NICRA SUPPLIER MEMBER SPOTLIGHT Employee Theft By Roger Trahin, CIC Trahin Miller Insurance Services, Inc 95% of all businesses experience employee theft Studies by the Department of Commerce, American Management Association and other organizations estimate that employees steal over a billion dollars a week from their unknowing employers. Other studies estimate that nearly 1/3 of all bankruptcies are caused by employee theft and it takes approximately $20 in sales to offset every $1 lost to theft. Often management has indications of the problem through declining profits, unexplained inventory shortages, rumors and many other signs. Management Misconceptions Most theft is caused by non-employees Well-paid and/or senior employees are trustworthy/loyal and don t steal Honest employees can be counted on to report employee theft Employee theft is conspicuous and can be detected in its early stages You don t need to formally inform employees that theft will not be tolerated Signs of Theft (or theft in progress) Inventory or product found near employee exits or dumpsters Sensitive documents discovered in copy machines Employees in key positions who refuse to take time off Photo-copied documents used in lieu of originals have been signs of past theft Why Employees Steal Opportunity presented itself through lax policies, controls and management indifference Employee perceives the belief management was stealing so it was okay for them to steal I am underpaid and I only take what I deserve The company angered me and I got back at it Everyone does it, besides, they can write it off The company makes a large profit and I deserve some of it If management wants a theft free work environment, it must set the example of honesty and adherence to policies. How to Interview an Employee Suspect There are a number of crucial issues to consider in dealing with an employee suspected of theft. Trying to find the truth without creating serious legal and/or employee relation problem. The following are just a few of the basic steps to be followed in determining the facts of a theft incident 6 NICRA June 2013

CALL YOUR NICRA SUPPLIER MEMBERS FIRST leading to the interview of suspects: Carefully evaluate the source and validity of any information that alerts management to a potential theft problem Gather as much information or evidence regarding the alleged theft as possible prior to taking any action If necessary, review facts and findings with an attorney, auditor in areas of legal and accounting concerns Know all of the legal and labor concerns regarding the interview of a suspect Stick to and discuss issues at hand. Don t deviate or allow deviation from obtaining the truth and facts surrounding the situation Dealing with employees suspected of theft tests the emotions, restraint, legal knowledge and objectivity of every manger and supervisor. Since the consequences of mishandling the investigation of employee theft is so great, the key is to learn the procedure now and not learn during the course of an incident. How to Prevent Losses Until management gains an accurate understanding about employee theft and initiates sound loss prevention measures, it will remain a major drain of profits productivity and employee morale. Minimally, the following steps should be taken: 1. Conduct a survey or audit of your business. Identify possible existing theft and potential opportunities or risks to potential theft. Immediately develop a plan to eliminate or reduce your exposure to these risks 2. Educate supervision and the general employee population as to the impact employee theft has on them and how they, not just management, are the key to solving the problem 3. Develop a Loss Prevention Program that ensures an ongoing effort to prevent and detect dishonest activity Some things that need to happen before your insurance carrier pays Contact the police and your insurance agent-carrier immediately, and report the theft (your coverage ends the day you discover a theft has occurred). 1. Prevent suspected employee from having access to money and/or property 2. Prepare detailed listing of all property (including money) that is missing 3. This year s contests will judge vanilla and strawberry, Your Best New Flavor, and Best Candy Flavor. The vanilla and strawberry flavors are judged and critiqued this year by Dr. Tonya Schoenfuss of the University of Minnesota and her team of students, nationally recognized as one of the top dairy tasting teams. Many of you had the opportunity to meet with Dr. Schoenfuss at the Greenville convention, where she collaborated with Dr. McGregor to ensure a smooth transition. Dr. Schoenfuss has been an industry judge for 9 years with the National Collegiate Dairy Product Evaluation Contest. The NICRA Ice Cream Clinic Committee has worked with our members and Dr. McGregor of Clemson University to develop a standard of identity for strawberry ice cream. At the upcoming convention, Dr. Schoenfuss and her team will be using this standard to judge the strawberry ice cream samples. These standards will be published in a teaching journal for all members of the ice cream industry to use for judging strawberry ice cream. All vanilla and strawberry entries that receive a perfect score of 35 will receive a special pin, My Ice Cream is Perfect along with the proper recognition at