Meeting Facility and Services General Banquet Information We are delighted you are considering The Doubletree Hotel Houston Downtown as a host hotel for your upcoming event needs. On behalf of our entire staff we would like to thank you for the opportunity! Doubletree s goal is to be the Hotel of Choice for your Catered Events, and we know by delivering the service and product you expect, it is likely you will return and you will tell others about your positive experience. MENUS Please keep in mind our printed menus are suggestions only. Our Catering Specialists and Executive Chef will be happy to custom design a menu especially for you. All food must be purchased through the Hotel. No outside catering is allowed. ALCOHOLIC BEVERAGES The Texas Alcoholic Beverage Commission regulates the sale and service of all alcoholic beverages. The Hotel is responsible for the administration of those regulations. Therefore, all alcoholic beverages must be purchased from the Hotel. AUDIO VISUAL A complete selection of audio visual aids and equipment are available through our in-house audio visual company, Presentation Services. Arrangements may be made through the Catering Office. ROOM ASSIGNMENTS Event rooms are assigned according to the anticipated number of guests and set up requirements. Should these factors change or if for any reason the event space reserved is not available for your event we reserve the right to adjust the room assignment. EVENT POSTING The Hotel will, unless instructed otherwise, post your event in the lobby and on the second floor of the Hotel, as well as outside your meeting room. If the meeting is identified by a name other than what is on the contract, please bring it to the attention of your Catering representative. Organization signs to be used in public areas must be professionally printed and approved by your Catering representative. All signs not authorized by the Hotel will be removed and discarded. DECORATIONS The Hotel is happy to provide you with white table linens. Please consult your Catering representative to obtain any additional colors through an outside vendor at a nominal rental charge. Mirror squares, hurricane globes and tapered or votive candles can be provided at no extra charge. We will be pleased to coordinate the services of vendors specializing in various banquet enhancements such as floral arrangements, ice sculptures, cakes, photographers, musicians and entertainers. GUARANTEED GUEST COUNTS A final guaranteed guest count is due to the hotel by 12:00pm three business days (or 72 hours) prior to your event. Once you have given a guaranteed guest count it can be increased (based on product availability) but is not subject to reduction. We will set and prepare for 3% over the guarantee. If no guarantee is received, the expected number of guests on the banquet event order will be considered the guarantee. You will be charged for the guaranteed number of guests or the number of guests in attendance, whichever is greater. SERVICE CHARGE AND SALES TAX A 23% Service Charge and Texas State Sales Tax will be added to all food and audio visual charges. Beverage prices are subject to Service Charge; State Sales tax is included in the listed price. Meeting Room rental is subject to a 6% public room rental tax. Texas Law states that the Service Charge is subject to State Sales Tax. LABOR CHARGES Changes in room set-up made by the client, client s representative or on-site contact, within 24 business hours will be subject to an additional labor charge. For items requiring a chef attendant, carver, butler, cashier, coat check attendant or bartender, a $100.00 fee will apply per employee. PAYMENT / BILLING Unless you have established credit in advance with us, total estimated charges must be pre-paid by cash, certified check or credit card at least three business days prior to your event or by personal bank check two weeks prior to your event. If you have established credit, payment in full will be due within thirty days of your event. Please note credit cannot be established less than thirty days prior to event. DELIVERIES If you wish to ship materials to the Hotel prior to your event, please plan to have these packages delivered no more than three days prior to your meeting date. Please label the packages with your Catering representative s name, the name of your meeting, and the date of your meeting. You are also responsible for making arrangements for your materials to be returned to your office. The Hotel does not accept any liability for equipment, goods, displays, or other materials that arrive or fail to arrive at the Hotel. The client is responsible for insuring its property for loss or damage. A box storage fee will apply after the fifth package delivered. The fee assessed will be $5.00 per package weighing less than 25lbs and $10.00 per package weighing more than 25lbs. SECURITY AND LIABILITY If required, in our sole judgment, in order to maintain adequate security measures in light of the size and/or nature of your event The Hotel may require security officers for your event. All security must be coordinated through the hotel s Director of Security. The Hotel assumes no responsibility for any loss or damage to property belonging to you or your attendees and does not maintain insurance covering it. PARKING The Hotel offers valet parking for our guests. Event parking is $12.00 per vehicle and the charge can be placed on your master account or guests may pay individually. Parking is subject to availability. OVERNIGHT ACCOMMODATIONS If hotel sleeping rooms are required for your business or social events, please ask your Catering representative about rates.
