2 FIELD TRIP LUNCHES DISTRICT PROVIDED TRANSPORTATION All field trip lunches must be picked up at the Nutrition Center, if district-provided bus transportation is being used. The cafeteria supervisor does not prepare these lunches and does not have refrigeration space to store the meal. Remember to also call the Transportation Branch to book your trip. You must complete a Field Trip Request form. This form is ordered through the stock catalog by using stock number S Field trip lunches are to be ordered by the teacher on a Request for Field Trip Lunches form (BD-919). Please see page 2.17 of the ABCs of Your Child Nutrition Program. The order must be placed two (2) weeks prior to the date of the trip. The completed form must be given to the cafeteria supervisor at least two (2) weeks prior to the trip, who will forward the information on to the Nutrition Center. If a student requires special dietary accommodations, the teacher will complete the Special Dietary Accommodations section on the Request For Field Trip Lunches form. The student s lunch will be labeled with his/her name and the teacher will need to ensure that the student receives the special meal when distributing meals. The cafeteria supervisor will inform the Production Center if any student requires a special meal. The Production Center will obtain meal instructions from a Child Nutrition Specialist or Administrative Dietitian to accommodate special meal requests. In order to make the accommodation, the student must have a completed medical statement on file with Nutrition Services. The site cafeteria supervisor must have a complete roster of students participating in the field trip and receiving district-provided lunches. You may want to use Meal Participant Roster form (FS-118) if a classroom roster is not available. Please see page 2.18 of the ABCs of Your Child Nutrition Program A completed list will be given to the teacher before the field trip. Two days before the field trip, the cafeteria supervisor will call the classroom and confirm the lunch count with the teacher. A designated adult must be responsible for checking off the names as students receive their lunches. The roster must be signed by the adult and returned to the cafeteria at the conclusion of the field trip function. THE TEACHER DOES NOT HAVE TO COLLECT MONEY. ANY STUDENT WHO IS IN A PAID STATUS WILL HAVE THEIR MEAL CHARGED TO THEIR CAFETERIA ACCOUNT. Please remember that we do not want to overtly identify the free or reduced price student. Paid students may request a field trip lunch. The students eligible for free or reduced price meals should not be singled out as the only students eligible to participate. For your convenience, we have prepared a form Student Field Trip Lunch Request FS 253 to help determine how many students will need a field trip lunch. Please see page 2.19 of the ABCs of Your Child Nutrition Program. ALL ADULT LUNCHES MUST BE PURCHASED. NUTRITION SERVICES CANNOT PROVIDE MEALS AT NO COST TO ADULT CHAPERONS, TEACHERS, OR BUS DRIVERS. PER BOARD APPROVED MEAL PRICING, EACH SCHOOL SITE WILL BE INVOICED FOR MEALS DELIVERED AND NOT SERVED TO A STUDENT. ONLY STUDENT MEALS ARE SUBSIDIZED BY THE UNITED STATES DEPARTMENT OF AGRICULTURE. 3 FIELD TRIP LUNCHES CITY BUS OR WALKING TRIP City Bus or Walking Field trip lunches are to be ordered by the teacher on the Request for Field Trip Lunches form (BD-919). Please see page 2.17 of the ABCs of Your Child Nutrition Program. The completed form must be given to the cafeteria supervisor at least two (2) weeks prior to the trip, who will forward the order on to the Nutrition Center. Two days prior to the trip, the cafeteria supervisor will call the classroom and confirm the lunch count with the teacher and update the Nutrition Center with any meal count changes. If a student requires special dietary accommodations, the teacher will complete the Special Dietary Accommodations section on the Request For Field Trip Lunches form. The student s lunch will be labeled with his/her name and the teacher will need to ensure that the student receives the special meal when distributing meals. The cafeteria supervisor will inform the Production Center if a student requires a special meal. The Production Center will obtain meal instructions from a Child Nutrition Specialist or Administrative Dietitian to accommodate special meal requests. Nutrition Center personnel will prepare all the meal components for the lunches. The lunches will be delivered to the school site cafeteria by a Nutrition Services Branch driver. Lunches must be kept in a refrigerator or a Styrofoam cooler until mealtime. Let the cafeteria supervisor know if a Styrofoam cooler is needed. The site supervisor will contact the manager responsible for the school, to order a Styrofoam cooler if one is needed. Please review the Food Safety Tips for City Bus or Walking Field Trip Lunches on page 2.20 of ABCs of Your Child Nutrition Program. For food safety purposes, meals must be packed in ice and kept in Styrofoam coolers until the lunches are eaten. Please remember that we do not want to overtly identify the free or reduced price student. Paid students may request a field trip lunch. This form must be signed by a student s parent/guardian prior to ordering a lunch for their student. This form can be obtained from your Nutrition Services Supervisor or the LBUSD Nutrition Services website. 2. Complete this form and turn it in to your school site s Nutrition Services Supervisor at least two weeks prior to the field trip. The Nutrition Services Supervisor will call in your field trip lunch order and forward this form to the Nutrition Center. 3. For district and charter bus field trips only, instruct Transportation to pick up lunches from the Nutrition Center prior to the field trip. Lunches cannot be delivered to the school, they must be picked up. 4. Give the Nutrition Services Supervisor payment for any adult meals no later than noon two days prior to the trip. Students will pay for their own meals in the cafeteria. If you need to change the number of field trip lunches, contact your school site s Nutrition Services Supervisor at least 2 days prior to the field trip to see if an accommodation can be made. 5. The Nutrition Services Supervisor will confirm the order for lunches with the Nutrition Center by phone two days before the field trip. 6. Use an approved roster for claiming field trip meals. The Nutrition Services Supervisor can provide you with a FS-118 or FS-262a form, specifically designed for this purpose. Please sign, date and return the roster to the Nutrition Services Supervisor when you return from the field trip. 7. To ensure that food is kept safe on district, charter and Getty bus field trips, all lunches must stay in Styrofoam coolers with ice until they are served. For city bus or walking field trips, lunches are shelf stable and do not need to be kept in a Styrofoam cooler with ice. ABC Child Nutrition Handbook 2.17 BD-919 Rev. 02/2016

7 FOOD SAFETY TIPS FOR FIELD TRIP LUNCHES For the safety of your students, please keep the following tips in mind: Some foods need to stay cold to keep bacteria from multiplying and making students sick. To ensure our students safety, sack lunches are sent in insulated coolers. These foods include: Meat and poultry sandwiches or salads Milk, yogurt or cheese (except cheese that is individually packaged, such as the individual portions of American cheese or string cheese) Opened cans of fruits or puddings Cut fruits These foods are generally safe at room temperature and don t need to be kept cold: Peanut butter and jelly sandwiches Cookies Crackers Commercially dried fruit Unopened cans of fruit or whole fruit Fruit-filled pastries ABC Child Nutrition Program /2014
