Dear Prospective Vendor, Thank you for your interest in the 2nd Annual Food & Wine Festival, and Grape Stomp! at the Dancing Dragonfly Winery on September 13 and 14 in picturesque St Croix Falls, Wisconsin. Dancing Dragonfly Winery is located just 1 hour northeast of Minneapolis/St Paul. We are a premier winery with 32 acres of cold climate grapes. We began production in 2012 and opened our tasting room doors in 2013. The winery hosts weddings, business meetings, events, and is open daily for tasting of our award winning wines. GENERAL FESTIVAL INFORMATION Festival Hours Saturday, September 13 10:00 a.m. 8:00 p.m. Sunday, September 14 Noon 5:00 p.m. We will be celebrating all things autumn with a 2-day event featuring wine tastings, live music, artisan arts and crafts booths, food trucks, wagon rides, and children s activities. Don t forget the grape stomp! Dancing Dragonfly Winery will be advertising in local papers, City Pages and various event websites, along with our website and social media platforms. We encourage vendors to advertise their participation at our fall festival on their own social media sites. VENDOR DETAILS Vendor Setup Friday, September 12 Noon 6:00 p.m. Exhibitors must be on the premises by 9:00 a.m. Saturday morning, with booths ready to open by 9:30 a.m. Vendor s setting up their booth for the first time on Saturday morning are not guaranteed to have their assigned booth space. Application to this fair does NOT guarantee acceptance. While our event is not officially a juried fair, a committee screens all products looking for handcrafted items, uniqueness, demonstrations, previous participation at a Dancing Dragonfly Winery event, and a balance of products festival-wide. Direct sales businesses (Tastefully Simple, Norwex, etc.) are not allowed. Only pre-approved items may be sold. We will notify you via e-mail of your acceptance to the festival. Returning vendors please fill out this application in full, with the exception of submitting pictures (unless you have new /additional products). Products to be sold will be based on the photos and description of the work submitted. Please email three to five digital photographs of your art or craft. A photograph of your booth is desired but is not required. Please complete the application attached and email/mail the required documents by September 1, 2014. Vendor Fees NEW INFORMATION! Dancing Dragonfly Winery is committed to developing ongoing partnerships with businesses that have participated in previous events. We are offering ZERO VENDOR FEE, however a refundable booth deposit is required when submitting your application. Deposits will be refunded by check at the close of the festival on Sunday, September 14. Vendors will lose their deposit for the following reasons: Cancelling participation in the festival after September 1, or Not showing up on either Saturday, September 13 or Sunday, September 14.
Required Application Documents: 1. Completed vendor application with refundable booth deposit payment, 2. Signed Vendor Agreement, 3. Completed S-240, and 4. 3-5 digital pictures emailed to festivals@dancingdragonflywinery.com. STATE OF WISCONSIN AND POLK COUNTY PERMIT REQUIREMENTS Non-food Vendors A completed Wisconsin Temporary Event Operator and Seller Information Form S-240 (attached). Many small businesses are exempt from this requirement under the Occasional Sales Rule. Food Vendors In addition to collecting sales tax, vendors selling food to the public are required by Polk County Health Department to have the following documentation on file here at the winery: 1. State Retail Food License for the kitchen your food is made in, and 2. A WI catering license to sell food at a location other than your licensed kitchen OR a seasonal temporary event permit for Polk County. If you do not have the proper food vendor permits for Polk County or have questions regarding this please contact Brian Hobbs, brianh@co.polk.wi.us or (715) 485-8532. Rain Plan This is an outdoor event, and vendors should be prepared for inclement weather. However, in the case of extreme weather (winds above 30 mph, thunderstorms, etc.) the event will be moved inside the winery s main building to the extent possible. A total of 12 product vendors may set up on 4-6 tables in a designated area of the building. First option to move inside will be given to returning vendors. Vendor fee will be refunded to the businesses not able to be moved inside. MORE DETAILS All trash must be placed in nearest trash container. Exhibits must be open at all times during the show. Exhibitors who take down early or do not arrive on Sunday will not be invited back to future events, nor will the vendor fee be refunded. No beverages of any kind are allowed to be sold, or unapproved foods or products. Power is not available at festival site. Quiet generators are allowed. Vendors must park in designated space. Exhibitor AGREEMENT Dancing Dragonfly Winery Exhibitor at Fall Food & Wine Festival In this agreement, Dancing Dragonfly, LLC is referred to as DDW, and the person responsible for the booth is referred to as Exhibitor. This agreement covers the event held on September 13 and 14, 2014. Exhibitor is allowed to begin setting up on Friday, September 12th, from noon to 6:00 p.m. Festival hours are Saturday 10:00 a.m. to 8:00 p.m. and Sunday noon to 5:00 p.m. Exhibitor agrees to: Setting up their booth by Saturday at 9:30 a.m., and be on premises by 9:00 a.m. Saturday morning, 11:30 a.m. on Sunday morning; Be prepared for inclement weather, as the festival continues rain or shine; Sell only items pre-approved by DDW; Set-up booth in area assigned by DDW; Be open at all times during the Festival, as any Exhibitor who leaves early will not be accepted back to future events, nor will their refund be granted; Be off the premises by 9:00 p.m. on Saturday night and 7:00 p.m. on Sunday night; Place all trash in DDW s dumpster and at end of Festival clean the area surrounding the booth; Not sell beverages of any kind; Procure and demonstrate required Wisconsin permits; Use only approved generators ; and Park in the designated exhibitor parking space once their booth is set-up. Exhibitor also agrees to the following: 1. Assumption of Risk. The Exhibitor acknowledges that every precaution will be taken by DDW to ensure a safe environment. In the absence of willful misconduct or gross negligence, DDW will not be responsible for any inju ries to any parties connected to Exhibitor. 2. Waiver of Liability. The Exhibitor agrees to release, waive, discharge, and covenant not to sue DDW from any and all liabilities, claims, losses, demands, or causes of action, except in the event of gross negligence of DDW. 3. Hold Harmless and Indemnification. The Exhibitor agrees to defend, indemnify and hold harmless DDW from and against every loss, claim, expense (including attorney s fees and costs), liability, or payment, by reason of any damages or injury to person or property (including loss of use or theft thereof) directly or indirectly arising out of, or in connection with, this Agreement.
