Administration Guide

This guide will help you setup and maintain your High Speed Waiter online ordering website. While this guide isn t necessary, it will help you gain a better understanding of how to administer your online ordering website, and if you refer to this guide as you setup your online ordering website, you ll probably be able to get through the setup process more quickly. I. Login Credentials - These are what you ll use to login to http://admin.highspeedwaiter.com in the future, when you want to update any of your information or view your online ordering reports. You can change these anytime. After you save your login credentials, they ll be emailed to you. II. III. Name and Address a. Restaurant Name - This is the name your customers will see on your online ordering website and in the order confirmation emails they receive after placing an order. b. Address Fields - Your restaurant s address will be geocoded, allowing you to specify a delivery area around your restaurant so that only customers within your specified delivery area can place a delivery order from you. If High Speed Waiter can t find the address you enter, you can turn off geocoding. c. Time Zone - This will be used to accurately display your restaurant s hours to your customers and restrict your customers from placing online orders during hours you re not open. Website Address a. High Speed Waiter website address - Your High Speed Waiter website address is where your customers will go to when they want to access your online ordering website and place an online order. If you currently have a website, put a link on your current website to your High Speed Waiter website address. If you'd like to use your own domain name instead of your High Speed Waiter website address, you can purchase a domain name and then forward it to your High Speed Waiter website address. godaddy.com is a good place to purchase a domain name (Go Daddy charges around $10/year to register a domain name). b. Initial page your customers go to: i. Directly to my restaurant's online ordering menu (recommended for most restaurants) - If this option is selected, your customers will be directed to your menu when they go to your website address. If they re an existing user, they ll be required to login later in the ordering process. If they re a new user, they ll be required to enter their address (for delivery orders) later in the ordering process. If your restaurant offers delivery and choose to have their order delivered, High Speed Waiter will verify that they ve entered an address that s within your delivery radius later in the ordering process. The advantage of using this option is that your customers will be able to immediately see your complete menu and begin ordering from you without delay. ii. To a page that allows them to first either login or enter their address before going to my menu - If this option is selected, your customers will be directed to a page that allows them to either login (if they re already a registered customer) or enter their address (if they re a new customer). The advantage of using this option is that your existing customers won t need to login later in the ordering process and your new customers won t need to enter their address later in the ordering process. IV. Sales Tax - Your customers will see tax as a line item in the order confirmation screen before they place their order and in the order confirmation email they receive after their order is placed. Please input your sales tax without the percentage sign (for example, you would enter "8.5" if your sales tax rate was 8.5%.) V. Restaurant Hours a. Restaurants that don't stay open past midnight will have one Day/Time range corresponding to each day they are open. For example, if you are open from 10:00 am to 9:00 pm Monday through Friday, you would have five Day/Time range rows, each with the same day in the Day Open drop down list as is in the Day Close drop down list. If, on the other hand, your restaurant is open from 10:00 am Friday to 2:00 am early Saturday morning, you would have Friday 10:00AM in the Day/Time Open column and, in the same row, Saturday 2:00AM in the Day/Time Close column. b. "Hours Display" is how your restaurant's hours are formatted for displaying to your customers online. For example, if you are open from 10:00 am to 11:00 pm Monday through Saturday and closed Sunday, you might want to input something like: Monday - Saturday 10AM-11PM Closed Sunday c. Note that you can set different hours for delivery on the Delivery/Takeout Information page. VI. Delivery / Takeout Information a. My name for Takeout is not "Takeout" - Check this box if you use a different term for takeout than Takeout (such as "Carryout" or "To Go"). Upon checking the checkbox, a field will appear which allows you to specify what term you d like to use. The term you specify will show up in your online ordering website everywhere Takeout would ve appeared. b. Include "Dine In" option - If you check this checkbox, a third option will appear along with Delivery (if applicable for your restaurant) and Takeout called Dine In, allowing your customers to specify that they ll be eating at your restaurant instead of having food delivered to them or picking up their food at your restaurant. c. My restaurant has delivery - Check this checkbox if your restaurant offers delivery. i. Delivery Area - This is the area around your restaurant that you deliver to. Delivery will be disabled as an option for customers who enter an address that s outside of your delivery area. It can either be set up by radius (in miles, decimals are acceptable), or you can map out the Delivery Area manually. ii. My restaurant has a minimum ticket for delivery - If your customers must have a certain minimum order subtotal for you to deliver to them, check this checkbox. Customers who attempt to place a delivery order and don t have your minimum order subtotal will be prompted to either add more to their order or change their order to takeout. iii. My restaurant has an additional charge for delivery - If you d like an additional charge to be added onto orders when your customers place a delivery order, check Page 4

