Bartender staffing is based upon one bartender per 100 guests. SPECIAL NOTE The Embassy Suites Monterey Bay - Seaside, as the sole Alcoholic Beverage Licensee, is subject to the regulations of the State Alcoholic Beverage Commission. Violations of those regulations may jeopardize the hotel s license; therefore, we request your cooperation in honoring the hotel s policy of prohibiting the consumption of alcoholic beverages from outside sources without authorization and appropriate corkage. Additional Arrangements Special Guest Room Rates Special room rates for guests attending the wedding may be available, subject to availability. DJ s, Photographers and Videographers A complete list of Preferred Vendors is available upon request from your Event Sales Manager. Our Preferred Vendor list includes local vendors that have proven their quality of work and professionalism. Vendors that do not appear on our list may be selected; any outside vendor must be able to show proof of liability insurance. Live Music Bands and live music are also welcome for your function; all musicians must be able to show proof of liability insurance. Live music is not permitted in public areas. The hotel does reserve the right to control noise levels if deemed necessary. Special note regarding DJ s and Bands: A power drop may be required for larger bands and elaborate sound/lighting packages. Power drops are available for $350.00, plus applicable service charge and tax. Power drops must be arranged in advance; it is the responsibility of the client to determine if additional power is necessary. Floral, Chairs and Linens The Embassy Suites Monterey is pleased to provide standard linens for your event, to include white floor-length table cloths, and white, black or sandalwood overlays and napkins. Linens in other colors/fabrics are available for an additional fee. We have partnered with Elegant Affair to provide enhancements to your décor and floral. Décor packages and a la carte items are available upon request from your Event Sales Manager. Special note regarding Rentals: Outside vendors must provide set up of all linens, décor, chair covers, and chivari chairs. Labor fees will apply if hotel assistance is requested for setup. The hotel does not provide floral arrangements or decorations. Wedding Cakes Your wedding cake cutting and service is included with a selection from any of our Wedding Packages. All Wedding Cakes must be prepared through a licensed caterer or bakery, and must be handled solely by the vendor. Your Event Sales Manager can provide a list of licensed local bakeries upon request. We recommend providing cake boxes for reserving cake for the Bride and Groom.

Frequently Asked Questions When is the deposit, headcount and final payment due? A non-refundable deposit of 25% of the minimum food and beverage figure plus room rental, service charge and tax is due with a signed contract. The final guarantee of attendance is due three business days prior to your wedding. Check and credit card payments of the estimated balance due are payable ten (10) business days prior to the event. Final payment is due three (3) business days prior to the event when paying by cash or certified check. A valid Credit Card must be kept on file to cover additional charges the night of the Wedding. Service Charge & Sales Tax are subject to change. How much is the ballroom rental, and how long may we rent the room? Room rental fees vary depending on the size of your event and your food and beverage expenditure. Six (6) hours of ballroom rental is standard with a selection from the wedding package. Additional hours are available at $750.00 per hour, plus service charge and tax. May we bring in our own food? Outside Food and Beverage is not permitted. We have an extensive menu that can be customized for your event. Exceptions will be made for Wedding cakes. May we bring our own liquor and wine? You may bring your own wine in advance if you like; we will charge the prevailing corkage fee for the bottles we open and serve. The hotel will provide all other alcohol. Individual attendees are not permitted to bring outside alcohol onto hotel premises. Outside alcohol will be confiscated and disposed. Are we required to order from the Package? You may select from any of our Banquet Menus. The Wedding Package has been designed to conveniently meet the requirements of most Weddings. Changes or substitutions to the Wedding Package may result in pricing changes. Must we select from your Preferred Vendor list? While you are free to use any outside vendor of your choice, we do recommend selecting from our Preferred Vendor list. Our Preferred Vendors have proven their experience, professionalism, and reliability. Any outside vendor that is not listed on our Suggested Vendor list must be able to provide proof of liability insurance. Note: Outside vendors MUST provide setup of linens, chair covers, chivari chairs, floral arrangements, etc. If hotel assistance is requested, standard labor fees will apply. When can we decorate the room? The room will be available to you a minimum of two (2) hours before your event is scheduled to begin. If additional time is needed, you may discuss availability and additional room rental fees with your Event Manager. How much is the service charge? How much is sales tax? Currently the service charge is 22%, and the state sales tax is 8.625%. By state law the service charge is subject to sales tax. All charges are subject to service charge and tax. Service charge and sales tax are subject to change. Does The Embassy Suites Monterey have parking available? Yes! We have ample, convenient parking. It is $10 per vehicle for overnight parking, and complimentary for guests not staying at the hotel.
