OAKDENE VINEYARD RESTAURANT TERMS & CONDITIONS FOR BUSINESS & PRIVATE FUNCTIONS BOOKING CONFIRMATION Your preferred booking date is only considered confirmed upon receipt of a non-refundable deposit of $100. A deposit of a greater value may be required for functions with a large number of guests. A deposit can be paid with credit card or via direct debit. Prior to receiving a deposit, Oakdene reserves the right to offer or book the venue to another client, without notice. PAYMENT The person(s) who sign the agreement, upon signing, confirm their full capacity and authority to do so. The person(s) and organisation(s) listed as the customer will be liable in full for all the costs and charges raised as a result of the agreement. Payment of the outstanding amount owing for the function is due on the day of the function, unless otherwise arranged prior to the function and payment is to be made by credit card. All major credit cards are accepted; however a service fee of 3.5% may be added to the credit card amount, for credit card payments. PRICES Prices will be confirmed in writing, every effort will be made to maintain prices as printed, however prices may be reviewed at Oakdene s discretion, as a result of situation beyond the control of Oakdene. You will be advised of any changes affecting the price at least 30 days prior to the function date. All quoted prices are inclusive of GST. Prices are current at time of printing and are subject to change without notice. MINIMUM NUMBERS Function bookings at Oakdene require a minimum number of guests. Variations in time of day and year may provide some flexibility, however once set, this figure will also determine the basis of your account should final numbers fall below the agreed numbers. FINAL NUMBERS & DIETARY REQUIREMENTS The final number of guests and any dietary requirements are required by Oakdene in writing no later than five (5) business days prior to the function. Room hire fees may be increased should the final number of guests reduce by more than 10% that the number of guests listed in the quote. With sufficient notice, we cater for vegetarians, or other special dietary requirements. In addition, should any of your guests have allergies to particular ingredients, it is vital to stipulate this well before the function, so that alternatives can be arranged. CANCELLATION & REFUNDS Should unfortunate circumstances force you to defer or cancel your function, your initial deposit and subsequent payments will only be refunded upon the date being rebooked by another party. Under all other circumstances the deposit is non-refundable and nontransferable. All cancellations of function bookings must be made in writing. Changes to the confirmed function date will be treated as a cancellation. Should a function be cancelled less than seven (7) days prior to the function date, 85% of the quoted costs are to be paid to Oakdene. MENUS AND BEVERAGES Requirements for menus, beverages, set up, start and finish times and an estimate of guest numbers are required in writing fourteen days prior to the function. All menus are subject to seasonal availability. FUNCTION DURATION Function hours are as per agreement; extensions are subject to prior agreement and subject to additional changes. A beverage package is for four hours; any beverages requested prior to the commencement time or after the finish time will be charged to individual guests, unless otherwise arranged. Due to restrictions on our liquor license, alcoholic beverages cannot be served after 11 PM. Liquor Licensing dictates that the venue is vacated within 30 minutes of the bar closing. ADDITIONAL STAFFING Should you wish to extend your function by an hour, our staffing prices are $35 per staff member per hour with double time loading if applicable. EQUIPMENT If you require additional equipment for your event, we can contact local suppliers and source quotes for your consideration. Equipment requirements are to be provided fourteen days prior to the function. TRANSPORT PARKING, TAXIS & PRIVATE BUSES We have ample complimentary parking available in the car parks throughout Oakdene. We recommend guests use a nominated driver, taxis or an arrangement is made to provide a private bus for guests. Please inform us of your taxi requirements prior to the end of your function. We are able to recommend local bus companies, however all arrangements will be between you and the provider. Oakdene Business Functions - Page 10 of 11
DISPLAYS AND SIGNAGE No items are to be attached, pinned or glued to any wall surface within Oakdene. All signage must be approved by Oakdene prior to the function. CAKES Due to Victorian Food Safety Laws, Oakdene has a strict policy on cakes brought into the building. We will only accept cakes that are professionally prepared and delivered by licensed Food Retailers or registered Food Businesses. Cakes must be delivered at least 2 hours prior to the beginning of the function. DECORATORS Florists or decorators must finish setting up at least thirty minutes prior to the beginning of your function. ENTERTAINMENT & OUTSIDE CONTRACTORS Should you choose to have entertainment for your function, please have the entertainers contact us to arrange for a suitable setup time, licensed in the restaurant only. All outside contractors used for exhibitions and stage set ups performed by outside contractors require prior approval by Oakdene in writing. MEALS FOR CONTRACTORS PRSENTERS, ENTERTAINERS, PHOTOGRAPHERS, ETC. Please advise of any meal requirements for contractors when confirming your booking. RESPONSIBILITY Oakdene will not be responsible for loss or damage to any customers or contractor s equipment, merchandise or property prior to (including delivery), during or after the function. Items should be delivered no earlier than 5 business days prior to the event and must be collected no later than 5 business days after the event. It is the function organisers responsibility to take out the necessary insurance. The customer will assume responsibility and the customer shall indemnify and keep indemnified Oakdene for any and all damages caused prior to, during and after the function by way of the customers guests, outside contractors or agents and other persons attending the function, whether in the area reserved or in any part of Oakdene. Should the premises require any extraordinary attention with regards to cleaning the costs will be charged to the customer. The customer will be responsible to ensure the orderly behaviour of their guests and Oakdene reserves the right to intervene where it sees fit. The customer is required to inform all relevant persons involved in the organising of the function whether colleagues or contractors, of these terms and conditions. COMPLIANCE If management has reason to believe that the behaviour of your guest(s) affects the smooth running of Oakdene s business or reputation, we reserve the right to remove the individual(s) from our premises during the function. RESPONSIBLE SERVICE OF ALCOHOL Oakdene follows the National Alcohol Beverage Industries Council guidelines on the responsible service of Alcohol. Oakdene staff members are instructed not to serve any alcoholic beverages to guests in a state of intoxication. Oakdene s policy is to serve guests in a responsible, friendly and professional manner.