this checkbox. This additional charge will show up as a line item in your customers checkout screen before they submit their orders to you. iv. Default customers to delivery instead of takeout - When customers first enter your online ordering website, their order is set as a takeout order. To make it so that when your customers first enter your online ordering website, their order is set as a delivery order, check this checkbox. v. Turn off High Speed Waiter.com Address Geocoding for all orders - Address geocoding verifies that addresses entered by your customers are valid (only used when your customers are placing a delivery order). Check "Turn off High Speed Waiter.com Address Geocoding for all orders" to disable this feature. vi. My restaurant's delivery hours are different from my restaurant's regular hours (set in "Restaurant Hours") - If your restaurant s delivery hours are different from the hours you set on the Restaurant Hours page, check this checkbox and specify your restaurant s delivery hours. Use the directions in the Restaurant Hours section above for information on how to go about setting up hours. VII. VIII. Restaurant Info Page - The information you enter and the image you upload here will correspond to the "Restaurant Info" page in your online ordering website, which can be accessed by your customers via the middle tab in the header section of your site. Here you can let your customers or potential customers in on what your restaurant is all about... Perhaps some history, some descriptions, or perhaps why your food is better than everyone else's. a. Image - This is the image that will be shown at the top of your Restaurant Info page. The following file formats are accepted:.gif,.jpg,.jpeg, and.png. The image you upload here will be resized automatically. b. Text to be displayed - This text will go directly below the image that you upload. Use this field to talk about your restaurant. c. Restaurant Phone Number - Sometimes your customers will need to call you, even when placing an online order. This is where they can find the phone number they can use to reach you. d. Restaurant Fax Number - This field is very important - not only is your fax number displayed to your online customers on your Restaurant Info page, but High Speed Waiter will use the number you enter here to automatically fax orders to your restaurant that are placed on your online ordering website. Upload Restaurant Logos - There are three different places where your logo can go on your online ordering website. If you don't currently have a logo image file for your restaurant, you can choose the "Use Text in Place of Uploaded Image Files for the Logos on My Site" option, which will simply substitute your restaurant's name in place of the image files. You don't have to worry about the images you upload being too big for the page it corresponds to; High Speed Waiter.com will automatically resize your image accordingly, if necessary. Acceptable file types are.gif,.jpg,.jpeg,.png, and.swf (flash). Page 5

IX. Set Site Color Scheme - Use this page to customize your online ordering website's color scheme. Choose from the default color scheme, a simple 3-color scheme mode, or tailor every color of your website using the advanced color scheme mode. For the custom color schemes ("Use My Own Color Scheme") there are screenshots at the bottom of the page that depict where each color will go on your site. To view the color changes on your online ordering website, click the "View Your Online Menu" button above (just refreshing your site, if you already have it open, may not be good enough, as many of the colors in your site are cached). X. Payment Information - Use this page to edit the types of payments you'd like to accept online. They will be displayed to your customers at the end of the online ordering process, right before they place their online order. High Speed Waiter will simply include whatever payment information is entered by your online customers in the fax we send to you after an order is placed. You can then process credit cards just like you usually do (much like when customers call in to place an order and read off their credit card information). While High Speed Waiter doesn't process credit cards, we will verify that credit cards entered on your online ordering site are valid credit card numbers. XI. Approximate Order Fulfillment Times Table - This page is where you set how long orders generally take to be available for pick-up or to be delivered to your customers. This information shows up on the "Checkout" screen in your online ordering website, reading "Available for pickup in approximately X minutes" or "Order will be delivered in approximately X minutes". You can either set your approximate order fulfillment times once and just leave them as is, or you can login to http://admin.highspeedwaiter.com if you re especially busy (or especially light) and modify your order fulfillment times anytime. Entering information on this page is not required, and if nothing is entered for the time span when a user is ordering, the "Available for pick-up in..." or "Order will be delivered in..." lines will simply not show up in the Checkout screen. XII. Other Information a. Expand Menu Item Display - This option will expand the menu when an item is selected so that all possible options and toppings are shown instead of being in a drop-down menu. b. Show Images in Menu - This option will show the full image on the main menu page instead of the camera icon that indicates a picture can be seen when the item is selected. c. Use a Custom Header - This allows you to replace the default top bar of the Menu page (Logo, Welcome, Recent Orders button, etc) with a custom banner of your choosing. Default height is 96, but that can be modified. d. Show "Please Choose" Option - If this checkbox is checked, an option that says, <Please Choose> will show up as the first option in each of the modifiers in the menu items on your online ordering website. Your customers will then be required to choose one of the options you ve inputted before adding menu items to their order. Alternatively, if this checkbox is unchecked, each of your modifiers will have a default option (an option that s selected when your customers click on a menu item). If the Show "Please Choose" Option checkbox is Page 6

