Cancellation Policy: In order to meet the needs of our families, RMHC requires at least 48 hours notice for cancellation. In the event that you must cancel less than 48 hours prior to your scheduled activity, we ask that you first attempt to find a substitute to take your place. Please understand that your cancellation denies another volunteer the opportunity to serve the House and its families. By instating this policy, we hope to better provide for our families and better serve our volunteers. Ronald McDonald House Charities of the Coastal Empire Adopt-A-Meal Guidelines Thank you for your interest in our Adopt-A-Meal Program! Being able to provide a hot meal or a quick snack is one of the most important ways we can help our children and their families feel that they are truly staying at their home-away-from-home. Prior to arriving at the Ronald McDonald House, many of the families we serve worry about where their next meal will come from and if it will be healthy for their children as most do not have the resources or time to provide a healthy meal for their families while still focusing on their child. The Adopt-A-Meal Program eliminates this worry, and is a valuable benefit to families who are focusing all of their energies on their sick child. The safety, health and well-being of House guests have always been our highest priorities. To ensure that Ronald McDonald Houses around the world are consistent with their food safety provisions, the Ronald McDonald House Charities Global Office has updated its food safety standards. Due to these changes Ronald McDonald House Charities of the Coastal Empire will be instituting the following guidelines: Scheduling your Meal: Check for available dates with the Assistant House Manager either by phone or email. Once you have scheduled a date, please fill out our application form and return it to the Assistant House Manager at least three days prior to your scheduled date via mail, email or fax. o If you need to cancel your date, please call the House AT LEAST 24 hours in advance so that we may make other arrangements. Due to the size of our kitchen, please limit your group size to no more than eight people. o Please remind group members that due to the varying hospital schedules, families may be resting. We ask that you keep the noise level to a minimum All children under the age of 18 must be supervised by an adult at all times. All meals must be prepared for approximately 30-35 people, if members of your group wish to enjoy the meal with the families, please prepare enough food to feed 30-35 people plus enough to feed your group. o Volunteers may call the House 24 hours in advance to see how many families are staying at the House. Breakfast is served between 7:30 and 8am and is available to the families until 9:30 am on weekdays, Lunch is served between 11:30 am and noon and is available to the families until 1pm, and Dinner is served at 6pm. On weekends we recommend Brunch which is to be served at 10am. Please plan your arrival time according to your preparation time. o Paper plates, cups, napkins, and cutlery are available for our families. However if you decide to bring your own, donations are always appreciated. o The House provides Coke products, water, milk, and coffee for the families. Groups may also provide tea, lemonade, etc. if they would like. Volunteers may call the House prior to their arrival to see what we have in our pantries. They may use our donated items towards their meal. 3 P a g e
Preparing your Meal: Any food prepared at a licensed retail food establishment, packaged food from a grocery store in unopened containers, and/or whole fruits and vegetables may be accepted as a donation at the Ronald McDonald House. Any food that appears to be tampered with will not be accepted. RMHC cannot accept donations of food that have been prepared or cooked off site by a volunteer, other groups, or individuals and then brought to the House. Only food that has been prepared in a commercial kitchen can be accepted for donation if the food has been protected from contamination. We have two gas stoves and ovens, two microwaves, two crockpots, and one grill for the volunteers use. They must be cleaned after the meal has been prepared. Gloves must be worn during food preparation and serving (provided by the House). The meals are served buffet style and kept available until 8pm, after which it will then be packaged, dated and stored in the refrigerator for leftovers. This cleanup process is completed by House volunteers, meal volunteers are not required to package leftovers. Volunteers are more than welcome to stay and serve the families, or dine with them. Families in the House are on various schedules that are dictated by the needs of their sick child and there may not be very many families right at 6pm. Please do not be discouraged and know that the families will enjoy the meal when they return. Leftovers rarely go to waste! Cleaning Up: All dishes MUST be washed in the dishwashers. Please do not hand wash any items. Cleaning products and supplies are located under each sink. Please clean up after your group. Should you need additional cleaning supplies, please see a staff member. Once the meal has been prepared and once the kitchen has been cleaned, volunteers are welcome to leave or enjoy the meal with the families. Food Handling, Preparation and Safety Tips: Food Safety is very important to everyone, but especially to the children and families of the Ronald McDonald House. Children with weakened immune systems are more subject to infections brought on by disease-causing bacteria that contaminate food. To avoid this, all volunteers must be especially cautious when transporting, preparing, and serving food. Also, if any volunteer is feeling even the least bit unwell, please stay at home in order to avoid contamination. Hot food that has been prepared in a commercial kitchen and transported to the House must arrive to the House within 60 minutes from the time it has been purchased. If the temperature is less than 140 degrees, it must be reheated to 165 degrees. Never touch ready-to-eat food with bare hands: o Use serving utensils to handle food o Wear gloves (provided by the House), when doing food prep and serving. o Never wash or reuse gloves o Change gloves between working with raw and cooked foods. o Rinse and sanitize cutting boards between raw and cooked foods. 4 P a g e
All produce must be washed in order to remove bacteria and pesticides.
