1. Definitions piece [pee-ss]: Catering Terms & Conditions In these conditions the following terms have the following meanings: "Piece Catering" the catering division of Ltd "Booking" A booking made for catering via the internet booking system, email or telephone conversation confirmed by an email. a catering ordered from the standard office lunch menu, not including any light bites any catering ordered from the event menu also to include light bites "Price" The price shown on the booking form, or agreed in email "Client" The Person who made the booking or their department. "24 hours" One complete working day. 2. Bookings We are unable to accept verbal bookings unless followed up with an email confirmation. Orders will be confirmed as soon as possible but within 24 hours by email. If you do not receive confirmation within 24 hours please contact the catering team on 0141 445 8845 or catering@pieceglasgow.com as we may not have received your order. Please note that we are only able to process bookings during our office hours 06:00 until 16:00 Monday to Friday (subject to change) Bookings should not be considered confirmed until you receive confirmation via e-mail. Please note that on exceptionally busy days deliveries may be made up to 60 minutes prior to your requested time. Please allow for early deliveries when making your booking. We suggest Clients ordering on behalf of third parties provide them with a copy of the confirmed booking sheet. Orders received by 16:00 will be processed that day and be allocated a delivery slot as per the clients request. Orders received between 16:00 & 06:00 will be processed as normal and allocated a delivery slot as per the clients request in the morning. Orders received after 06:00 up to 09:00 will be processed and allocated a delivery slot by Piece Catering. Orders received after 09:00 should be backed up with a phone call to Piece Catering. Orders are discretionary and will be allocated a delivery slot by Piece Catering. Bookings and final numbers must be received at least 72 hours in advance, or as agreed at the time of booking. Bookings made less than 48 hours in advance may be accepted at the discretion of Piece Catering. We will always attempt to accommodate last minute bookings, but this may result in reduced availability of some menu items and limited delivery slots.
3. Invoicing and Payments Piece Catering operate the following payment terms: - 7 day from date of invoice Exceptions are applicable as we understand organisations operate different payment schedules. This must be discussed and agreed before the first order. Statements will be sent out on a monthly basis. Unpaid invoices will incur interest only after 60 days, unless already agreed. Interest will be charged at the standard 8% plus base rate. Certain events may be required to provide a deposit. This will be agreed at the time of the booking but will usually be 20% of the full invoice amount. If the event is cancelled the deposit will be retuned subject to the cancellation policy below. 4. Cancellation Orders must be cancelled before 06:00 on the day of the catering to avoid being charged Orders cancelled between 06:00 and 09:00 are subject to discretion of Piece Catering Orders cancelled after 09:00 will be charged for the full invoice. Any event catering will have an agreed cancellation timescale which will be set at the time of the booking. However Piece Catering operate as standard the following policy: Cancellations can be made by a client up until 72 hours of the event. Please email catering@pieceglasgow.com. In the event of a full or partial cancellation of a confirmed booking the following cancellation charges will apply: Cancellations made within 72 hours 50% of the expected income Cancellations made within 48 hours 100% of the expected income If an event requires a special purchase order for items that we do not normally stock, or it is above our normal stock holding, the full cost of this item will be charged in the case of a cancellation. When a menu has been ordered some time in advance, we hold the right to change the content or exchange items that maybe no longer available. The cost of bespoke menus may also change without notice. Prices are correct at the time of going to print. However, some adjustment may be made in the event of seasonal variation or shortage. You will be advised at the time of booking.
