Enclosed is a contract proposal for your review and signature. In order to convert this to a definite event booking, please sign and return the contract and billing information within two weeks of the above date along with your non-refundable hall rental fee payable by credit card or check. Once the signed contract is received, we will countersign a copy and return to you for your file. 2017/18 Banquet Facility Policies FACILITY RENTAL FEE Facility Rental Fee is $500.00 ($300.00 for club members) for events held Friday, Saturday or Sunday. For events held Monday thru Thursday the fee is $300.00 ($150.00 for club members). Please see Manager for pricing on smaller non-wedding events. A Non-Refundable payment is due in full the day you sign your agreement papers to secure your date. The Facility Rental Fee includes the use of the full Banquet Room, the Main Entrance Hallway, the Restroom facilities, the Outside Deck connected to Banquet Room, and the Bar. The Pipestone Country Club facility is smoke-free. Smoking is only allowed outside on the deck. We require a damage deposit of $300.00. The manager will check the inside/outside areas the following morning and if no damage, the check will be returned or destroyed as requested by the renter. MAXIMUM NUMBER OF GUESTS Maximum number of guests is 350, which includes the wedding party. This count limits the seating arrangement, the setting up for the entertainment, the length of time for dinner and the length of time between the end of the meal and the start of a dance. We can further discuss the room setting at the time of your initial meeting and during a tour of the facility. ADDITIONAL EXPENSES Additional Cleaning charge of $100.00 will apply if the following occurs: Confetti is used in decorating and is not cleaned up by decorators, candle wax drips on table linens and/or carpet, there is extensive damage to table linen, such as tears, cuts, or holes from burns, etc., a guest over indulges in alcohol and becomes sick and the staff must clean up after them. BAR SERVICES Bartenders are furnished at no charge. If you provide keg beer for your guest, there is a maximum of a 3 keg purchase. Cost of domestic keg beer is $275 per keg and premium keg beer is $300. Different options of bar service to think about include: Cash Bar, Drink Tickets, Champagne Toast, Wine Table, complimentary soft drinks, and punch.etc. Open bar and drink tickets will have 15% gratuity placed on invoice. State law prohibits the Pipestone Country Club from serving alcohol to minors. Anyone under the age of 21 consuming alcohol or anyone supplying alcohol to minors will be required to leave the premises and may be subject to criminal charges. Our liquor license requires all bartenders to request proper identification (photo ID with birth date) and will refuse alcoholic beverage service if the person cannot produce proper identification or is under age. We reserve the right to refuse alcoholic beverage service to any person who, in our judgment appears intoxicated. LAST CALL WILL BE GIVEN AT 12:45 A.M. NO EXCEPTIONS. Minnesota State Law prohibits liquor to be brought on the premises for any event. In the event the wedding party and/or guest bring any beverages on the grounds, or in the building, a $500 service fee will be added to your final invoice and all coolers and beverages will be confiscated until after the event is completed. BEVERAGE SERVICES Punch - we have many different options available. You can discuss this with the Manager on your initial meeting. Punch container, glasses and white beverage napkins are included with the fee. Unlimited Soft Drinks - we offer unlimited fountain soft drinks for guests which can be served at the bar. This service will be provided throughout the entire function. Soft drinks included are Pepsi, Diet Pepsi, Sierra Mist, Dr. Pepper, Mountain Dew, Diet Mountain Dew and Squirt. Unlimited soft drinks for up to 150 people is $125.00; for greater than 150 people is $175.00. CANCELLATIONS/PAYMENTS All Cancellations must be made in writing. If you cancel 30-60 days from the scheduled event there will be a charge of 25% of the anticipated revenues. If you cancel less than 30 days from the scheduled event there will be a charge of 50% of the anticipated revenues. All charges are to be paid in full upon the conclusion of the function by approved credit card, cash, or check. If there are any damages done to the premises, you will be billed for them. These charges must be paid within one week. After one week you will be charged a finance charge until bill is paid in full. DECORATING & LINENS We work with you to make your event beautiful. You can hire a decorator or have family and friends decorate on your own. Whatever you choose, we will be here to offer advice and a