DINING FUNCTION INFORMATION
THE RESTAURANT We accept limited bookings across two sittings for lunch and dinner, and can accommodate both small and large groups. For Friday and Saturday evenings, reservations of 12 or more guests are required to dine from the following menus. These are served family style to share and inspire a social enjoyment of food. There s nothing extraordinary about my food philosophy, just a love of ingredients, a respect for those who grow them and a passion for sharing the results with people. TERMS & CONDITIONS BOOKING CONFIRMATION EXTERNAL FOOD COMMENCEMENT AND CONCLUSION LIABILITY Tentative bookings must be confirmed within 7 days, along with the payment of a deposit, and/or credit card details to hold on file. Unconfirmed bookings may be cancelled after this time and the area re-allocated without notice. Credit card details are required at the time of large casual bookings (10 people and over) to secure the reservation. No food or beverage is to be brought into the venue from any external source. Should the Royal Saxon grant permission for the client to bring any externally catered food items onto the premises we will not be held liable for any consequence as a result of improper food handling. Cakeage provided by Royal Saxon must be requested at time of confirming booking, this fee is $3 per person, capped at 12 guests ($36). The organiser agrees to commence & conclude the event at the times agreed upon. All events must conclude by 1am Monday to Saturday, and 11pm Sunday night. All guests are required to leave the premises quietly and discreetly. All reservations will be held for a maximum 30 minutes from original booking time. After which your reserved tables will be forfeited. If Royal Saxon has reason to believe that the event will adversely affect the integrity of the business or any clientele at the time, management reserves the right to terminate all event activity and agreements. Please note we do not host 18th s, 21st s and Buck s Parties. Hen s Parties can be hosted upon negotiation with management. DEPOSITS AND MINIMUM SPEND CANAPES - COCKTAIL FUNCTIONS GUEST ENTRY A deposit of $500 is required to confirm exclusive events at the Royal Saxon. Deposits can be paid by EFT, all major credit cards (except DINERS) and EFTPOS. We also require credit card details to hold on file, if there is an account running throughout the duration of your event. Minimum spends are dependent on the time and duration of your event, and determined in line with estimated turnover obtained in regular trade in the proposed function area. If the minimum spend is not met, the additional charge will become a room hire fee and will be payable on completion of the function. CANCELLATIONS We require a minimum of 48-hours notice for cancellations. Any bookings that fail to notify us will be charged a $200 no-show fee to the nominated credit card at the time of the booking. Cancelling a function after the deposit has been paid can only be done by consulting directly with management, and only by the person who paid the initial deposit. Any cancellation 2 months prior to the date of an event will be reimbursed the full deposit. Any cancellation less than 2 month prior to an event, forfeits 50% of the deposit paid. If a client cancels within 14 days of the event date, the client shall forfeit the full deposit paid. FINAL NUMBERS A minimum of 25 people are required for canape packages. Your selection is requiredno later than 10 days prior to the event. Changes can be made up to 7 days prior. SET MENUS - GROUP DINING Restaurant bookings of eight or more guests arerequired to order from one of our sharing set menus. Your selection must be provided no later than 7 days prior to the function. FINAL PAYMENT If there is a running bar tab or food account, payment in full is required on completion of the event. No account balance will be carried forward past the event completion. No separate accounts or personal cheques will be accepted unless preapproved by the management of Royal Saxon. All accounts are to be settled prior to, or on the day of the event. RESPONSIBLE SERVICE OF ALCOHOL In accordance with the liquor licensing regulations, Royal Saxon reserves the right to refuse the supply of alcoholic beverages to any guests that are deemed to be inebriated, or to guests that are either under the legal age or not accompanied by their legal guardian. PRICE & PRODUCT VARITIONS Guest entry to functions will only be permitted in accordance with agreed start and finish times. It is recommended that your guests arrive at the venue prior to 9pm, as the venue is unable to guarantee entry after this time. Additional function guests (above and beyond the numbers of guests confirmed) may only be admitted in accordance with the venue s licensed capacity. DECORATION Nothing is to be nailed, screwed or adhered to any part of the wall or surface of the venue. Strictly confetti, glitter or table scatters are allowed on the premises at any time. Only exclusive venue hire (upstairs) may lightly decorate the space. This must be approved by Royal Saxon management prior to your function. No external audio equipment or audio entertainment (eg. Bands, DJs) is permitted within the venue. CLEANING & DAMAGES General cleaning is included in the cost of the function. If excessive room cleaning is required, an additional cost will be charged at management discretion. Clients are financially responsible for any damage sustained to the venue, its contents and property prior to, during or after the event by the client, guests or contractors engaged by the client. The confirmation of final number of guests attending the event is required 7 days prior to the day of your event. The number of guests confirmed at this time will be the minimum number that is charged for. 10 people is the minimum number we offer sharing or set menus, and will act as the minimum amount to be charged. While every effort is made to maintain prices quoted at the time of booking, Royal Saxon reserves the right to adjust prices without notice according to fluctuations in market prices. All prices include GST and are current at the time of the quotation. A surcharge may apply to public holidays and New Years Eve.
A signed copy of the VENUE HIRE AGREEMENT must be returned to the ROYAL SAXON along with the deposit and/or credit card details. Completion of this form or by providing credit card details, certifies that you have read and fully understand the TERMS AND CONDITIONS of holding an event at the ROYAL SAXON, and agree to be bound by these conditions.
