16 Customer Service Order Placing Your Order Price Quote vs. Reservation All orders that are not secured by a 50% down payment will remain in price quote status. Upon receipt of the down payment, the order becomes a reservation. If price quotes are not converted to a reservation prior to the expected delivery date, please expect a Same Day Delivery charge, as products in price quote status are not pulled or routed until they become a reservation. Guest Counts The sooner you can confirm the number of guests the better. We accept changes up until the day before delivery. Last-minute changes for the next day may be made via the after-hours mailbox during non-business hours; just call the main number and select Option 2. Any additions on delivery day generally incur a Same Day Delivery charge. (Trucks are dispatched with early morning commitments and are not always available to add items.) Rack Quantities All glassware is rented in full racks. The size of the glass determines the number per rack; glasses are racked in quantities of 12, 16, 20, 25, 30, 36 and 49. Racking ensures accurate counts in and out and also keeps the products sanitized. Dish Quantities We wrap all of our tabletop items in quantities of 10. This ensures sanitized items and assures extra items for any unexpected mishaps when setting the table. Special Orders We like the challenge of locating hard-to-find items that you may need. Don t hesitate to call us when you are looking for something special. You may be asked to guarantee your reservation for special order items. Damage Waiver We offer this service to cover equipment that is accidentally damaged. The waiver is calculated at 12% of the rental charges and covers only accidental damage or breakage. Loss and theft of items is not covered. CAD Drawings Drawings can be produced for your event to ensure a proper and timely set-up. These drawings are not released until an order is confirmed or payment for the drawings is received. Cancellation Policy Cancellation refunds will be made in most cases with proper notice. In circumstances requiring seasonal specific items that are in high demand and if another rental cannot be secured, full refunds may not be available. Ordering FAQs What are your business hours? Regular business hours are Monday to Friday, 8:30am to 5:00pm year round. Our Saturday hours are 8:30am to noon from May 1st through December 31st. Delivery hours are 8:30am to 4:30pm weekdays and 8:30am to noon on open Saturdays. All other hours require an after-hours delivery. Do I need to make an appointment to visit the showroom? Our Cleveland and Columbus showrooms are open year-round during regular business hours. Appointments can be made outside normal business hours if necessary. How do I know that my rental will match or work with my room décor? Customers are welcome to samples, such as a candelabra or a tablecloth, at no charge. A credit card number is required for a security deposit. Are colored linens priced differently than white? No, all solid colored linens are priced the same. There are over 40 different solid colors from which to choose. How much skirting will I need? Our skirting comes in 8 and 14 sections. Measure the length of the tables to be skirted. A Customer Service Representative will be happy to help you with all of your skirting questions. How soon do I need to place my order? You can never plan too soon to ensure availability. Payment must be received to confirm your order. Is there a minimum order? No event is too small or too large. We will deliver one table or 1,000 tables. We do, however, rent our napkins, dinnerware, and flatware in quantities of 10, and our glassware in racks of 9, 12, 16, 20, 25, 30, 36, and 49 which is determined by the size of the glass. How long is the rental period? Equipment is generally delivered the day before an event and picked up the day after, based on standard delivery hours.

Payment Delivery Payment Payments All Rental Contracts are to be paid by a 50% prepayment to reserve items. The balance will be secured one week prior to the delivery date. If there are any additions/changes to your order, all remaining balances and security deposits must be paid in full prior to delivery. We accept MasterCard, Visa, American Express and Discover. Checks are accepted accompanied by a valid credit card, which will be charged if a check is not received. Open Account Status Open Account Status is a privilege that we extend to clients that use our services on an on-going and regular basis. Prompt payment terms ensure open account status. Security Deposit Policy Event Source does require a security deposit for any customer that has not been granted the privilege of an open account. These deposits are to be retained with an authorization on a credit card only. There will be a temporary hold on the amount secured for a period of 10 days. It is highly recommended that you do not use a debit card for this security deposit, as it will hold money on your account for the same time period. Tax Exempt Policy If your organization has a Sales Tax Exempt status, your Tax Exempt Certificate must be filed with our office. Simply supplying the number will not be valid for tax-exempt status. Equipment Condition An Event Source basic standard guarantees that every time a piece of equipment is returned, it is completely cleaned and inspected. Dinnerware is sanitized. Items are thoroughly cleaned this process includes inspection to remove staples and tape from tables and touch-up paint on chairs every time items are rented. Each item is then inspected again before it leaves our facility to ensure you receive top-quality products. Building Your Order Order Accuracy We have instituted a Triple-Count system to ensure accuracy when we pull items for your order. We stage your order several days in advance. The day before your delivery, a member of our inventory management team reviews each order line-by-line to ensure the correct items are pulled according to our contract and to verify that the products are first-rate. Finally, on the day of delivery, your Delivery Service Representative will once again confirm that all items are on the truck and ready to go for your event. If you are unable to find an item upon setup, please call our main telephone number and select Option 2 during non-business hours. (During regular hours you will automatically reach a Customer Service Representative.) Order Consistency All items are packaged in like containers. Dinnerware, flatware and glassware are packed and sealed in sturdy, stackable, plastic crates. All flatware is stored in purple solid-sided milk crates. All china is placed in purple milk crates. We believe that a consistent, flawless presentation is critical to your success as well as ours. Delivering Your Order Delivery Times Our routes are determined the day before delivery, late in the afternoon. If you should require an estimated arrival time, please call our office. Timed Deliveries We are able to assign a two-hour window for your delivery. An extra fee will be assessed for specifically-timed deliveries. Same Day Deliveries At Event Source we accommodate many last minute requests. Time sensitive deliveries are managed with extra staffing and trucks to assure a quick response. A second delivery charge will be incurred if a last minute request comes in after your original order has left the building. The Same Day Delivery charge is assessed because a second truck would have to be dispatched following the original order. Alternately, you can make arrangements to pick up the equipment from our warehouse to eliminate the Same Day Delivery charge. Residential Deliveries Event Source delivers rental equipment to your garage/driveway/porch/patio/or tent. Special staffing arrangements must be made in advance of dispatch if delivering to the inside of your home. Time Sensitive Deliveries Event Source will provide extra staffing for deliveries, set ups and take downs when a quick turnaround is needed. Customer Service 17

