Event Guidelines 1. Any changes to meeting room set within 12 hours of event will incur a $150 re-set fee. 2. Packages delivered to Hilton will be placed in meeting room upon arrival, unless arrangements are made with the Hilton Sales Department prior to delivery. Hilton assumes no liability for packages shipped but not received. 3. Cancellation fees are as follows: i. Cancellation 30 to 15 days before event is entitled to full refund and no penalty. ii. Cancellation 15 to 10 days before event will result in a fee equal to 25% of estimated revenue. iii. Cancellation 10 days or less will result in a fee equal to 50% of estimated revenue. 4. At initial time of booking, an estimated number of attendees for the event is required. All events with catering require a final guaranteed count no less than 72 hours prior to event. This guarantee will be the minimum number for which fees will be charged. Without this guarantee, fees will be based on the original estimated attendance as the minimum amount. 5. Materials, posters, signs, or literature may not be affixed to any meeting room, guest room wall or corridor without written permission from the hotel management prior to the event. 6. No glitter or confetti may be used in the meeting rooms without prior approval by the hotel or a $50.00 clean up fee will apply. 7. Any damage to walls, floors, hotel equipment of furniture is the responsibility of the client company and will be charged accordingly. 8. All meeting room assignments are subject to change. Please refer to the daily schedule of events in the lobby upon arrival for verification of your meeting room. 9. Meeting room is only guaranteed during times specified on Banquet Event Order/Contract. If you would like to request an early set-up time, prior arrangements must be made through Sales Department only. 10. All events are subject to a 20% service charge, appropriate set-up fees, and applicable state and local taxes. 11. No outside food or beverages are allowed into the hotel meeting areas without written permission by the hotel management. All other food and beverage must be purchased through the hotel Sales Department. Should you bring in unauthorized food and/or beverage a minimum $150 penalty fee will be applied to bill. 12. Hotel amenities such as the swimming pool, fitness center, business center, as well as the complimentary drink station in the lobby are off limits to anyone other than registered hotel guests. 13. Any children in meeting space must be attended by an adult at all times.
