Policies & Procedures Guarantees & Minimums The Catering Office must be notified of the number of guests to be served 72 hours (3 business days) prior to the function. Should the final number of guests not be received 72 hours (3 business days) prior to the start of your event, the number of guests initially quoted will be the basis for the billing charges. The Radisson Suite Hotel Halifax reserves the right to re-locate to an alternative onsite banquet/function room should the guaranteed attendance fall below 75% of the original expected attendance. Any catering order that does not exceed $200 before tax is subject to a $60 labour fee. Cancellations If the event is cancelled 30 days prior to the scheduled date, a cancellation charge of 50% of the meeting room rental will apply; 14 days prior to the scheduled date, a cancellation fee of 100% of meeting room rental and estimated food & beverage charges apply. See your contract for further cancellation details. Shipping & Receiving Should storage be required, please contact your Sales contact for instructions. Items shipped to the Radisson Suite Hotel Halifax must be clearly labeled, including: Hotel Contact, Event Name and Event Date, along with the Hotel Name and address. It is the responsibility of the convener and/or meeting room guest to make arrangements to have any meeting room materials returned to their company. Items left at the hotel will be kept for a maximum of 30 days from the date of the function. After 30 days, the parcels are opened by the Receiver to ensure safe disposal according to contents. The Radisson Suite Hotel Halifax will not assume responsibility for personal property and equipment brought onto the hotel premises. Taxes & Service Charge A 17% service charge will be added to all food and beverage items for functions. In addition, 15% Harmonized Sales Tax will be applied. Audio Visual Requirements Any equipment needed that is not on our list can be outsourced and quote given on request. Food & Beverage Due to city and Provincial Health Regulations, the Radisson Suite Hotel Halifax does not allow clients to bring in food from outside sources or permit catered food from our kitchen to leave our premise. *Exception of wedding cakes. Radisson Suite Hotel Halifax/Ryan Duffy s, as a licensee, is responsible for all beverage sales and services in accordance with the regulations of the Nova Scotia Liquor Commission, which includes all donated liquor. All alcoholic beverages served in a licensed public area are required to be supplied by Ryan Duffy s. Credit Policy Payment on all accounts is Net 30 days or credit card on file will be charged. Clients requesting credit must allow 15 business days for processing and establishing credit before the event date. If paying cash, cheque or splitting costs, a credit card is required for authorization and guarantee of funds, prior to event date (as per cancellation policy). We accept all major credit cards for settlement, please specify payment method at time of booking. Entertainment & Music Fees Socan, The Society of Composers, Authors and Music Publishers of Canada levy fees for all events in which music or entertainment are employed.