5. Hours & Staffing Piece Catering operates from 06:00 until 16.00 Monday Friday and 8am 12pm Saturday. Staff charges for service are charged at a discretion during this time. After this time a staff fee will be charged. Evening or weekend events require 5 working days notice. We respectfully reserve the right to refuse any requests that do not reach the Piece Catering office within the notice period. It will be at the discretion of Piece Catering to determine how many staff are required to service an event and the relative charges therein. A staff fee is charged for all weekend events and will be a minimum of 4 hours. These charges are subject to change and discretion. Menu Selection All our menus have been designed to give you a balanced selection. This is based on seasonal availability, ratio of meat, fish and vegetarian, cooking processes and variety of textures. Piece Catering only use the freshest ingredients from nominated suppliers. Our menus are set and changes must be discussed up to 72 hours in advance. Most dietary requirements can be catered for, please state your requirements, including where applicable, the guest's name, when placing your order. Due to the necessary strict requirements we cannot provide Kosher food. We can provide vegan, free from gluten, dairy free, free from nuts and halal specific food. All dietary requirements can be individually served, labelled and set aside from the main delivery if required. We cannot guarantee that our food does not contain traces of nuts. Whilst every effort will be made to produce the exact menu agreed, Piece Catering reserve the right to alter a particular ingredient or item on the menu if it is not available, and replace it with a suitable alternative. Every endeavour will be made to inform the client of any changes in advance. All prices are inclusive of VAT unless otherwise specified. 7. Service Specifications 7a. Tea and coffee Standards Our hot beverages are provided either on a served or self-service basis and include the provision of: Insulated flasks of hot water and piece blend coffee sufficient hot water and coffee is provided to serve each person with two cups. For larger groups we will provide hot water urns A selection of specialty and fruit tea sachets Milk jugs / Fresh milk A selection of sugar sachets Disposable or china cups and saucers, stirrers / teaspoons and a table bin / teabag bowl 7b. Food and Beverages Standards Delivery and Collection Piece Catering will check your order and set out your refreshments discreetly and with minimum disruption to your meeting or event. Please alert us to any specific delivery / collection instructions. As part of your booking you will be supplied with the following as standard: Disposable or china crockery Paper napkins Cutlery and serving utensils if appropriate Labels for all food items 8. Storage When your food has been delivered please endeavour to keep food away from direct sunlight or heat sources, such as radiators and draughts. Piece Catering will not uncover the food unless specifically requested and recommend it is kept covered until it is required to ensure its freshness. Piece Catering advise that no food should be consumed after 2 hours, should anyone wish to consume after this time it is done at their own risk. 9. Deliveries Piece Catering will endeavour to deliver the goods at the time agreed with the Client. If the venue changes the Client must notify the Piece Catering with minimum 24 hours notice. It is the responsibility of the Client making the booking, to check that the room being used is one in which catering is permitted and the location has access via a lift if higher or lower than ground level. Piece Catering can supply hired equipment such as tables, chairs and table linen. These items will incur a further charge to be discussed at the time of order. Should there be no access to the allocated room for delivery, the order will be returned to the Piece Catering. It is the responsibility of the person placing the order to inform Piece Catering if the meeting cannot be disturbed. Boundaries and Charges Piece Catering operates a 3 mile radius from our office in Ibrox. Orders placed outside this boundary may incur a further charge to be discussed at time of order. There is no charge for orders over 20 within logistical operational hours Monday to Friday 09:00 17:00 and Saturday 09:00 12:00. Piece Catering reserves the right to charge for deliveries under 20. This will be maximum of 2 within the specified boundaries. Out of hours and out of boundaries deliveries will incur charges to be agreed on order confirmation
10. Collections We will endeavour to collect all the equipment on the same day or by 14:00 the following day. Please ensure that all items are ready for collection after your event. In line with the Piece Catering s waste disposal and separation policy, all leftover food must be disposed of in the food waste bins provided. All disposable waste must be placed in the recycling bins. All returnable equipment must be left for collection by Piece Catering. Clients are responsible for any loss or damage to equipment. A charge will be incurred if items are not available for collection at the end of your event. Any missing or broken items will be charged at the following replacement rates: China plate 1 China cup and saucer 2 Glass 0.50 Glass jug 2.50 Flask (variety of sizes) 25 60 Salad bowls (variety of sizes) 5 20 Serving utensils not disposable 5 Cutlery 1 11. Quality Assurance As we continually strive to improve the quality of our service we welcome your feedback. From your comments we will be able to improve our service. Environmentally Aware Piece Catering are fully aware of the environmental issues involved in catering. Wherever possible we use recyclable materials or reusable products.
