G E N E R A L I N F O R M A T I O N Gratuity 18%Service Charge will be included to any food and beverage items that are purchased Guarantee All functions with food and beverage require a full guarantee count no less than 72 hours in advance. This guarantee will be the minimum number of which fees will be charged. If a guarantee is not given within the 72 hours, the client will be charged for the higher number of expected guests at the time of booking. Cancellations cancellation of any function less than fourteen (14) business days prior to the event will be subject to an 80% cancellation penalty of the estimated revenue for the entire event. Payment/Billing arrangements Direct billing applications may be obtained from the catering office and must be received at least 3 weeks prior to the function. Without direct billing approval, advanced payment or credit card guarantee is required for all bookings. Food and Beverage The Hilton Garden Inn Calgary Airport must supply all food and beverage served in the banquet rooms. No Outside food or beverage is permitted within the hotels public areas. If there is any outside food or beverage brought into the room an automatic $200.00 charge will be issued to the client. All Prices are subject to change - a guaranteed price will be confirmed 90 days in advance. Entertainment all musical entertainment is subject to SOCAN and Re:Sound charges. Events with dancing will be subject to a total combined amount of $59.64 charge and events without dancing will be subject to a total combined amount of $29.81 charge. If you are unaware of what SOCAN or Re:Sound is, please contact the catering manager for more information. Liability thumbtacks, nails, tape, staples, and confetti are not to be used in any of the banquet rooms. Any damage caused by the use of these items will result in a charge to the convener. Painters Green tape as well as fun tack is acceptable. Shipping, Receiving, and Storage subject to prior arrangements and space availability, minimal amounts of materials or supplies for you function may be delivered to the hotel a minimum of 5 days prior to the function. Boxes must be marked and addressed properly with the name and date of the function. The hotel does not accept liability for loss or damage to goods stored prior to arrival or following the stay. Should there be unusually heavy items that need to be maneuvered and stored, additional charges may apply. Early Setup Early setups are subject to availability of your reserved function room and a $50.00 pre setup fee. Re Setup upon day of arrival if the room setup needs to be changed other than specified on the contract there will be a $50.00 re-setup fee that will apply. 2.
