2 CELEBRATE ON THE WATER VENUE Our award-winning clubhouse offers an elegant use of distinctly nautical forms imagine a design that captures the feeling of a cruise ship on the water. Its modern decor complements any style of event. Our stunning spiral staircase is the perfect backdrop for guests entrance. An expansive patio with sweeping views of the marina and floor-to-ceiling windows open to provide the perfect backdrop to any event. CATERING Our Catering department will help guide you in making menu and beverage choices, selecting a floor plan and create an environment for your family and guests to celebrate. We offer a high level of service so that you can relax and not worry about the small details. PACKAGE DETAILS Included in your package are tables and chairs, white linens, china, flatware and stemware. Additional services available include in-house A/V, a portable bar, patio heaters and cocktail tables. MENU Food is a centerpiece of any great celebration. We pride ourselves on the use of fresh local produce as well as sourcing the highest quality ingredients. Let us pair your meal with the finest Okanagan wines. Our dining packages include buffet, plated and cocktail receptions or let us customize a unique menu to suit your desires.

3 WELCOME We are pleased you are considering the Kelowna Yacht Club for your event venue. We have one of the best locations in Kelowna to host your corporate meeting, family gathering, wedding or any number of other events. We have the capacity to host events from just a few to as many as 150 depending on the style of event and time of year. The following is an idea of the configurations we can provide in our various rooms. ROOMS CAPACITIES & SIZES * Capacities are dependant on event requirements. This classroom style room is located on the main floor with direct access from outside. A great place for a training day or informal gathering. The banquet rooms are located on the upper level with a fantastic view of the marina. The glass doors can be opened to provide open air extension to the patio (weather permitting). There is a removable wall which divides the room into two areas; combined it is the Grand Banquet room. The capacity varies depending on the set up of the rooms. There are many options from stand up reception to full dining with a dance floor. Please consult with the Catering and Banquet Manager for details. PATIO Weather permitting, increased capacity can be attained by seating guests on the patio with the glass walls fully retracted.

5 TERMS AND CONDITIONS GENERAL INFORMATION Kelowna Yacht Club Hospitality Inc. does not permit the Club s image or logo to be used in public advertising or announcements, such as radio, newspapers, flyers, posters, etc without the express consent of the Communications department. Failure to observe this policy may result in cancellation of your event. Kelowna Yacht Club is a non-smoking facility and smoking is not permitted within 12 metres of the Clubhouse property. SOCAN Fees: All live or taped entertainment/music is subject to SOCAN (Society of Composers Author and Music Publishers of Canada) fees and charged at $29.56 plus 7% PST and 5% GST (without dancing) or $59.17 plus 7% PST and 5%GST (with dancing). Re-Sound fees may also apply to events with DJs and recorded music. Taxes: The taxes outlined below apply and are subject to change without notice. Alcoholic Beverages Meeting Rooms Goods and Services Tax (GST) 5% Goods and Services Tax (GST) 5% Liquor Tax 10% Gratuity 18% Food/Non-Alcoholic Beverages Goods and Services Tax (GST) 5% Service charge 18% FOOD & BEVERAGE All food and beverage consumed in the meeting rooms must be purchased from Kelowna Yacht Club Hospitality Inc. Leftover food or beverage is not permitted to be removed from the premises. For each Banquet Event, one menu is required to be selected for the entire group with the exception of guests with special dietary requirements. The menus are suggested selections and can be customized to suit any taste and occasion. Cake Cutting Fee $1.25/plate. Birthday and other specialty cakes are allowed to be brought in and are to be confirmed with the Catering & Banquet Manager prior to day of event. A cake cutting fee of $1.25 per plate is charged. In accordance with BC Liquor Laws, all alcoholic beverages consumed in the licensed areas must be purchased by Kelowna Yacht Club Hospitality Inc. through the BC Liquor Distribution Board. Liquor service is not permitted after 12:00 am. Complimentary soft drinks are available for designated drivers upon request. Last call for bar service is at 11:45 pm with the bar closing at 12:00 am (midnight) and the room must be vacated by 1:00 am.

