Below are some guidelines to assist in planning and budgeting to make the most of your memorable day: Access to Event Space: Event spaces for Luncheons are blocked for 1 hours PRE arrival time and 1 hours POST event conclusion for your planner or decorator to set up and dismantle any special décor Extended time requirements will be considered based upon availability and may involve additional fees Payment / Deposit: A non-refundable deposit of 25% will be required at contract signing to secure date / space. Deposit estimate will be based upon rental minimums for selected event venue. Full balance of event will be required 21 days in advance of event along with a credit card to guarantee any ancillary charges occurring during event. Final guarantees of attendance are due by 12 noon, 3 business days in advance and credit card will be charged at that time for any amount due above balance paid based on guarantee. Décor parameters: All décor must be approved in advance Please no permanent adhesives, nails, staples, etc. For safety purposes, fireworks, sparklers or pyrotechnics are not permitted Helium balloons are not permitted inside the hotel atrium area Chair covers/bows supplied by outside vendor, if requested for hotel to dress chairs, there will be a charge of $1.00 per chair placed on the master account Specialty linen supplied by outside vendor: Please arrange to have delivered to Hotel 1 day in advance of event Specialty centerpieces: Please have delivered at least 2 hours in advance with no assembly required and hotel staff will place on each table at no additional charge. If planner/decorator will be assembling and placing on tables in event room, special times must be arranged for access to room Guarantees / Menu selections: We will request your final menu selections 30 days in advance of event as well as estimated guest attendance. At that time we will estimate the total balance due at 21 days prior to event. Final guarantees of attendance are due by 12 noon, 3 business days in advance and credit card will be charged at that time for any amount due above balance paid based on guarantee. Special Event Insurance: We require each event to purchase Special Event Insurance from an independent provider.

Beverage Options A taxable service charge will be added to all beverage prices. Tax is 8% on beer and wine and 13% on liquor. All beverage service on the premises requires the services of a bartender or attendant. All of our servers & bartenders are certified by CARE training. CARE is a skills-based training program that is designed to prevent intoxication, underage drinking & drunk driving. Each bar set up will be $100++. We suggest 1 bar set up per 100 guests. All personnel service fees are for up to 4 hours, additional hours are at $25 per hour, per bartender. Beverage service options include: Hosted Bar by the hour: All charges will be placed on the master account. Select the option of full bar or beer and wine only. Hosted bars are charged by the hour, and based on per person guarantees. All adults based upon guaranteed attendance will be charged. Hosted Ticket Bar: Each guest will be presented a specified number of tickets and all charges will go to the master account. The ticket bar allows the ability to limit bar charges to capped amount.
