GENERAL INFORMATION ROOM Guarantee: The Client(s) shall pay a room fee of *50 people or less $100.00 *50-75 people $125.00 *75 guests or more- $250.00 ( unless otherwise arranged with events coordinator). COUNT. The Client(s) shall give The Golf Club at Blue Heron Hills a tentative head count no later than 10 (ten) business days prior to the Client(s) event, and a final head count no later than 7 (seven) calendar days prior to the Client(s) event. The final head count may not be changed after delivered. The Golf Club at Blue Heron Hills reserves the right to charge the Client(s) a surcharge equal to 10% of the total bill if the Client(s) fail to comply with the requirements of this paragraph. GUARANTEES. To book an event on Saturday, a guarantee of at least 75 people is required. To book an event on a day other than Saturday, a guarantee of at least 50 people is required ( subject to change upon discussion). *Will be required to sign a contract on day of booking event* PRICING. Will vary based on meal choice: A 20% Facility Charge and 8% NYS Sales Tax will be added to all goods and services. FOOD & BEVERAGES : Menu selections must be made by Client(s) at least 30 days in advance of the Client(s) s event. Menu prices in effect at the time of selection are subject to change if the market price of the item increases beyond the norm. In cases where marketplace price of an item spikes, the client would have the option of paying the difference or working with the Chef to determine a suitable substitution to avoid a price increase. FACILITY CHARGE & SALES TAX: A 20% Facility Charge and a 8% NYS Sales Tax will be added to all goods and services. PAYMENTS: A Payment in the amount equal to 60% of the estimated total cost is due no later than 30 days prior to the Client(s) event. The balance of the total cost is due 7 days prior to the event and must be paid with cash, money order cashier s check, or credit card. All deposits will be applied to the final bill. A final bill will be presented within 72 hours of the conclusion of the event. The final bill will include any increase to the final count and/or any additional food or beverage items ordered within 7 days before the event. CANCELLATION: All facility fees are NON-REFUNDABLE. Should the Client(s) cancel the Client(s) event, all deposits will be used to cover expenses incurred by The Golf Club at Blue Heron Hills. RESPONSIBILITY: The Golf Club at Blue Heron Hills will not assume responsibility for any personal property brought in by the Client(s), or any guest or other invitee of the Client(s), either prior to, during, or following the event, and the Client(s) herby waives any claim against The Golf Club at Blue Heron Hills for any damage to any such personal property brought into The Golf Club at Blue Heron Hill s premises. Special arrangements must be made in advance with The Golf Club at Blue Heron Hills management if it is necessary to leave any personal property on The Golf Club at Blue Heron Hills s premises. The Client(s) will pay to The Golf Club at Blue Heron Hills the cost of repairing any damage to the Golf Club at Blue Heron Hills facilities, when such repair cost are billed by The Golf Club at Blue Heron Hills to the Client(s). The Client(s) s will indemnify and hold The Golf Club at Blue Heron Hills, it s members, Board Members and employees, harmless from and against all claims, cost and expenses related to any personal injury or property damage incurred in the connection with the use of The Golf Club at Blue Heron Hills facilities by the Client(s) or any guest or other invitee of the Client(s), unless such personal injury or property damage directly results from gross negligence or intentional misconduct or a member or employee of The Golf Club at Blue Heron Hills. 2
