Gwledd Conwy Feast Stallholders Environmental & Quality Policy The festival adheres to a strict Environmental & Quality Policy. We only approve high quality exhibitors. We ask when trading at the event you adhere strictly to our policies. Failure to do so may result in being asked to stop trading. A. Food Hygiene & Safety Please refer to our Food Handling Guidelines 1. You will be expected to comply fully with the relevant Conwy County Borough Council regulations in respect of Trading Standards, Health and Safety and Environmental Health. 2. Random inspections will be carried out over the weekend by the environmental department of the local council. Those deemed not to comply with the regulations will be shut down. 3. If selling food and/or drink you MUST be registered with your local authority Food Safety department. 4. If cooking, you will need to bring adequate fire safety equipment appropriate to your activity 5. All your electrical equipment must be certified and have a current PAT certificate. The certificate must be available for inspection by our safety officers over the weekend. 6. Please operate ONLY within your allocated pitch. Do not encroach on surrounding stalls or any walkways. 7. Please keep your stall and immediate surrounding area clean and tidy B. If serving food samples/takeaway 1. Please adhere to the Food Handling Guidelines provided. Your stand will be visited by the on-site food safety advisor to ensure that you are following the requirements. 3. You must use fully compostable materials BS EN13432 certified (serving dishes and cutlery) 4. Strictly NO PLASTIC and NO POLYSTYRENE 5. Please consider using Fair Trade products where there is no locally produced alternative (especially tea/coffee/sugar). C. If serving drink/alcohol samples/takeaway 1. Please refer to the Food Handling Guidelines provided. Gwledd Conwy Feast holds a license which allows stallholders to sell alcohol.
If serving alcohol, clearly display the license age laws e.g. We cannot sell or give tastings of alcohol to anyone under the age of 18. If you are lucky enough to look under 21 you must be able to supply proof of age Challenge 21 posters in Welsh or English can be downloaded from the internet 3. Please do not use glass for serving or open glass bottles for customer consumption 4. Hot Drinks must be served in compostable cups BS EN13432 certified 5. We expect all stall holders to adhere to our NO PLASTIC - NO POLYSTYRENE NO GLASS policy. The only exception is if you are serving cold drinks you may use plastic glasses as these can be recycled with general plastic waste 6. Please consider using Fair Trade products especially tea/coffee/sugar where there is no locally produced alternative D. Packaging We ask that you consider waste and only use packaging when absolutely necessary 1. All take-away food packing and utensils must be compostable BS EN13432 certified. Please choose fully compostable packaging. This means products made from paper, palm leaf, sugar cane fibre, wood. - Cups: Must be compostable and have lining made from plants not oil - Lids: Must be compostable and not plastic. - Cutlery and drink stirrers: Must be wooden and not plastic - Condiment tubs: Must be bio-degradable - Plates, bowls, trays, serving boxes: Must be compostable - Serviettes: Made from recycled paper 2. Any traders found serving food or drink in non-compostable containers or with plastic cutlery will be required to stop trading. 3. Single use carrier bags: It is government policy that all retailers in Wales must charge a minimum of 5p per single use carrier bag. E. Disposing of waste 1. Please bring black plastic bags for your general waste 2. Compostable bags will be provided for food waste 3. Clear plastic bags will be provided for cans/plastic/paper recycling 4. Small food waste bins can be provided to outside caterers 5. Guidelines of disposing of waste will be made available on your stand Please Note. We provide adequate facilities for recycling and general waste at the Feast. Traders must be responsible for their own waste during the event. Any rubbish left on site is easily identified to the trader. Any trader found leaving rubbish will be billed which will need to paid before any consideration for the 2019 event. F. Exhibitor Passes 1. You will be provided with exhibitor passes. These are only valid for on duty staff. 2. Passes are strictly limited. Please ensure that your staff share passes as and when on duty. 3. Passes will be issued by the site manager on your arrival. 4. Your staff will be refused access to ticketed areas unless they have an exhibitor pass. G. Parking The following parking options are available this year: 1. Free parking at Ysgol Aberconwy (LL32 8ED) for up to 2 vehicles (available only until spaces run out) 2. Paid parking in Council car parks outside the town walls at 8.50 per vehicle, this must be paid for prior to the event see exhibitor s booking form and location guide. 3. Free parking and Conwy Council Parking passes are valid from; - 6.00pm Fri 26th 8.00am Mon 29 th. 4. Your parking arrangement permits will be in your information pack at setup. **Please note: vehicles parked outside the parking boundaries are subject to fines. See EXHIBITORS LOCATION GUIDE on the application form for a map of car parks
H. Offloading 1. To offload, please make your way to your location. 2. On your arrival at site a site manager will issue you with 3. A parking permit that allows you to offload. 4. Your parking permit for the weekend either for free parking at Ysgol Aberconwy or in CCBC Pay and Display car parks if you have paid for a permit. 5. Please clearly display your name and mobile number on offload and free parking permits 6. Once offloaded please make you way to your chosen parking area 7. Gwledd Conwy Feast will not be held responsible for any parking penalties incurred. I. Set Up & Dismantle Stalls Please refer to FINAL arrangements documentation on set up and dismantle instructions See EXHIBITORS INFORMATION on our website J. Public Liability Insurance 1. You MUST provide a copy of your Public Liability Insurance BEFORE the event. Insurance must be valid for the weekend of the event. 2. If we have not received a valid copy of your insurance then we will be left with no alternative than to cancel your reserved pitch. 3. No refund will be made available. K. Cancellation/Refund Policy If you should cancel your booking, a sliding scale of refund of fees will be applied as follows: Cancelled before date Percentage of fee refundable 17 th August 2018 75% 14 th September 2018 50% After 15 th September 2018 0% L. Security 1. Gwledd Conwy Feast provides overnight security for the duration of the weekend 2. Produce or equipment left on stalls overnight is done so at your own risk
M. Festival Public Opening and Closing Times Please refer to Set up & Dismantle Instructions Friday Quayside Street food only 1. Stands should be fully functional by 6.00pm on Friday evening. 2. Outside quayside vendors remain open at own discretion but no later than 10.00pm Friday Saturday 1. Stands should be fully functional by 9.00am on Saturday 2. The River Food Hall remains open until 6.00pm on Saturday 3. Outside quayside vendors remain open at own discretion but no later than 10.00pm Saturday 4. Outside vendors in High Street remain open at own discretion but no later than 9.00pm Saturday Sunday 1. Stands should be fully functional by 9.00am on Sunday 2. The River Food Hall remains open until 5.00pm on Sunday 3. Outside quayside vendors remain open until 5.00pm Sunday 4. STRICTLY no vehicle access or dismantling BEFORE 5.00pm Sunday 5. We follow a tried and tested dismantling process that ensures both a smooth and speedy process. We ask for your patience and follow our instruction.
