TERMS AND CONDITIONS HALL RENTAL Terms and conditions of hall rental are based on a daily rate. Half day or other rates are not considered. ENTERTAINMENT Any proposals submitted to the Hotel do not include entertainment. Entertainment contracts are of the Client s responsibility. If you wish, Hotel may make suggestions or give a referral. In case there is entertainment, Hotel must be informed and approve of entertainment schedule and time limitations must be agreed by both parties. Similarly, Hotel must be informed of all necessary materials used in that respect. CHILDREN All meal services to children, ages 0 to 2 are complimentary. Children 3 to 8 have a 50% discount on contracted adult rate. COAT ROOM This service is available to the client with advance notice. FOOD AND BEVERAGE You may not enter the Hotel with outside food and beverage, only with authorization from management and client s signature. For health safety reasons, you may not take from the Hotel cocktail and buffet previously consumed leftovers, unless you assume complete liability. SERVICE CONFIRMATION Hotel determines final the information give by the client two days before event. If number of people is less than expected, the original number is the one which will be billed. If number of people is more than expected, an adjustment will be made to the billing. Hotel reserves the right to change reserved hall(s) in case the number of people is superior or inferior to the originally agreed number, and if hotel has not been previously notified of hall preference. DAMAGES Hotel reserves the right to bill for any damages incurred to the Hall and its contents during rental period. Damages are the client s responsibilities. ORDERS, PACKAGES AND OTHERS Hotel may receive material to be used in the event, in the name of the client. Delivery must be made at Hotel and be duly identified with the event s name and date, client name/event planner, name of the chosen Hall and a telephone number for contact. Hotel will not accept COD deliveries. All materials and packages must be taken by client at the end of the event. SMOKERS This is a non-smoking Hotel and all designated areas for smorking are outside of the Hotel. CLIENT S BELONGINGS All client belongings must be well identified and closed. If necessary, Hotel can keep belongings as long as there is a previous agreement with the client. SIGNAGE All references to Hotel must include full name of Hotel Açores Atlântico. Hotel has the right to remove any signage, which, due to its size, appearance or location, is not adequate to its position. No signage or decoration can be placed in front of fire extinguishers or emergency exits. RATES AND RETALS Terms of Hall rental are for a daily rental period. Other half day or other rates are not considered. Rates are in Euros, per person/unit, with all applicable current taxes. NIGHT RATE Hotel reserves the right to charge a nightly tax for services that pass midnight. Rate per hour is 200. TELEPHONE All Halls are equipped with a telephone line, and client can request a line or access (fax or internet). Hotel will charge client added services accordingly. DECORATION All services include decoration with fresh flowers appropriate to the event and at no cost to client. Other suggestions will be taken into account and budgeted accordingly. Decorations are the property of Hotel. Howevwr if client wishes, a price may be obtained and negotiated. LOST Hotel is not responsible for the client s belongings or goods, before, during or after events, unless using the Hotel s security service. P.10
