The Club at Indian Springs Private Party Policies Event Contract: The Club at Indian Springs will furnish an event contract that details arrangements for the function and estimates the event s total cost. This contract must be signed and returned to the Club two weeks prior to the event. If the function is booked fewer than thirty (30) days in advance, the event contract is due immediately. Payment: A non-refundable deposit of $300.00 is required to hold space on a confirmed date for all private parties. An opening fee of $1,000.00 is required to hold space for all Monday events (i.e. golf outings). All above deposits are non-refundable. Guarantee: Guarantees are due 5 working days before the event. A guarantee ensures the number of people attending the function; this number is not subject to reduction. When actual attendance is less than anticipated, the guarantee number will be billed. If the Club does not receive a guaranteed number of people attending from the host by the deadline, the number of guests indicated when the function was initially booked will serve as the guarantee. Any attendance for the function, which is greater than the guaranteed amount, will be charged accordingly. If the guarantee number is less than what was stated and is changed less than three (3) working days prior to the event the guarantee number will be billed. If the number is greater than the guarantee the club will charge accordingly.
Cancellation: If an event is cancelled fewer than three (3) working days before the event, the host will pay the Club s cost for food and services offered, in addition to the non-refundable deposit. During the holiday season, four (4) weeks cancellation notice is required. Four (4) weeks cancellation notice is also required for all wedding receptions. Tax and Gratuities: A service charge of twenty percent (20%) for the total of all private party food and beverage charges will be added. An 8.417% sales tax will also be added. A 13.5% liquor tax will be added to all alcoholic beverages. If the function is tax-exempt, then a copy of the host s tax ID number is required. Provision for Food and Beverage: All food and beverage must be ordered through the Club. Absolutely no food and beverage can be brought into the club by the host or their guests without the expressed consent of the management. This includes: liquor, wine, and high point beer. Decorations: Absolutely no holes may be poked/made in the walls (woodwork or wallpaper) for hanging decorations purposes. Only tape and sticky materials may be used.
