Policies The hotel shall not assume liability for any damage, loss of merchandise, or articles left in the hotel prior to or following a banquet or meeting. The hotel is not responsible for damage caused by acts of God. Arrangements for security of exhibits, merchandise or meeting room articles may be set up through our Event Management Team. The hotel has the right to monitor and control all events in the facility. Costs to repair damages to the premises, if they should occur, will be charged to the group, or person, making arrangements for the event. All items related to the event must be removed from the room(s) immediately following the event. A non-refundable confirmation/cancellation deposit in the amount of $1,500 is required with a signed contract in order to hold the requested date and space. The deposit will be applied toward the final balance due. 75% of your full estimated balance is due 90 days prior to your reception. Final number of guests along with remaining balance is due five (5) working days prior to your reception. At this time, numbers may not be reduced. Smoking is prohibited inside the hotel and only permitted in designated areas outside the hotel. Your menu selection should be submitted to the DoubleTree by Hilton Lafayette East no later than 30 days prior to your scheduled event. Our catering department will be happy to provide a custom menu for your event, if you wish. Banquet events will not be executed without a signed banquet event order and signed contract. Local and state fire codes must be observed. Fire exits, aisles, and equipment must not be obstructed in any way. Should the hotel deem the event necessary of having security, security guards will be provided at the expense of the client. Wedding cakes may be provided by an outside, licensed bakery. The hotel is not responsible for any lost or stolen items. It is the policy of the DoubleTree by Hilton Lafayette East that all food (with the exception of special occasion cakes), non-alcoholic, and alcoholic beverages must be purchased from our facility due to the State of Indiana Liquor Laws and the Indiana State Board of Health. The hotel reserves the right to end any event if policies are not followed. Food and/or beverage provided by the hotel will not be allowed to leave the hotel at the conclusion of the event. No person under the age of twenty-one (21) shall be served alcoholic beverages under any circumstances. The hotel reserves the right to stop bar service for any group or guest at its discretion. All décor must be approved by the hotel event staff no later than 30 days prior to the event. Glitter, confetti, or any like substance is prohibited from being used on the hotel premises. If glitter, confetti, or any like substance is used, a carpet cleaning fee will be deducted from the deposit. Open flames must be contained at all times. No banners, signs or décor of any kind may be attached to the floors, walls or ceilings. A $100 bartender fee per bartender, per bar will be applied. We require two bartenders for parties exceeding 150 people. A food minimum of $5,000, plus tax and gratuity, is required for all wedding receptions held at the DoubleTree by Hilton Lafayette East on a Saturday. A food minimum of $4,000 is required for wedding receptions held on Fridays and $3,000 for receptions held on Sundays for the entire ballroom.