18 Customer Service Delivery Returning Equipment Delivery FAQs Is your delivery area limited? No, we deliver anywhere. We can ship orders as well. Call our Customer Service Department for pricing. Do I need to be present at the time of delivery? You do not need to be present at delivery. When placing your order please let our Customer Service Department know where the equipment can be left. Can rentals be picked up instead of delivered? Will-call is available during regular business hours in our Cleveland and Columbus locations. What time will my delivery be made? Deliveries are made between 8:30am and 4:30pm, Monday through Friday and 8:30am to noon on open Saturdays. Customers are welcome to call on the day of delivery to inquire about drop off times. We will be able to provide an approximate window for delivery. If specific delivery times are needed, additional charges will apply. Will Event Source set up the equipment when they deliver? Event Source can set up equipment at the time of delivery for an additional cost. If set up is required, Event Source will need to know in advance. Please call our Customer Service Department for pricing. Diagrams will be required for set-up. On-site changes may be subject to an extra charge. During Your Event If Equipment is Not Functioning If you feel the equipment you receive is not operating to its potential, it is important to call our main number during business or non-business hours (select Option 2) so we can remedy the problem on the phone, or more importantly, replace the malfunctioning equipment. We can usually replace a piece of equipment in a very short period of time (sometimes requests come in 45 minutes prior to the event.) You must call our office as soon as the situation arises if you request any type of compensation for a malfunctioning item. Extending Rental You may choose to extend the rental of your equipment. Please do so prior to our dispatching your pickup to avoid a second pickup charge. Extended rentals can be quoted by contacting our Customer Service Department. What if I have a last minute emergency during nonbusiness hours? With our special, After- Hours Emergency telephone line we are available 24 hours a day, 365 days a year. Just call our main number and select Option 2. Returning Equipment Counting Equipment on Return Every attempt will be made to count all rented items on site at the time of pickup. If this is not possible, we will complete the count at our warehouse. Our responsibility to you is to have a final missing count no later than 48 hours after pickup. Items that are not counted on site are segregated to ensure accuracy. Unused Equipment We have a strict policy regarding any piece of equipment leaving the controlled environment of our warehouse: when it is accepted by you, we reprocess the items whether used or not. This ensures total satisfaction every time. Therefore, discounts are not extended for unused equipment. Please plan accordingly to ensure accurate counts are ordered. Replacement Charges This charge is established for all missing equipment that is not returned with the original pickup. If an item is found at a later time, a credit will be issued, but additional rental fees may be assessed if the items are not returned with the original order. Outside Vendors When at an event site, many other vendors may be involved in your event. If we attempt to pick up items and another vendor has mistakenly retrieved our items in error, you are responsible for retrieving them and returning them to us. Does the equipment need to be returned clean? Do I have to do anything special? We wash and sanitize all equipment after each rental, however, some items do need special attention: Dinnerware, flatware, and glassware must be scraped and placed in the same containers in which they were received. Charcoal must be removed from grills. Food and water must be removed from cooking equipment.

Other Services Customer Service 19 Linens must be placed in the provided linen bags, not plastic bags. All tables and chairs stacked as delivered. We have instituted a recycling program and kindly ask that you use the green recycling bags we have provided to return any of our plastic, shrink wrap, hangers and cardboard for processing at our operations facility. Other Services We Offer Set-up and Breakdown We can setup or breakdown your items upon request at an additional charge. All items are boxed and stacked in an orderly fashion upon delivery. Our expectations for pick up are to have the items broken down, racked, and stacked in the same manner as delivered. Additional fees will be incurred if items are not in an orderly manner at the time of pick-up or if you reschedule your pickup to a later time. Samples We do supply samples for your tastings, however, these items are part of our inventory and must be returned in a timely manner. The normal term is two weeks. If samples are needed for a longer period or on a more permanent basis, please contact us to make arrangements. We highly encourage you to use our showroom, conference room, and test kitchen to bring your clients into our facility to show them the endless possibilities. Our donation request form requires you to detail the event you and your organization are planning. Most of these decisions are made 12 months in advance, but in special cases requests are granted in a shorter period of time.