the convention. All blue ribbon recipients will also be eligible for the Grand Master Award if they are able to receive a Blue Ribbon in 3 out of 5 conventions. Your Best New Flavor and Best Candy Flavor are contests that are voted by you at the convention. This is a great way to show off your creativity! These two contests are extremely popular and one of the many highlights of the NICRA convention. The NICRA Ice Cream Clinic is the only nationally recognized ice cream judging clinic for retailers. When you enter your product in the Clinic, the educational value is enormous. You will be able to see how your product compares with others from around the country with regards to flavor, body, texture, etc. Your ice cream is evaluated based upon the scoring guidelines used at the Collegiate Dairy Products Evaluation Contest. You have the benefit of being able to question, get the opinions and advice of some of the top mix, flavor and ingredient suppliers in the country as well as the Clinic professor and, of course, many very experienced fellow members. To ensure your safety, NICRA uses the very strictest standards for microbiology. Ice cream is disqualified from the contest if it does not meet these standards and are discarded prior to tasting. 8 http://www.nicra.org NICRA June 2013

Dr. Schoenfuss will be collecting all of the ice cream for all of the contests and will be conducting the microbiology tests as well. The Mission Statement for the Committee is: The purpose of the Ice Cream Clinic conducted at NICRA s Annual Meeting is to assure a reliable, consistent and credible process of evaluation for its entries. NICRA s Clinics are based on an understanding that the members who attend the tasting sessions will participate in a safe and healthful atmosphere. NICRA is further mindful the judging of the entries has to meet specific stringent quality standards and encourages its members to accept good manufacturing procedures and act on the information provided by the clinic. In summary, the NICRA Clinic will provide a credible evaluation in a safe environment and disseminate information that can be used for member education and self improvement. The members of the NICRA Ice Cream Clinic Committee, Cliff Freund, Cliff s Dairy Maid; Henry Gentry, Henry s Homemade Ice Cream, Jeff Myers, The Double Dip, George Lochhead, Lochhead Vanillas, Jay Rentschler, Upstate Farms, Nanette Frey, Frey s Tasty Treat and Chairman Mark Leichtman. All of the committee members are available to answer any questions you may have regarding the various clinic contests and committee matters. STRAWBERRY ICE CREAM STANDARDS FOR JUDGING: Color - The standard for acceptable color should range from a strawberries and cream color (very light rosy red) to a definite red color. The standards for strawberry flavored ice cream should be that the sample included definite dairy flavor notes in combination with strawberry flavor notes. Intensely flavored samples that over power the dairy note should not be judged as perfect. Samples that have a stabilized strawberry flavor with an added fresh strawberry flavor note from added fresh strawberry puree or IQF strawberries should be judged as the standard. Pieces or bits of strawberries should be visible. Attention all creative, innovative ice cream makers: Once again the NICRA Ice Cream Clinic Committee is sponsoring the vanilla and strawberry clinic and the Your Best New Flavor and Best Candy Flavor contests at this year s convention in St. Louis. But not to rest on our laurels, the committee is hosting a seminar on Wednesday afternoon, How to create a new ice cream flavor. Members and suppliers will share their thoughts on this subject with the intent on more industry leading flavors being produced by our members. In keeping with this subject, the second part of this seminar will introduce a new contest, the Iron Scoop contest. We will select 2 teams of 5 seminar members each, to create a new ice cream flavor! This fun contest will result with one team having their names and the flavor inscribed on the Iron Scoop trophy! Both ice cream flavors will be available for tasting during the vanilla and strawberry sampling on Thursday afternoon. The winners will be announced at the Award Banquet on Thursday evening. Oh, I forgot to mention that both teams will be given a secret ingredient that they must use in the ice cream. And they won t know what that ingredient is until the start of the contest. (Okay, this is the ice cream version of Iron Chef meets Chopped.) We hope all of you creative ice cream makers will attend the seminars and cheer on the contestants for the Iron Scoop trophy! HANDEL S RE-OPENS ORIGINAL LOCATION The original Handel s Ice Cream & Yogurt located on Handel s Court, at the intersection of Market and Midlothian, is now open. Receiving the donation was RMHC s Executive Director, Craig Wilson, who was very appreciative of the charitable contribution. This donation was in honor of the McDonald s Ohio Region for their commitment to Taylor foodservice equipment training. In 2012, the Ohio Region recruited more students for the Taylor Equipment Turbo-Charge Training Classes than any other region in the Central Division. The Turbo- Charge Training Classes educate students on proper disassembly, cleaning and reassembly of Taylor Equipment.
