Live music with regional and national touring bands Beer and Ciders by Fullsteam Brewery and Bull City Ciderworks Supporting NC fisheries, local farms and the arts Presented by NC Fresh Catch VENDOR ELIGIBILITY & GUIDELINES: In an effort to help promote a wide range of local foods to the consumer our food vendors will include restaurants/chefs, caterers, food trucks, and home cooks. We are especially looking for local, healthful cuisine with quality ingredients and variety of menu content, cleanliness, and aesthetics of booth display. This is a "pop-up" style event with an emphasis on creating an open kitchen, "live" cooking atmosphere for event attendees. We require our vendors to "feature local" with fresh/seasonal NC seafood, farm fresh meats and, commit to sourcing at least 10% of their other ingredients from local farmers. We are encouraging the use of "underutilized" species to help promote cost effective seafood options for consumers and our participating vendors. NC Fresh Catch will help vendors connect with local sources if necessary. Available vendor spaces are limited. NC Fresh Catch will work with each selected vendor to help create diversity, exclusivity, and an economically successful marketplace. Vendors must be present at Festival. No unauthorized vending allowed. All applications are subject to a jury process; and NC Fresh Catch reserves the
right to deny any application without explanation. In the juried selection process the following is taken into consideration, roughly in order: Uniqueness, creativity and quality of menu Local, healthful and sustainable food Previously successful and cooperative booth space at NC Fresh Catch Local and community residence GENERAL FOOD BOOTH SPACE INFORMATION: All "pop-up" vendors are provided electricity and water. (included in vending fee). Spaces are 10 width X 20 MAX deep. NC Fresh Catch will supply canopies and up to (4) 8' work tables per vendor space. *Please see fee adjustment if vendors would like to bring their own canopies and tables. All canopies must comply with local fire codes and subject to review by NC Fresh Catch. The event opens on Saturday, Oct. 1 at 5pm. The main Food Vendor must be checked in and on site by the times outlined in the "Check-In & Setup" section below. All Vendors must be operational and open for business by 5pm. The event ends October 1st at 10pm. Vendors are expected to remain open throughout the festival during peak patron hours. Mandatory minimum hours of operation are listed in the "Check-In & Setup" section below. Fresh, clean water will be available throughout the food court for cooking. All grey water disposal will be the responsibility of each vendor. Propane is NOT available for purchase onsite. All vendors are encouraged to bring signage and supplemental chalkboards for detailed description and pricing of menu items. NC Fresh Catch will work with all selected vendors to help create a cohesive food court. PLEASE NOTE SPECIFIC ADMISSION-RELATED INFORMATION WITH EACH: Pop-Up Food Vendor: (Fee $250 + $35 in Food Vouchers): Fee includes $75 health dept. permit fee, 10 X 15 min. tent, up to (4) 8 tables, admission for FOUR staff, electricity and water. *Vendor supplies own canopy and work tables: (Fee $225 + $35 in Food Vouchers) Food Truck: (Fee $200 + $35 in Food Vouchers): Fee includes 10 x 20 space, and admission for FOUR staff. Food trucks will be responsible for own power. Specialty Food Vendor (ice cream, desserts, candies, etc): (Fee $125) Fee includes 10 X 10 min. tent, up to (2) 8 tables, admission for TWO staff, and electricity. *Vendor supplies own canopy and work tables: (Fee $100) FOOD VOUCHERS: All Food Vendors must submit food vouchers. Food vouchers will be printed by NC Fresh Catch with amounts based on submitted menu pricing. Food vouchers are for artist and staff use during the festival, and should be treated as cash by both personnel. ELECTRICITY: (for Pop-Up and Specialty Food Vendors only) Limited electricity is included in your vendor fee; we ask that electrical usage be limited to only what is required to operate your booth. Standard 110v outlets will be provided. You must provide your own weather safe drop/extension cords. We recommend bringing 50' min. of cord. All food trucks must provide their own electricity. We ask that all generators are shielded and/or enclosed to help minimize noise during the festival. INSURANCE/PERMITS: Proof of General Liability Insurance is required; documentation must be provided. All Food Vendors must list as additionally insured on their liability policy. Address: A one-time Temporary Food Establishment (TFE) permit is required for all Pop-Up Food Vendors. The $75 permit is included in the vendor fee. Upon acceptance, NC Fresh Catch will email Health Dept. guidelines, requirements, and application to each Pop-Up Food Vendor and help, to the best of their ability, coordinate individual vendor requirements. It is
