Club Macquarie Terms & Conditions For Seminar/ Conference or Business functions 1. Deposit: To secure your booking, we require a signed copy of our Terms and Conditions along with relevant room hire which is nonrefundable. At this time you will be required to inform us of your estimated number. 2. Confirmation: All catering and beverage requirements, seating plans, extra facilities (eg: whiteboards, data projectors etc ;), and final attendee numbers must be confirmed 14 days prior to your function. These numbers will be used for invoicing purposes even if numbers drop. Adjustments to increase numbers must be given and paid for no later then 48 hours prior to the function. Any changes to function room set up within 24 hours of the function may incur a fee. 3. Payment: Full payment for catering is required 7 days prior to your function if paying by cash, eftpos, direct deposit or credit card. Personal cheques will only be accepted by prior arrangement with management. All credit facility arrangements require full payment within 7 days of the invoice date. 4. Cancellation: All cancellations must be in writing and posted, faxed or emailed to Club Macquarie. In the event of cancellation the room hire will be forfeited. 5. Price Changes: Every endeavour is made to maintain prices originally quoted to you, but they are subject to change particularly where bookings are made well in advance. Price rises can be influenced by product, wage, or government increases. 6. Damage: No blue tack, sticky tape, drawing pins, glitter etc; are to be used anywhere in function rooms including walls and ceilings. The person signing the booking form will be financially responsible for any damage or extra cleaning sustained to the premises during the function. 7. Loss: Club Macquarie will take all necessary care, but does not accept responsibility for damage or loss of merchandise during your function. 8: Membership: Owing to Government Regulations, all guests entering Club Macquarie Ltd must fall under one of the following categories i) Financial Member (membership card must be shown) ii) Social member (card must be shown) iii) Signed in by a member (visitors who reside within the 5 km radius who are not a member of Club Macquarie Ltd must be signed in by a full member) iv) Attending a function approved by the Board of Directors 9. Changes on the Day: Club Macquarie Corporate 13
Club Macquarie reserves the right to decline any changes to function bookings on the day. Any person other than the person who has booked and signed for the function can not add anything on the day such a bar tab, extra meals, room change. All changes must come through the person who booked the room and they must be done no later than 48 hours prior to your function. Please make sure that if you are the person who is booking the function that your attendees are aware of this condition so our employees are not placed in an uncomfortable position. 10: Responsible Service of Alcohol: Club Macquarie fully supports the responsible service of alcohol and we reserve the right to refuse service of alcohol to anyone who we believe is intoxicated. Club Macquarie reserves the right to ask for identification of any person we believe to be under the age of 18 years. Your co-operation to ensure that underage drinking does not occur at your function is required. IMPORTANT NOTE: As Club Macquarie is fully licensed guests are prohibited in bringing food and or beverages onto the premises. We do allow for celebration cakes such as Wedding/birthday cakes with prior notice. In line with health regulations no leftover food is to be taken by guests from Club Macquarie premises.
