Terms and Conditions Decorations Guests may wish to decorate the venue for functions. We allow this however we have a strict no confetti or glitter policy. Please advise management of any major decorations and all persons dropping decorations off to the venue will need to discuss this with management prior. Access to the function room for Decorations and Setting Up depend on other bookings previous to your event. Catering All catering, beverage packages and dietary requirements are to be finalised no later then 1 week prior to the function date. This is to guarantee stock availability. Please make sure to note any allergies with the Functions Coordinator when finalising food selections so we can notify the kitchen. Due to our food safety program, no outside food or beverages are to be consumed in the venue. This is also a strict no food / beverage take away policy and we can not allow guests to leave with food and drinks at the end, or during their function. Cakes will be considered but a cakeage fee may apply. Cancelling Cancelling a function once a deposit is paid can only be done by consulting with the Functions Coordinator of the venue and must be done so by the person who booked and paid the deposit. Where a function is cancelled within 2 weeks of the function date, half of the deposit will be refunded to the customer. If a function is cancelled 7 days or less prior to the function date, the whole deposit will be forfeited and no refund will be given. Smoking There is strictly no smoking permitted in the Caribbean Room or any bar. If any evidence of smoking/ tobacco residue is found after your function - an added charge of $150 will apply. Please use the designated smoking areas located at the side of the venue. Damage Please be advised that the organisers of the function are financially responsible for any damage, theft, breakage or vandalism sustained to the function room or venue by any guests, invitees or other persons attending the function. Should any extra cleaning be required to return the room to a satisfactory standard, this will be charged to the organisers. Entry Conditions Guest entry to functions will only be permitted in accordance with the agreed and booked function times. Additional guests beyond the numbers of guests confirmed prior to the function may only be permitted in accordance with the venues licensed capacity. Minors are welcome to attend functions but must be accompanied by a guardian / parent and vacate the premises no later than 9:30pm. Security & Guest Behaviour If you require a security guard to exclusively attend your function, you must let the venue know at least 1 week prior to the function date. The Function Coordinator can demand a Security Fee for events they reason to need guards, (eg. Bucks, Large Birthday, Open Bar with many guests). The cost for a security guard is $60 per hour, per guard. The venue takes its responsible service of alcohol obligations very seriously and you agree to support any decisions made by the venue in relation to the responsible service of alcohol. The venue has the right to refuse entry or service or remove any patron from the premises they deem to be approaching intoxication, showing signs of improper behaviour, become abusive, disorderly, not dressed appropriately, any anti social manner or any reason they deem fitting. You must advise management of any minors that will be attending your function on the night. Please be aware as per our liquor license minors are only permitted in the venue with a guardian / parent and must vacate the premises by 9:30pm. All birthday celebrations (aged 18-25) must have a security guard exclusive to their function for the entire duration. This is an additional cost of $50 per hour, per security guard. Payment A payment of a $250 deposit plus 20% of the Food and Beverage costs will be required to secure any booking made by a customer. Failure to do so will result in the function date being available for another booking. This must be paid in order to secure your requested date. If you wish to pre-pay for everything prior to the date of the function such as food and beverage options, the Functions Coordinator can take your payment and you will receive a total invoice upon payment. Any extra's consumed on the date of the function will be an additional charge to the client. All bill totals are to be settled and paid by the end of the function. The venue accepts CASH and EFTPOS.
