GENERAL CATERING AND BANQUET INFORMATION AND POLICIES Food and Beverage In-House Catering Services All food and beverage must be purchased from SMG Evansville. To insure compliance with Indiana Department of Health concerning food-handling regulations, all food and beverage must be consumed on the premises during the contracted time. None of the food or beverage (leftover) items will be allowed to leave the facility. Beverage Selection & Services We will be pleased to assist in selecting the appropriate beverages (both alcoholic and non-alcoholic) to complement your menu and event. Standard bar or bartender fees will be assessed according to each event. All alcoholic beverages will be supplied by SMG Catering and must be dispensed by SMG employees in accordance with Indiana Liquor Laws and Regulations. Our alcoholic beverage license requires us to: (1) request proper identification (photo ID with date of birth) of any person of questionable age and (2) to refuse alcoholic beverage to any person who, in our judgment, appears intoxicated. Alcoholic beverages cannot be removed from the building under any circumstance. Food & Beverage Prices Due to fluctuating market prices, our menu prices are subject to change without notice. Menu prices will be guaranteed for a maximum length of 60 days prior to the event. Events less than 50 will be subject to an additional service charge. Guaranteed Attendance A guarantee of attendance is required (7) business days prior to your event. If the number is not received at this time, the estimated number will turn into the guarantee. The guaranteed number is not subject to reduction. However, you may increase in reasonable numbers up to 4 business days from the event date. Increases after the guarantee due date will be accommodated to the best of our ability. Food preparation will be for this guaranteed number of attendance. 2
Food/Beverage Proposal and Agreement The proposal and agreement will detail all services arranged for the event and list all applicable terms and conditions that you acknowledge to have read and understood once you have applied your signature. Please read and review these terms carefully. Deposit and Agreement All functions are required to pay a minimum deposit of 50% of the projected total bill. Such deposit will be due with a signed Food and Beverage Agreement (30) days prior to your event date. The balance of your event must be paid in full (5) business days prior to the event. Any payments received will be forfeited if the client cancels the event less than (5) business days prior to its commencement. Liability SMG Catering along with any of our facilities, reserve the right to inspect and control all functions. Liability for damages to the premises will be charged accordingly. We will not assume responsibility for personal property or equipment brought on to the property. Tasting Policies and Procedures Clients requesting to try SMG Evansville cuisine must contact the Catering Sales Manager to schedule a tasting. SMG will accommodate a tasting at a per person menu price for the meal choices made. Tasting is provided for a maximum of 10 guests. Catering contracts will be issued for the tasting and payment is due up front unless otherwise negotiated by the Catering Sales Manager. A guarantee for guest attendance will be due 7 days prior. Any specialty desserts or hors d oeuvres will need to be ordered 14 business days prior to the meal tasting. Tasting will consist of plated presentation with small portions for each guest(s) to taste. 3
ADDITIONAL CHARGES Service Charge and Sales Tax All services, other than cash sales, are subject to applicable sales taxes (8%) and service charge (19%) of the total food and beverage bill. Special Request and Rentals For the meal functions, we provide a limited selection of tablecloths and coordinated napkins on a complimentary basis. Additional colors, fabric, and floor-length linens are available on a rental basis. Please note that items on a rental basis need to be ordered one month prior to your event date. Once ordered, amounts requested cannot be reduced even if your guaranteed count is lower than the amount ordered. Increasing amounts will be subject to availability and will incur additional charges. Additional Linen All tables where food and/or beverages are served or displayed will have full linen at no additional cost to the client. Only the area(s) not pertaining to food and beverage service will be charged additional fees. Examples of these areas include registration, vendor booths, DJ Tables, photography, etc. Events that do not serve food items (such as dances) will also be charged for table linen. Tablecloths Table Skirting *Pricing for the table skirting is based on limited in-house stock. Rental charges for table skirting are at increased pricing. Our Catering Sales Manager will assist you with current pricing upon request. 4
Place Settings Your meal price will include the following: Full Service China Full Service Silverware Full Service Glassware White Linen Napkins These items are provided for your event of up to 1,000 guests. Guest numbers above 1,000 persons will require the rental of place settings. Our Catering Sales Manager will have current rental prices of these items available upon request. Butler Service Additional catering services such as Butler Service may be arranged through the Catering Sales Manager. Butler Fees per butler (per 100 people) for Beverage and Hors d oeuvres and are subject to increase based on guest guarantee.