checked, selecting a default option for your modifiers when you re creating your online menu won t do anything. e. Hide Special Instructions Input Field in Menu Items - This option allows you to hide the Special Instructions field from all menu items. Customers will not be able to add a comment to their menu choices if this is selected. f. Online Order Fee - Check this checkbox if you d like to add on an online ordering charge to all orders placed online (because High Speed Waiter charges you nothing for our service, this extra charge is yours to keep). g. Show Tip Line - This option allows you display a Tip Line on the checkout page, allowing customers to tip in advance an amount of their choosing. h. Future Order Leeway - When your customers checkout, they ll be given the option to place their order for future delivery or takeout (they ll be forced to do so when they re placing an order while your restaurant is closed - they ll be required to place an order who s scheduled time is when your restaurant is open). When customers choose to create an order for a future date, they need to give you enough time to actually create the order. "Future Order Leeway" is where this amount of time is specified. i. Use Future Order Calendar - This option allows you to use a calendar on the checkout page for future orders, allowing your customers to place orders for more than 8 days in advance. j. Confirmation Email - If this checkbox is checked, High Speed Waiter will automatically generate and send an email to the email address or addresses of your choice whenever you receive an online order, thus allowing you an added confirmation. Note that the customer who placed the online order will always receive a confirmation email regardless of whether or not this field is checked. k. Custom Confirmation Screen Text - This option allows you to replace the standard Your order was placed successfully text on the order confirmation screen with text of your choosing. l. Custom Confirmation Screen Continue Link - This option allows you to change where customers are redirected to when they select Continue on the order confirmation screen. They are redirected to the online ordering home page by default. m. Inactivate "Order Online" Button - If you click on the "View Your Online Menu" button above, then type in an address and hit "Find", you will be taken to a page that has a button next to your restaurant that says, "Order Online". You can inactivate this button and change what it says using "Inactivate "Order Online" Button" below. n. Inactivate "Place Your Order" Button - At the end of the ordering process in your online ordering website, there is a button that says, "Place Your Order". This is the final confirmation that customers see right before an order is placed and sent to your restaurant. You can inactivate this button and change what it says below. o. Activate Repeat Returns Integration - If you have the Repeat Returns loyalty program, you can activate the integration here to allow your customers to receive points for their online orders. If you do not know any of the below, Repeat Returns can provide them for you. i. Repeat Returns API Store ID - This is your Store ID. ii. Repeat Returns API Username - This is your Widget/API username. Page 7