each individual vendor's responsibility to send their applications directly to Durham County Health Dept. at least 15 days before the Festival. Any vendor that fails to submit their application by the 15 day deadline will not be able to participate in the Festival and will forfeit their full vendor fee. For Specialty Food Vendors that require a TFE permit, please see above. Everything outlined in above paragraph for Pop-Up Vendors will apply. All Food Trucks must have a valid permit to operate in Durham County. Food Vendors should be prepared for Health Dept. inspection by 2:00 pm Oct. 1, 2016. All vendors that do not pass inspection will not be able to participate in the Festival and will forfeit their full vendor fee. NOTIFICATION of ACCEPTANCE: Notification of acceptance will be sent via email by Aug. 24, 2016. Accepted vendors will be emailed an acceptance letter and payment instructions. Food vendors will have the opportunity to purchase up to two additional worker tickets at the discounted admission price of $8. If paying by check or money order, payment should be mailed along with completed payment form. If paying by credit card, payment may be made online via the payment form link that is emailed to accepted vendors. Full Vendor Fee is due by Sept. 3, 2016; vendor spaces are automatically forfeited if payment is not received by this date. PARKING: Vendor parking will be coordinated between NC Fresh Catch and each individual vendor prior to the event and per vendor requirements. Temporary load-in and load-out spaces will be available. CHECK-IN & SETUP: All check-in and setup needs to be completed during the hours listed below. Pop-Up Food Vendors, Specialty Food Vendors and Food Trucks 1-4pm. Vendors are required to check in at the Entry Ticket Booth/Tent to receive wristbands and set-up locations. The Vendor Coordinator and/or assistants will greet you at Entry Ticket Booth/Tent and be available to you during setup and throughout the festival. Pop-Up Food Vendor and Food Truck fee include admission for FOUR people. Specialty Food Vendor fee include admission for TWO people. MINIMUM OPEN HOURS FOR FOOD VENDORS Pop-Up Food Vendors, Specialty Food Vendors and Food Trucks 5pm-9pm LOAD OUT: Fresh Catch Durham ends at 10pm. 2016 NC Fresh Catch Durham VENDOR RULES & REGULATIONS: 1. Collecting and reporting of North Carolina Sales Tax and any local tax is the responsibility of the Vendor. 2. Full vendor fees are due by Sept. 3, 2016. 3. All Vendors that DO NOT require a Health Dept. inspection MUST be checked in by 4pm latest. All vendors that DO require inspection MUST be checked in and ready for inspection by 3pm. Due to the Farmer s Market on Saturdays, 1pm is the EARLIEST allowed for check-in. 4. Absolutely NO PETS allowed at the event. 5. No drugs, no outside alcohol, no weapons. 6. Fresh Catch Durham will not be postponed or cancelled due to inclement weather. Vendors should be prepared for any weather. Approx. 50% of the event will be under tents. If inclement weather is in the weekend's forecast, Vendors will be set up under the venue s roof canopy. 7. NC Fresh Catch reserves the right to deny any application without explanation. 8. All exhibitors and assistants must follow Fresh Catch Durham Vendor Rules & Regulations. 9. NC Fresh Catch and contracted workers are not responsible or liable for accidents, loss, theft, or claims resulting from exhibitor s participation. Exhibitors are fully responsible for protection of their property and displays. 10. All vendors may be asked to remove any items not consistent with their application.
11. Vendors must bring their own displays, and equipment. 12. All drinks sold by vendors must be verified and approved by NC Fresh Catch prior to the event. Bottled water will be sold to event attendees at the front entry gate. FOODSERVICE PACKAGING, RECYCLING & COMPOSTING: In an effort to become a zero waste event, NC Fresh Catch is asking all vendors to: 1. Minimize use & distribution of disposable, single-use and difficult to separate items like straws, bags, utensils, condiment packets, jelly or butter tubs, aluminum foil (plain or lined), plastic wrap, plastic lids and stirrers. Use bulk when possible. 2. Use certified compostable items only for foodservice packaging. *PLEASE NOTE* Items with recycled content, conventional paper cups and plates, and/or those called biodegradable are not the same as certified compostable. Wax paper, paper towels & napkins are compostable and do not need certification. PROHIBITED ITEMS: Styrofoam/Polystyrene WASTE SORTING: Please plan ahead and bring buckets or other tubs to separate trash, recycling & compostable food waste within individual kitchens or set-up areas. The three streams are: 1. Food waste and other compostables 2. Recycling (glass, plastic, metal, paper, flattened corrugated cardboard) 3. Landfill Trash ESTIMATED ATTENDANCE: We are anticipating an attendance of ~ 750 and planning on having 4-5 food vendors with ~200 plates sold per vendor. We have found that plates in the $6- $12 range are more popular. PROMOTIONS: The 4th Annual NC Fresh Catch Durham will be heavily promoted throughout the Triangle with typical "grassroots" promotion i.e. event posters, handbills, social media, and email blasts. Durham Magazine will highlight the event in their September Food Issue as one of the 10 Events Not To Miss. The event typically gets additional coverage by WUNC, Durham Herald,
The News and Observer, and the INDY. In addition, press releases will be going out to 25+ local media publications and blogs. The event will be promoted by all other participating partners including NC Catch and NCSU 10% campaign. Each vendor will be promoted on the NC Fresh Catch website, FB event page, social media posts, and included in all press releases. We ask that all vendors promote the event to the best of their ability, i.e. social media, email blasts, allowing posters and event handbills at any brick & mortar establishments, food trucks and individual events leading up to the Oct. 1 date.