6 TERMS AND CONDITIONS continued Music volume must be decreased at 11:00 pm with doors closed. Music must be turned off at 12:00 am (midnight). It is the group s responsibility to book entertainment. Recommendations may be suggested by KYC Catering & Banquet Manager. MEMBER SPONSORED EVENTS MEMBER DISCOUNT ROOM RENTALS FUNCTION GUARANTEES Should a Club Member wish to sponsor an event hosted, he/she is required to confirm this with the Catering & Banquet Manager. The member must attend the event which he/she is sponsoring. The sponsoring member then becomes responsible for the following: Any damage done to the premises by their guest(s) or independent contractors All charges for the event not paid in advance or on the day of the event will be billed to the Member House Account of the sponsoring member. Membership comes with its perks! Please contact the Catering & Banquet Manager for full details on the discounts available to members of the Kelowna Yacht Club. Rental: Full day rentals are for periods in excess of four (4) hours and operational hours are from 7:00 am to midnight. Part day rentals are for four (4) hours or less including set-up time. If the room is required for longer than four hours the full day rental charge will apply. Times outside of operational hours are possible and additional charges will be applied. The final guaranteed number of guests is required 72 hours or two working days prior to the date of the function. This number cannot be revised after the deadline. Failure to provide a guarantee 48 hours in advance will result in the original number of people stated in the guarantee. Once the details of an event have been agreed upon, the Catering Manager will provide the organizer a contract which is to be approved and signed prior to the event. Kelowna Yacht Club Hospitality Inc. reserves the right to move groups to a more suitable room if the guarantee differs from the expected attendance.

7 TERMS AND CONDITIONS continued PAYMENT ARRANGEMENTS CANCELLATION POLICY A non-refundable deposit in the amount of the room fee is required in order to guarantee all bookings. The non-refundable amount will be applied to the balance owing on the day of the event. The final balance of the event is to be paid on the day of the event, unless otherwise agreed upon. Payment may be made as follows: Cash, Cheque or Debit Card Member House Account Master Card or VISA The Client may request additional services, with the knowledge that these services will be added to the total cost agreed upon by this contract and must be agreed to in writing, either as an addendum to this contract or in a separate document. Cancellation, with loss of deposit, may be made up to 30 days prior to the event day. In the event of a cancellation within 14 to 30 days a cancellation penalty of 50% of the quoted charges will be applied. In the event of a cancellation within 72 hours of the scheduled event a cancellation penalty of 100% of the quoted charges will be applied. Kelowna Yacht Club Hospitality Inc. agrees to provide meeting and banquet space for the group for the event as indicated. In the case that the group needs any changes or additions, the Club will assess availability and associated function room rates.

8 Q&A What do I get with my room rental? Every private room rental includes a meeting to create a customized room layout, plan food and beverage services and co-ordinate the necessary details for your event. Included in your package are tables and chairs, white linens, china, flatware, stemware and use of available in-house A/V equipment. What if I only booked a room for 4 hours and I go over my allotted time? If a booking goes over the 4 hour time allotted then a full day charge may apply. Can I bring in my own food and beverages? No. Due to liquor laws we cannot allow outside liquor. We restrict the food to that produced by our professional chefs. The exception to this would be birthday cakes. Please confirm with the Catering & Banquet Manager. I am a member; do I have to pay the room rental? We have several categories for member discounts, including family and corporate discounts. Please talk directly to the Catering & Banquet Manager for full details on the discounts available to members in good standing of the Kelowna Yacht Club. I want to customize the menu, can I do that? Absolutely, we can customize a menu for your event. Our regular menus can be customized with a la carte items added to provide more features and flexibility. There is an additional cost for the a la carte items in addition to the standard menu price. If you wish, we can arrange a menu selection meeting with the Chef to build a fully personalized menu. Please note that this service is subject to an additional charge and will be billed to your event. How do my guests access banquet rooms? As Kelowna Yacht Club is a private member club the entry to the building is restricted. Each function is responsible to have a greeter located in the main floor atrium to meet guests, provide them access to the building and direct them to the room location. Alternatively we can provide a staff person at an additional charge. You would need to provide the club with a list of your invited guests. Please make these arrangements with the Catering & Banquet Manager.