helping hand. We do ask that you refrain from affixing items to, or on the walls, floor or ceiling with nails, staples or tape. The main entry hallway can be decorated for a Grand Entrance to your event. When the Pipestone Country Club caters your event, linens will be provided for the banquet tables at no charge. Linens are also available for a small fee for any other tables you may need, such as cake, gift, guestbook, etc. We offer skirting and guest table linens along with a wide variety of napkins in various colors. There is a small fee of $8.00 per/table for a set of eight linen napkins and table linens. We ask that you refrain from using taper candles because of wax drippings that can cause damages to the linens. We ask that any candles in use be properly and securely placed on tables to prevent excessive damages to linens. You may start decorating the night before your event IF there is no other event taking place at the Club. If an event is in progress, then you will have to wait until the event is over to start decorating or you have the option to pay for that day rental fee of the building for decorating a day in advance. The Pipestone Country Club does not accept responsibility for damage or loss of merchandise/articles brought onto the premises prior to, during or following the function. ENTERTAINMENT Arrangements for entertainment for your reception/dance are your responsibility. A set up time for entertainment must be established with Pipestone Country Club Management prior to function. Playing time is traditionally 8:00 p.m. to 12:00 a.m. The limit for playing time is 1:00 a.m. with prior approval from Management. The additional hour of entertainment will have a service charge of $100.00. Entertainment has one hour after the event s conclusion to clean up and exit the premises. Page 3 of 8

Pipestone Country Club Menu Selections and Prices The banquet menu is only a list of suggestions. Our staff welcomes any suggestions or ideas that you might have. If you are considering a menu selection not listed, we will provide you a price and availability within three to five business days. Please keep in mind that with the pricing stated below, if you choose a two meat buffet, the meat selections are prepared as your guaranteed guest count would indicate, splitting the meats in half. For example, if your guaranteed guest count is 300 people, we would prepare 150 servings of each meat. If you desire both meats to be prepared for all of your guests, there will be an additional charge. Please ask the Manager if you are interested in this option. We will work with you to arrange the tables and chairs to achieve the setting you desire. If ordering your linens through us, we will place all linens on tables for you. It is YOUR RESPONSIBILITY to decorate. If linen napkins need to be folded or silverware wrapped, it is your decorator s responsibility. 2017/18 Contract Agreement The party(s) listed below agrees to pay for the function in full upon conclusion of the function. A Non-Refundable Facility Rental Fee is due at the time of booking to save your date. If your event is held Friday, Saturday or Sunday a $500 fee is required ($300 for club members). Events held Monday through Thursday require a $300 fee ($150 for club members). Please see Manager for pricing on smaller non-wedding events. Minnesota State Law prohibits liquor to be brought on the premises for any event. In the event the wedding party and/or guest bring any beverages on the grounds, or in the building, a $500 service fee will be added to your final invoice and all coolers and beverages will be confiscated until after the event is completed. To better serve you we require that your final menu selections, along with a guaranteed guest count be finalized with the Manager no later than two weeks prior to event. NO FOOD WILL BE ORDERED UNTIL THIS REQUEST IS MET. Guaranteed pricing will be quoted 30 days prior to your event. You will be responsible for your total guest count along with any additional guest that might arrive. Our well-trained kitchen staff will prepare your meal for your guaranteed head count with a maximum of 10% overage. We strive to meet all of your catering needs and therefore do not allow any outside food or beverage to be brought onto the premises, with the exception of wedding cake. All food and beverage must be ordered through the club unless prior approval from the Manager. Property damage inside and/or outside will be added to the final invoice if more than the $300 damage deposit. Damages will be reviewed with the party(s) listed below. After reviewing the enclosed menu options, price list and banquet facility policies, please contact the Manager to plan the details of your event. We look forward to catering your special occasion.
