GUIDELINES FOR FUNCTIONS FLOOR PLANS: The floor plan for your event will be generated when your guarantee number for meals is received. The final number of guest tables depends on your final guarantee. Your final floor, with guaranteed number of guests, plan must be returned to us no later than 7 business days prior to your event. The floor plan should include: - Final number of guests including the head table. (all children must be included) - The number of guests at each table. - Table numbers should be clear. The Roma Club does provide numbers and stands, but does not provide place cards or table menus. - The location of highchairs or boosters at each desired table. - The location of special meals at each desired table. (ex. Vegan, gluten-free, or allergies) - The location of specialty tables, i.e. the Sweet Table, DJ, Band, and Coffee Cart etc CHILDREN: Children 4 years of age and under are No Charge Children 5 12 years of age will be charged 60% of the meal price stated on the contract. STAGING: A reasonable number of platforms are included. Extra or elaborate head tables may be subject to a platform rental fee. The Roma Club Rep. will discuss this with you if platform rentals become necessary.
BAR PERMIT: The host of the function must provide the beer, liquor, wine and an LCBO Special Occasions Permit at least 48 hours prior to the event. The Roma Club will provide all glasses, soft drinks, juices, mixes, and condiments needed for a $7.95 per person fee plus applicable taxes. OPEN BAR: This option allows The Roma Club to supply the host all beverages under our license. The host will then be charged for the consumption of beverages and a bartending fee of $125 per bartender plus applicable taxes. The host must provide this at no charge to their guests. CASH BAR: This option allows the host s guests to purchase their own beverages. The Roma Club will supply everything needed to operate a full bar, and a bartending fee of $125 per bartender plus applicable taxes will be charged. LINEN AND NAPKINS: Included in your menu price are white linen tablecloths and white linen napkins. Coloured linen is available for $3.00/Tablecloth and $0.50/Napkin plus applicable taxes. Please see the Roma Club Rep for our colour selection. SKIRTING: Skirting provides an elegant appearance to your décor. The Roma Club does provide this service for your head table and/or sweet table for additional charges. CHAMPAGNE or WINE: If you should decide to serve champagne to your guests, the corkage fee is $1.00 per person; the champagne glass rental is $0.50 per person. The corkage fee for wine is $1.00 per person; the wine glasses are free. All prices subject to applicable taxes. MUSIC: SOCAN Fee you will notice this charge on your invoice. It is a tariff for using copyrighted live music. Re-Sound Fee this is a tariff for providing recorded copyrighted music, or a D.J. If you have a combination of live music and a DJ, or recorded music during intermission, you will be responsible for both fees. Please refer to the chart on the last page for reference.
