Food Expo Information for Vendors: 1. Hotels used are Wingate by Wyndham - Lafayette Airport, 702 E. Kaliste Saloom Road 337-234-3700 or The Marriott Fairfield Inn in Lafayette, La 337-233-5558. We have rented all available rooms at the Casino. 2. The food expo is at Cypress Bayou Casino, 832 Martin Luther King Road, Charenton, LA 70523. 3. 1200+ people will have pre-registration badges, 500+ of them customers. We believe that we will have 350-450 customers or approximately 700 people at the show, so please plan accordingly. 4. Set up will be on Tuesday, September 12 th, 2017. 5. On September 12 th no later than noon, the truck with dry goods will arrive at the convention center. All dry goods will be unloaded and taken to the appropriate booth. These will be any samples ordered using the getmealticket interface. This is the only way to order samples other than an extenuating circumstance. The only way you can
get additional merchandise would be to go to the warehouse and pick it up. 6. Booths will have two skirted tables and a small trash can. 7. Please break down all boxes. Our staff will come around the aisles and pick up all trash. 8. Ipads will be furnished to every booth for taking orders and there will be several training sessions at a time to be announced later in the afternoon on setup day. A packet containing your badges and any other information regarding usage of the Ipads will be at your booth. 9. Badges must be worn at all times during your set up and during the show and you must have badges for anyone working in your booth. 10. Please enter the side of the building through the door closest to the arena. There is a place in the back of the building to unload a truck and there is also an unloading area near the kitchen. 11. Our refrigerated truck will arrive around 11:00AM on set up day. This will have the frozen and refrigerated items on it. Please come to the truck to take what frozen you need off the truck on Tuesday (9/12/2017) for set up. We know some people slack items out in ice chests, so it will be ready to cook on Wednesday morning (9/13/2017). The truck will be open at 6:00AM on Wednesday morning.
12. All frying will be done in the kitchen. The three fryers in the kitchen are for everyone s use and seven other outlets will be available to plug in 110-20A fryers for brokers and manufacturers. I would suggest you bring a small name card to put by your fryer. These connections have been ordered in advance, and if you haven t ordered one, do not use the plugs in the kitchen. Call me if you have a special need (Gas or larger). 13. There will be two people in the kitchen from Cypress Bayou Casino to help with clean up only. Please do not use them for any cooking or to deliver for you. You will need to supply ALL labor for your booths. 14. Oil will be provided for everyone at the show by Ventura Foods. It is Mel Fry Free or equivalent no trans-fat. We will shut down frying around 3:30PM the day of the show to give the oil time to cool down. 15. Used oil must be poured back into the jugs it came in to throw it away. Be sure to bring a funnel. We will not need to clean the Casino s fryers as arrangements have been made. 16. Grilling, heat lamps, liquid fuel and chafing dishes will be permitted on the floor of the show. If you grill, you will need a fire extinguisher in your booth. No exceptions 17. Larger garbage cans will be at the end of every aisle.
18. At 6:00PM on 9/12, the Pre-Show party for vendors, broker reps, Doerle staff, and Doerle guests will begin. Dress is casual. We use this event to showcase some our finest items. You will have an invitation in your vendor packet. Some of our largest customers and prospects will be there and we are confident this will give you an excellent opportunity to socialize with them in a casual atmosphere. 19. The Cypress Bayou event center will open at 6:00 AM on the morning of the show. This should be enough time for everyone to have all booths prepared and ready to go for a 9:00AM opening. 20. All announcements will be made from the front of the hall in the foyer where registration is located. If you need to locate a sales person or customer, get word to John Romero and he will make an announcement. 21. Water coolers will be located in the four corners of the floor, as well as in the Abita Spring/Kentwood water booth. Note - If you need a restroom break, look for Rick or one of our staff if you don t have someone to spell you. 22. Lemon-X will be doing tea and lemonade in the café area. Folgers will be doing coffee and tea. 23. There will be food available in the café area. 24. Ice is available to those who called in their usages at our truck at no charge. 25. Restrooms are in both foyers in the front of the show floor.
26. At 4:00PM we will announce the close of the show. 27. If you have communicated to us that you would bring gift cards as door prizes, please bring them to John Romero at the front door the morning of the show. We would like to get as many door prizes as possible. We will have some larger door prizes that will be announced during the course of the day. 28. We are asking all the people working at the show as well as our own workers to park in a back lot again this year. We will have buses to bring everyone from the parking area to the casino.