iii. Repeat Returns API Password - This is your Widget/API password. iv. Repeat Returns Enrollment Form QueryString - This is obtained from the end of your Online Enrollment Page URL. v. Enable Bonus Points for Online Orders - This allows you to award Bonus Points to customers who order online. It can be set up to award them X amount of Bonus Points for every ($5, $10, $15,, $50) spent. XIII. XIV. Menu - Please see the section below titled Creating Your Online Menu Item Images - Once you ve created your online menu, images can be uploaded for each menu item in your online menu. To upload in image for a specific menu item, click the plus sign next to a menu item category to expand the menu items below, and then click the "Browse..." button to select a menu item image to upload. Upload as many or as few menu item images as you choose. To remove a current menu item image, click the "Remove Image" button to the right of a menu item. High Speed Waiter will automatically resize the images you upload to fit accurately within your online ordering website, creating both a thumbnail of the image for the menu item's "menu item group" page and a larger image for its "order menu item" page. Acceptable file types are.gif,.jpg,.jpeg, and.png. Creating Your Online Menu Please note: If you don t want to spend the time creating your High Speed Waiter menu yourself, we'll help get you started by inputting your menu for just $299. Here are descriptions of the different terms you ll see when creating your online menu on http://admin.highspeedwaiter.com: Menu Item Category - Menu Item Categories are how menu items are grouped together on your online ordering website. Some examples are: o "Appetizers" o "Salads" o "Kid's Menu" Menu Item - Menu Items are at the core of your online ordering website, with your orders typically consisting mostly of menu items. Examples are: o "Pasta Primavera" o "Greek Salad" o "Buffalo Wings" o "Veggie Pizza" Modifier - Modifiers allow menu items to be customized. When your customers order your menu items, modifiers appear as drop-down boxes, allowing your customers to select a certain option. With modifiers, only one option can be selected. Examples are: o Size Page 8

o o o Type of Crust Choice of Filling Bread Type Option - Options belong to modifiers. One option is selected by your customers for each modifier you create within a menu item. You can think of options as the choices in a multiple-choice question. Examples are: o Small, Medium, and Large (would belong to the modifier Size ) o Original and Pan (would belong to the modifier Type of Crust ) o Beef, Chicken, and Steak (would belong to the modifier Choice of Filling ) o White, Wheat, Rye, Sourdough, and Kaiser Roll (would belong to the modifier Bread Type ) Topping - Toppings can refer to anything you d like your customers to be able to select more than one of within a menu item (by contrast, only one option can be selected within each modifier on a menu item). Toppings can be added to and removed from menu items by your customers and you can specify that certain toppings be on a menu item by default. Examples are: o Toppings on a pizza ( extra cheese, green pepper, pepperoni, onion ) o Condiments on a sandwich ( mustard, mayo, lettuce, tomato ) o Components of a salad ( spinach, onion, tomato, chicken, parmesan cheese ) Beverage Category - A beverage category is a group of beverages that all have the same price. Examples are: o "2-Liter" o "Six-Pack" Beverage - A beverage is a specific type of drink within a beverage category. Examples are: o "Coke" o "Sprite" o "Water" Special - Specials put menu items and/or beverages together into a single item (usually for a discounted price). For example: o On Tuesdays, get two large 2-topping pizzas and a 2-liter soda for just $20.00. Coupon Code - Coupon Codes can be inputted by your customers at the end of the ordering process. There's a "Coupon Code" field on the "checkout" page which, if filled in with a coupon code you create here, will give the customer a discount. For example: o "Enter 12345 to get $5.00 off your first online order (Min $20.00)" Add-On Automatic - Add-Ons will be displayed to your customers automatically before they checkout, asking them if they'd like to add certain items on to their order - a great way for you to make extra money! For example: o "Add an order of breadsticks to your order for just $2.00 when you purchase any large pizza." Page 9

Take a look at the following screenshot. Pepperoni Lovers is the menu item. Choose a Crust and Choose a Size are modifiers. Thin Crust and Medium are options. Extra Cheese and Mushroom are toppings. On the left side of the screen, Appetizers, Sides, Soup and Salads, etc. are menu item categories. The best way to go about gaining an understanding for how to create your menu is by first adding a menu item category, then a menu item, then a modifier with a couple of options, and finally a couple of toppings. Take a look at how your menu looks by clicking the View Your Online Ordering Website link. This should give you a pretty good idea of how everything within your new High Speed Waiter menu works with everything else and how things are created. ----------------------------------------------- Here are some examples of items from various menus and how to go about putting them into High Speed Waiter: Taco - Corn or flour tortilla filled with your choice of chicken, beef, veggies, or shrimp and garnished with shredded cheese, lettuce, pico de gallo, sour cream, and guacamole. Price is $8.95, shrimp is $1.00 extra. Page 10

