Festive Party Bookings Take the stress out of organising your Christmas party this year and book your party with us! Choose from any of our packages and relax knowing everything has been taken care of, from the traditionally decorated room to the delicious meal and entertainment until midnight. We all know how difficult it can be to organise friends, family or work colleagues, we are not asking you to collect pre-orders! We use an automated online order system. You simply add your guest details and order your meals online where you will find your menu options already entered for your party. We have a selection of party night dates or if you prefer a simpler event, why not consider our festive lunch or dinners served in the Restaurant 66A. Terms and conditions Party reservations must be confirmed with a non-refundable deposit of 5.00 per person, or a 20 per person non-refundable deposit in the case of Christmas Day Lunch and New Year s Eve dinner within 14 days. A signed booking form must also be returned with the payment. All Deposits and payments are non-transferable and non refundable. All party reservations must be paid in full on or before 15th November 2018. Bookings made after this date must be settled within 7 days of booking or 7 days prior to function, whichever is sooner. Final Numbers are required 15 th November 2018. Any reduction in number after this time will still be charged. All Christmas Day Lunch and New Year s Eve Dinner bookings must be paid in full on or before 15th December 2018. Bookings made after this time require payment in full at time of confirmation. If meal is part of an accommodation package full payment is on departure Christmas Day Lunch tables will be held for 15 minutes only, if you arrive later than this your table is no longer guaranteed and no refund will be issued. Please submit cheque payments on ONE cheque only. Cheque should be made payable to: Cotswold Lodge Hotel. If you wish to pay credit/ debit card please contact the Christmas Co-ordinator directly. We cannot guarantee to accommodate any increase in numbers made after the time of booking, or fixed table plans. However, we will do our utmost to accommodate your request where possible. If you are using a table plan for your event, please supply this to the hotel no later than 7 days prior. This must also include the pre-orders by table. If you do not require a table plan, a Re-Order will be taken on the night to enable us to serve the party by table. Pre-orders must be supplied to the hotel no later than 7 days prior to the event. Any dietary requirements or allergies must be provided to the hotel in writing by the function organiser. The kitchen is a multi product area and as such we cannot guarantee a product to be 100% free of any allergens. The organiser and/or person who makes the reservation will be responsible for the behaviour of all guests and for settling any bar or table bills/charges not paid on departure. Bar on account can be arranged in advance but must be prepaid or credit card details provided prior to function. Any guest whose behaviour gives the hotel cause for concern in any way will be asked to leave or refused admission. Any damages and/or missing decorations, accidental or otherwise will be charged to the organisor. The hotel is completely NON-SMOKING. If guests smoke within the hotel, our fire alarms will be activated. In this event, a charge of 500 will be made. Persons under 18 years are not permitted to join the Party Nights or New Year s Eve dinner. In the unlikely event of minimum numbers of 50 not being reached we reserve the right to cancel any Party Nights up to 7 days prior. Alternative dates or full refunds will be offered. Exclusive use must be a minimum of 90 pax on Bronze/Silver or 80 pax Gold Package on Saturdays or 80 pax on any package Thursday/Fridays, 60 pax on all other days. Tables for Christmas Day Lunch will be allocated in both the 66A Restaurant and Norham Suite. We cannot guarantee which area a booking will be allocated, however we will do our upmost to accommodate any requests where possible. Whilst every effort is made to ensure the details in this brochure are correct at the time of issue, we reserve the right to change any aspect of the festive program at any time without prior notice.
