CEREMONY With our sprawling deck just metres from the water, Sandbar allows for stunning picturesque views of the ocean and sunset for your ceremony. From intimate weddings of 50 up to 150 guests, we offer an exceptional service ensuring your ceremony is everything you envisioned. Our Event Manager will consult with you throughout your planning stages offering advice, whilst managing the details on the day. We offer our bridal parties a rehearsal to ensure a relaxed atmosphere, no nerves here. All ceremonies and set consultations are free of charge. Please note that ceremonies start no earlier than 6.00pm, your reception will start following the end of the ceremony

THE BORING BUT IMPORTANT THINGS TO NOTE Minimum Spend: In order to secure the Sandbar exclusively for your function on either a Friday or Saturday night during daylight savings months, we require a minimum spend. Additional costs such as entertainment, security and decorations are not included in the minimum spend. Sandbar functions may start from 6pm onwards, Sunday's at 7pm with the beverage package to begin at the starting time of your function. Please note that quotes for functions are valid for 30 days. Confirmation: Your function is confirmed upon receipt of your deposit and the signed confirmation form agreeing to these terms and conditions. If the confirmation is not received, Sandbar reserves the right to cancel the booking and allocate the venue to another client. Payment: (a) Deposit The Sandbar will require a 25% deposit of the total amount of your minimum spend to secure your function. Deposits are non-refundable. (b) Progress Payment We will require payment of half of your function cost 8 weeks prior to your function date. (c) Final Payment Your final payment is required 2 weeks prior to your function date. (d) Method of Payment The Sandbar accepts the following methods of payment: (i) EFT payment to the following account: Sandbar on the Bay Pty Ltd BSB: 633-000 Account: 163 194 129 (ii) Visa and MasterCard (1%surcharge) (iii) Cheque and cash. Any miscellaneous charges incurred during your function, including any damages and increased numbers, are to be settled at the conclusion of your function. In the event that there is any money outstanding post function your credit card will be charged on the eighth day without further notice. Prices: Prices are inclusive of GST. Please note that menus items and pricing are subject to change without notice. However, the Sandbar will endeavour to advise you of any changes prior to your function.
Food and Beverage: All orders are required at least one month prior to your function. It is a requirement of responsible service of alcohol that adequate food be ordered for your function. The Sandbar will endeavor to meet any requirements in relation to food preferences, intolerances and/or allergies. However, the Sandbar cannot guarantee that any food item is 100% free from the allergen and accepts no responsibility in relation to the provision of such food items. Responsible service of Alcohol: Sandbar practices responsible service of alcohol. Our policy is to serve our guests in a responsible and professional manner at all times. This policy is communicated to function organizers and guests accordingly. Final Numbers: Are required 14 days before your Function. You will be charged for these final numbers. A Running sheet will be sent to you at this stage which will outline the event proceedings, food and beverage items and the function costs. Security: Council requires security personnel for all functions. For functions with less than 130 guests, two security personnel are required. For functions over this amount, three security personnel are required. Security costs are $49 per hour, per guard for a minimum of four hours. This is a separate cost not included in the minimum spend. The Sandbar will organize security for the event. Cleaning and Damages: The client will be held for any extra costs incurred from damages caused, extra cleaning required or replacement of property due to negligent behaviour by you or your guests. Storage: Sandbar does not accept any responsibility for damages to or loss of personal belongings and merchandise left on the premises prior to, during or after a function. Entertainment: Given the location of the Sandbar and its proximity to residential homes, Council has imposed strict sound restrictions. Therefore any amplified music needs to be plugged into our Sound Limiter and speakers. If you decide to use a DJ, they need only to provide their console, with an XLR Male connection.
Cancellation/Postponement/ Change of Date: The Sandbar requires all cancellation, postponement or changes of dates of functions to be made in writing. Any cancellation will result in the following: (a) More than 6 months notice: the cancellation fee will be equivalent to the deposit, which will be forfeited. (b) 3 to 6 months notice: the deposit will be forfeited plus an additional cancellation fee, equivalent to 20% of the estimated amount which would have been billed to you for the function, will be applicable. (c) 31 days to 3 months notice: the deposit will be forfeited plus an additional cancellation fee, equivalent to 60% of the estimated amount (based on last costing and numbers outlined in confirmation form) which would have been billed to you for the function, will be applicable. (d) Less than 31 days notice: full payment is required or payment made is not refundable. Any postponement will result in the following: (a) More than 6 months notice: the postponed fee will be 50% of the deposit. (b) 3 to 6 months notice: the postponement fee will be equivalent to the deposit. (c) Less than 3 months notice: the postponement fee will be the same as the full cancellation fee as above. (d) Less than 31 days notice full payment is required or payment made is non-refundable. You agree that the cancellation and/or postponement fees are reasonable and agree to these as liquidated and agreed damages to compensate the Sandbar Beach Café for, among other things, its administrative time and lost opportunity. Access to the Venue: The Sandbar will close to the public 2 hours prior to the function to enable the venue to be cleaned and set up. Florists, decorations and DJs may have access to the venue one hour before your function. All decorations must be taken on the night of the function. Confetti and Sparklers are not permitted at the Sandbar. Car Parking: Parking Tickets are required on the beach side of Beaconsfield Parade; they cost $12 for a ticket which will give you parking until midnight. You may park on the opposite side of Beaconsfield Parade which has a 4 hour maximum free parking zone.
