BOOKING & PAYMENT Provisional Booking On receipt of the fully completed bookings agreement and signed regulations; a provisional function reservation will be made. A Deposit Invoice will be sent to The Client. Provisional bookings will only be held for period of 10 days. Should additional query be made with regards to the venue, the client will be contacted and given 24 hours in which to confirm their booking. The Club reserves the right to cancel the provisional booking. Confirmation of Booking Booking deposit for the Tipuana function room: Club members: No charge 200pax Full function facility: R5500.00 100pax Full function facility: R2250.00 Numbers less than a 100pax can be negotiated. A deposit of R5500.00 is required by members in order to secure your function. Non members are required to pay the hiring fee to secure the function. Proof of payment is required within 10 days of your provisional booking (signed booking form received). The Club reserves the right to cancel your provisional booking should the deposit not have been paid. Cancellations / Postponements Please note as there is considerable demand for club facilities, if a reservation is cancelled the deposit paid by the client shall be forfeited. Furthermore if a cancellation occurs 14 days or less prior to the Function, the Club will be entitled to claim an additional cancellation fee of 50 % of the estimated Function account. All cancellation or postponements must be directed to management via email: functions@kyalamicc.co.za. The Club considers a function postponement as a cancellation. The Club reserves the right to cancel any booking without liability on its part in the event of any damage to, or destruction of the venue by fire, or any other cause beyond control of The Club, which shall prevent it from performing its obligations. In these circumstances every effort will be made to find an alternative venue.

VENU The Tipuana function room: The Tipuana room accommodates up to 200 people. The room may be divided into two venues. The room has doors that open onto a large patio which overlooks our beautiful lakes and gardens. The patio and function room has its own bar. The patio may be covered by a marquee at the clubs discretion. The hiring fee includes the following: PA system available. All cutlery, crockery and glassware. White chair covers available for functions up to 100. We supply white table linen. The patio off the Tipuana room is included in the venue hire. Lectern available. Round tables accommodating either 10 or 8 people per table. Fully equipped change rooms and shower facilities. DÉCOR The club has a list of recommended suppliers which may be used for your décor and hiring requirements. We have the standard white and black table cloths and a few different color overlays. CATERING AND BEVERAGES Catering and Beverage prices are subject to fluctuation in respect of the costing structure at the time of quotation;

In order for The Club to satisfy your food and beverage requirements all particular selections i.e. menus, beverage need to be advised no later than 1 Month prior to your function. Would you kindly confirm via e-mail (functions@kyalamicc.co.za) no later than 14 Days prior to your function final numbers, special dietary, and table arrangements. The Club does not allow food from outside to be brought in and consumed on the premises. Your entire compliment of guests must be catered for; applicable to all menus. On a plated menu selection The Client may be requested to pay additional staff charge. Should you wish to verify the beverage stock before and after a function, kindly advise the F&B Manager (foodandbev@kyalamicc.co.za) in advance so arrangements can be made. If a bar of limited value is required by you, please note that The Club may not be able to always honor the stated limit exactly. Please note that: Normal bar hours until 23h30 (last rounds 23h00) thereafter by arrangement @ R 1000.00 per hour ( charged until last client leaves the function room) applicable for all functions. All suppliers / staff working the function must be included in the total guests number with regards to beverage and catering Permission from the General Manager is required should the client wish to bring any food or beverage pertaining to sponsorship, or prizes onto The Club premises. The Club wishes to draw your attention to the following arrangements. A staff fee will be charged for prize giving which will be dependant on your menu selection and number of guests. A minimum service levy of 10% of the total food and beverage account will be charge to your final function account. The client will naturally be required to reimburse The Club for any loss or damage perpetrated through or by any participant / guest / supplier at your function. All accessories i.e. draping, must be freestanding and in particular The Club especially requests that prestik is not used on the walls. No fixtures are to be moved / altered and nothing may be hung from any of The Clubs fixtures. Any damage to Club Linen / Equipment / Furniture beyond reasonable wear and tear will be charged accordingly

All outside décor / branding items needs to be removed on the day of the function or alternative arrangements need to be made with management. Any items not removed within 7 days of the function will be discarded. The Club does not accept liability for loss or damage of items during this period. The Club, does not accept responsibility for any damages or losses to any or all décor / branding items brought on The Club premises by The Client or their Suppliers. The Club reserves the right to move any décor /equipment / branding should the need arise and does not accept responsibility for and loss or damage to these items. Whilst The Club does have a back up generator, they shall not be held liable for interruptions of any services (water, electricity, sanitary) etc. GENERAL PROVISIONS You will be aware that The Kyalami Country Club is a reputable and respected venue and in order to maintain the high standing of The Club, it is expected that the following regulations are adhered to. To avoid embarrassment please ensure that all guests comply with Club dress regulations which are set out in the attached document for your guidance and information. Minor children must be under responsible adult supervision for the duration of the function. The Club, whilst it will exercise every reasonable care, shall not be liable for any claim of whatsoever nature and whether for damages or otherwise, howsoever arising as a result of members and/or guests utilizing The Club s facilities and/or services. Without limiting the generality of the afore going, The Club shall not be liable for any claim of whatsoever nature arising out of any negligent act or omission or statement by The Club or its members, securities or staff, and/or any cause or event beyond the reasonable control of The Club. The Club does not accept any responsibility for any loss of life or theft of cash, bags, keys, clothing, golf clubs, valuables, equipment or any property whatsoever, or for damages or loss of any vehicle in the car park or in the public area around the club, nor any injury or damage to any person. THE CLUB RULES AND GUIDELINES Due to Government health regulations, smoking is not permitted in the function rooms and the general clubhouse area and those persons who wish to smoke must do so outside.

In order to ensure that the function does not unduly disturb other users of the club and its surroundings, would you kindly ensure, if applicable, that the amplification of music is kept within tolerable limits. It is strongly suggested that you acquaint yourself, and comply with the requirements set out in the club by laws, a copy of which is available on request. The Club may at its own discretion, change your function venue if deemed necessary. No live animals are permitted on The Club Premises without prior consent. No fireworks are permitted on The Club Premises. No Fires are permitted inside venues The Club reserves the right to refurbish and upgrade the club facilities / venues from time to time.
