VA HOSPITAL BBQ, BONHAM, May 5, 2018 AFTER EVENT REPORT 1. Assembly 3004 conducted a BBQ at VA Bonham for 96 guests on Saturday May 5, 2018, with 21 volunteers. We had added participation from Columbian Squires from OLA. Signup sheets attached. 2. SK Dan Eckelkamp on May 4, went to OLA and staged all of the equipment that we would need from OLA to accomplish our mission at the Bonham VA. SK Jason Beckett, SK Gary McGinnis, and I loaded up all the equipment in SK Beckett s vehicle on May 4 to ensure that we wouldn t have any last minute issues Saturday morning. In my opinion, I believe we should always preload the equipment the day before if it s possible. 3. The VA Bonham staff got an early start preparing the area bringing in tables, chairs, and support equipment including propane tanks and utensils. We were greatly assisted by Emile Keeton and staff who coordinated their activities for the clients. Many of our volunteers arrived at 10AM to set up, and we started cooking at 11AM. Our Faithful Admiral SK Richard McCaffrey led all in attendance in a prayer to bless the food, and we began serving at 1130. One thing we will look into for next time, is asking the VA if they could provide two more round tables so we can spread out the condiments so we can try to allow our Veterans to get through the lines quicker. 4. Lady Megan Bailey and I picked up most of the food at Costco in Frisco. The cakes were purchased at Market Street Frisco, and many of the smaller items that couldn t be purchased in bulk were purchased at Kroger. The ice cream and last minute items were purchased at Wal-Mart Saturday morning in Bonham. One thing I would like to pursue in the future that could possibly save the Assembly some more money is by purchasing the items at Restaurant Depot. Raffle tickets - 1 roll b. 48 Patriotic ball caps for raffle drawings c. I will remedy this next time, and we will have items to raffle off to our Veterans. 6. Total expenditures: Initial purchase of $526.18 at Costco in Frisco, plus $124.60 at Kroger Frisco, $109.98 at Market Street Frisco for cakes, and $38.30 for ice cream and last minute items at Wal-Mart Bonham. Stipend to Sam Moore for the band of $100.00. Total Expenditures were $ 899.06. 7. My apologies if I have overlooked anyone or anything. I will contact Emile Keeton at the VA soon and see if the Veterans have any suggestions from this event.
