Wedding Policies and Procedures Guarantees For all private functions, the attendance must be guaranteed at least seven (7) business days in advance. As outlined below, your minimum guaranteed number of meals cannot be reduced. If a minimum guarantee is not received, we will use the original estimated count as the final guarantee. We will prepare for 3% over your guarantee. Menu Selections Menu tasting must be arranged with the catering department at least one week prior to desire date. Menu selections are required one (1) month prior to your event. Our menus are suggestions only; we will be delighted to customize a menu especially for you. (Local Health Department rulings regarding proper refrigeration and sanitation prohibit engagers from taking any food and beverage from the premises with the exception of the wedding cake.) Décor and Set-Up The hotel does not permit the affixing of nails, staples, tape to the walls, floors or ceilings unless given prior approval from the catering department. Access to your function room prior to your event time for decorating purposes is subject to availability and may incur an additional charge. Service Charges All food and beverage served are subject to service charge and state tax. The tax is in accordance with California regulation 16003-F. Outside Food and Beverage The hotel will provide all food and beverage. Exceptions are made for wine, champagne, and cakes. Wine and champagne are subject to prevailing corkage fees. Deposit/Payment An initial deposit of 25% non-refundable is required to secure your date. An additional deposit of 50% of the estimated balance is due ninety (90) days prior to your event, with the remaining balance due 3 working days prior to the event. All deposits and monies paid are non-refundable and non-transferable to new dates. Final payment is due in the form of cash or credit card. Any balances incurred the day of the event are due in the form of credit card upon conclusion of the event. Cancellations If the event is canceled, all monies paid are non-refundable. A deposit and a signed contract are required of all catering functions to hold space on a definite basis. This deposit is non-refundable and non-transferable to new dates. Cancellations must be submitted in writing and sent via fax, email or certified mail. In the event of cancellation, your group will be assessed the following charges which are due two weeks from the date of cancellation: 25% due of the estimated revenue upon receipt of a signed contract 50% due less than 90 days prior to the reserved date 75% due less than 60 days prior to reserved date 100% due less than 30 days prior to reserved date
