain a display of his or her work for show hours of the festival. Any one failing to do so will not be able to exhibit at future shows. It is permissible to leave your display in the hands of an associate if you are unable to be present at all times. 2. All vehicles and people must be off festival grounds no later than 7:00 PM Friday and 1 hour prior to the start of the show on Saturday and Sunday. Vehicles will not be permitted in the show area during show hours. Please unload/load your items in a prompt manner and remove your vehicle as soon as possible so that others can unload/load. 3. Per the 1996 National Electric Code (NEC), all temporary wiring installations shall be provided with ground-fault circuit interrupters (GFCI.) This means that all available receptacles at the festival will be GFCI protected. Please test your equipment before arriving at the festival, as no exceptions will be made. All vendor wiring, including drop cords, should be checked for proper polarity and continuity of ground conductors. If an electrician is called out due to power not working and the end result is due to your equipment failure, you will be charged. 4. There will be absolutely no smoking on festival grounds. 5. No Pets allowed. 6. Exhibitors are prohibited from setting up displays and or soliciting their product outside of the purchased booth space. No products may be set outside of the designated booth space or solicited outside of the designated booth space. 7. Food Vendors MUST submit a Temporary Food Establishment (TFE) Permit to The Brunswick County Health Department. They can be contacted at Food Vendors are RESPONSIBLE for obtaining the current TFE, completing the form and sending in the correct amount of money by August 14, If this is not done in a timely manner, you will not be able to participate in the festival (NO EXCEPTIONS)! 8. VENDORS ARE RESPONSIBLE FOR COMPLIANCE OF THE NC FIRE PREVENTION CODE.