Create a new menu item by clicking [Add Menu Item Here]. Make sure the correct menu item category is selected, then input Taco in the name field, and input Corn or flour tortilla filled with your choice of chicken, beef, veggies, or shrimp and garnished with shredded cheese, lettuce, pico de gallo, sour cream, and guacamole. in the description field, and input 8.95 into the base price field. 3. Click [Add Modifier], then click [Add a New Modifier]. Enter Type of Tortilla in the name field and check the Option #3 radio button (neither of the options we re about to add has any Page 11

affect on the price of the taco). Scroll down and click [Add Option], then enter Corn. Click [Add Option] again and enter Flour. Click the Save button. 4. Once again, click [Add Modifier] and click [Add a New Modifier]. Enter Choice of Meat in the name field. This time, check Option #2 because shrimp, one of the choices of meat, is $1.00 extra. Scroll down and click [Add Option], then enter Chicken. Click [Add Option] again and enter Beef. Click [Add Option] again and enter Veggies. Click [Add Option] again and enter Shrimp. 5. Scroll down to the Choice of Meat modifier on the Taco menu item. There should be input boxes in the Amount Adds column, allowing you to edit the amount of money choosing each option will add to the menu item when it s ordered by your customer (or subtract from the menu item, if you put a - sign in front of the number). Change Shrimp to 1.00. Leave all the others as 0.00. Page 13

6. Scroll down to the Topping area and click [Add a Topping to this Menu Item]. Click [Add a New Topping] and enter Shredded Cheese. Click Save. Repeat this same process for Lettuce, Pico de Gallo, Sour Cream, and Guacamole. 7. Check the checkbox in the On by Default column for all of the toppings that you just added. This will make the toppings show up as already added to the menu item when your customers are ordering it. Page 14

8. In the Topping Options area, click the Hide "Whole" / "First Half" / "Second Half" Options checkbox and the Hide "Double" Option checkbox. If you left these checkboxes unchecked, your customers would be given the option of only adding each topping to the first or second half of the menu item (not applicable to our taco) and adding double the topping to the menu item (also not applicable to our taco, although it could be applicable to some). 9. One final thing to point out: If you didn t check the Show "Please Choose" Option checkbox in the Other Information page, you ll be able to set default modifier options. Just check the option in the Default column of each modifier which you d like to show up as the initially selected (default) option when your customers are ordering this menu item. Page 15

4. Once again, click [Add Modifier] and click [Add a New Modifier]. Enter Choose a Size in the name field. This time, check Option #1 because the toppings we ll be adding to this menu item will have different prices depending upon which size is selected. For example, adding chicken to this menu item when Large is selected will add $1.25, but adding chicken to this menu item when Extra Large is selected will add $1.75. Scroll down and click [Add Option], then enter Small. Click [Add Option] again and enter Medium. Click [Add Option] again and enter Large. Click [Add Option] again and enter Extra Large. 6. When a modifier s method of pricing is Option #1, a section called Base Prices of Menu Item with Modifiers Selected will appear in your menu item. Scroll down to this section and set the base prices for each of the options in the Choose a Size modifier. Small = 9.95, Medium = 12.95, Large = 16.95, and Extra Large = 19.95. Check the Is the Default radio button for Large. Check the Include on Menu Page checkboxes for all of the options (If this checkbox is checked, the option will show up in the main Menu page of your restaurant's online ordering website - the first page your customers see when going to your restaurant's online ordering website). Fill in the Menu Page Text textboxes with Sm for Small, Med for Medium, Lg for Large, and XL for Extra Large. Page 20

7. Scroll down to the Topping area and click [Add a Topping to this Menu Item]. Click [Add a New Topping] and enter Ham. Click Save. Repeat this same process for Onion, Pineapple, and all of the other toppings that you d want your customers to be able to add to this menu item (such as Pepperoni, Green Pepper, Olive, etc.). 8. Check the checkbox in the On by Default column for Ham, Onion, and Pineapple. This will make the toppings show up as already added to the menu item when your customers are ordering it. 9. Click the [Edit] link next to each of the toppings you created and enter 0.75 as the price for Small, 1.00 as the price for Medium, 1.25 as the price for Large, and 1.75 as the price for Extra Large.
