1 APPLICATION TO TRADE AT THE ANNUAL SOUTH AFRICAN NAVY FESTIVAL, SIMON S TOWN 17-19 March 2017 The ever popular South African Navy Festival will be held from 17-19 March 2017. During this time the South African public and tourists at large are afforded the opportunity to visit the SA Navy and discover naval associated equipment, facilities and activities within the Naval Dockyard. In previous years the festival has attracted between 80 000 and 120 000 people over the three day period. For the duration of the South African Navy Festival, ships and submarines are open to the public; including various Defence Force exhibits and demonstrations indoors and outdoors. These include precision drill demonstrations, firefighting, dog shows and gun-runs in the fully packed arena. Other events include performances by the SA Navy band, SA Air Force fly pasts, and displays by the South African Special Forces as well as anti-piracy demonstrations in the basin by the Maritime Reaction Squadron. Visitors can relax at the food court; and there is a designated children s play area. Gates open to the public at 10h00 and close at 18h00. We want to provide visitors with a selection of well recognised and good quality food and arts & craft traders which is where you come in! The SA Navy Festival is an amazing trading opportunity and you are invited to help us to make 2017 a festival to remember. As we are continuously striving to improve the festival experience for the visitor and vendor alike, and want to provide a selection of good quality, healthy and wholesome products.
2 The following fees are applicable for 3 days: Service Installation Trading Fee Arts & Craft Shade Cloth - area size 3 x 2.2 m 6 x 2.2 m R3000 R4500 Food & Drink 3 x 3 Shade Cloth Mobile Stall(own), including seating area directly in front of stall R3000 R4500 Entertainment (face painting, trampoline, play area) Provided by trader R1000 p/m² LOGISTICS The SA Navy will ensure that the outdoor stalls are erected by means of scaffolding and shade cloth. The size of the stalls is approximately 3m by 2.2m. The SA Navy will also supply max 3-phase electricity to the stalls, according to specific requirement. No water is supplied to the stalls, but water will be available at certain points. There will be sufficient portable toilets located at designated areas. VERY IMPORTANT: Due to heavy traffic congestion into Simon s Town, stallholders must be set up in the harbour area by no later than 0830 each morning. All stallholder vehicles must leave the exhibition area by no later than 0900 and will be allocated parking. To the newcomers, the area becomes extremely busy and some stalls are far from the gate. If you are late you will have to carry your equipment in by hand. No vehicles will be allowed to park inside the harbour area and no vehicle will drive in the area after 0900. This will be strictly enforced!!! Vehicle passes will be issued which must be presented to the security at the Vendor Entrance Gate.

Successful applicants will be notified by Friday, 10 February 2017 Once the selection process is completed, the stall holders will be contacted and invited to a meeting with the Festival Organisers and local stakeholders who will provide regulations pertaining to trading at a public event. These requirements will be monitored during the Festival and Safety Officials reserve the right to close any traders who are not compliant. Applicants are advised that prior participation in the Festival will NOT guarantee automatic selection for this year s Navy Festival. Application to become a stallholder does not imply automatic selection. All applicants will have an equal chance of being selected and allocated a specific area. Note that this selection process will not be negotiable and that no refunds will be given if a particular trader is unhappy with the placement of his stall. Selected traders will be provided with written contract to be signed and delivered/emailed to the organiser.
4 INDEMNITY All the required measures are taken by the Festival organisers to make the area as safe as possible for both the traders and the visitors, however, no member of the SA Navy, Festival organising committee or member of the SA National Defence Force can be held responsible or liable for damages, injuries, loss or death incurred by a trader or visitor to the Festival, regardless of whether such an incident results from negligence, oversight or an act of God. By applying for a stall at the Festival, you are agreeing to this indemnity and agree not to hold the SA National Defence Force or Festival Organisers responsible in any way for loss, damage, injury or death of you or any person working at your stall. SALE OF COUNTERFEIT GOODS We have received complaints in the past that some of the stalls (especially clothes and toys) are selling counterfeit goods. Hence we will ensure that this year we have representatives from SARS, the SAPS and Military Intelligence to inspect stalls that are selling these items. If stalls are found to have some of these items they will be prosecuted according to law. MISREPRESENTATION OF BUSINESS It has come to our attention that some families apply for more than one stall at the navy Festival under different names. Please be aware that the Navy Festival is a community festival interested in given as many opportunities to people as possible. Should we find out that a family has more than one stall, they will be blacklisted and will not be allowed to trade at the SA Navy Festival again.

6 Beverages you plan to sell. Note that you will only be allowed to sell soft drinks, ice tea, water or energy drinks which are procured from Peninsula Beverages (who will have retailers at festival). Refer to http://www.cocacola.co.za/ourbrands.html for comprehensive Peninsula Beverage list) You may however sell your own hot drinks, smoothies, freshly squeezed fruit juices, homemade milk shakes or any beverage that isn t supplied by Peninsula Beverages. No alcohol allowed. Type of arts and craft stall (be specific e.g. children s toys including balloons, plastic toys and staffed animals; or different types of paintings and other works of art etc).

8 State the amount of gas bottles and their size that you will be using. Note that too many gas bottles pose a fire risk and that we have to comply with regulations of the City of Cape Town Fire Department. Also note that you will be expected to use the gas product of the designated gas supplier for the SA Navy Festival. This will mean that you have to use their gas bottles, and that you will be refunded for any gas not used. It remains your responsibility to acquaint yourself with the bylaws of the City of Cape Town pertaining to the use of gas bottles, their sizes etc. State whether your generator is petrol or diesel and where you will keep your extra fuel. Note that we have to comply with regulations of the City of Cape Town Fire Department with regards to the storage of fuel and gas bottles.
9 Will you be using any electricity at your stall? State the type of electrical equipment that you will be using. Note that all equipment will be checked before the festival starts and any equipment found to be defective will not be allowed to operate. To this end, we require proof of electrical certification.
