TERMS & CONDITIONS ARTICLE 1: ORGANISER AND VISITOR ACCESS The Academy rooms and services are reserved for Vinexpo HK exhibitors. Access to the Academy rooms is reserved for Vinexpo HK visitors (trade visitors and journalists) in possession of their exhibition entrance badge. ARTICLE 2: DISPENSATIONS VINEXPO OVERSEAS may permit the organisation of tastings and/or talks by non-exhibitors. Only organisers presenting as a group can claim this dispensation. This means regional or national promotional associations and organisations recognised in their area of production. To obtain a dispensation, they must provide a full list of the participants in their tasting/talk (châteaux, estates, vineyards, etc.) at least two months before the start of the exhibition. During the exhibition, Vinexpo HK will check that the list tallies with the châteaux/estates/vineyards present at the tasting. ARTICLE 3: BOOKING TERMS - ROOMS AND SERVICES To organise a tasting or a talk each organiser must complete the room booking form by the required date. VINEXPO OVERSEAS undertakes to respond to every request. Priority will be given to Vinexpo HK exhibitors and countries/regions/areas of production whose participants are exhibitors at the show. In cases where the time slot of the room requested is already occupied, VINEXPO OVERSEAS undertakes to offer an alternative, subject to availability. ARTICLE 4: SALES AND TASTING ARTICLE 5: COMMUNICATION RULES Organisers are not allowed to spotlight an other brand or an ohter entity during their tasting or talk. A third entity can t be directly associated to the organisers event excepted if there is a written agreement from VINEXPO OVERSEAS. ARTICLE 6: SAFETY Organisers must comply with the relevant safety guidelines and regulations when hosting exhibition visitors. These guidelines are available in the exhibition Technical Guide at www.vinexpohongkong.com. The capacities of tasting rooms and lecture halls in particular must be strictly adhered to, as well as VINEXPO OVERSEAS guidelines concerning room layout. VINEXPO OVERSEAS reserves the right to turn down requests to hold a talk or tasting if it does not satisfy their requirements. Similarly VINEXPO OVERSEAS reserves the right to stop a talk or tasting if the safety regulations are not complied with. ARTICLE 7: CANCELLATION OR DEFAULT ON THE PART OF AN ORGANISER You may cancel a booking up to 90 days before the start of the exhibition without incurring a cancellation fee. If you cancel less than 90 days before the start of the exhibition, you will be charged the full room hire rate. The penalty for late payment shall be calculated at the rate of one and a half times the legal interest rate. No discount will be offered for early payment. In the event of a dispute, the courts relevant to the organiser s head office shall have sole jurisdiction and the French version of these Terms & Conditions shall be deemed valid. The sale of any product (including samples) to be taken away and paid tastings are prohibited within the exhibition. Organisers are however free to decide whether their tasting or talk should be on an invitation-only or a walk-in basis. If an organiser wishes to hold a talk or tasting and charge an admission fee, they must first ask permission from VINEXPO OVERSEAS whose decision is final.
