Hotel Policies Food and Beverage Minimum Your event requires a minimum food & beverage guaranteed dollar value that will be discussed with your sales manager. This amount is based upon the date, time, and location of your function. If your expected attendance multiplied times the per person price falls below the minimum dollar value, you may increase your per person price by purchasing additional food and/or beverages, or pay the difference. The above minimum dollar amount does not include taxes, service charges or miscellaneous charges. Food and Beverage Policies All food and beverage must be provided by the Dearborn Inn, a Marriott Hotel or through the Dearborn Inn Marriott approved Ethnic Catering Vendors. All charges are subject to a taxable service charge of 24% and a MI sales tax of 6%. No food or beverage shall be brought into the hotel by patrons or attendees. The sale and service of alcoholic beverages are regulated by the State of Michigan and Wayne County Codes. As licensee the hotel is responsible for administrations of these regulations. All guests will be required, by hotel and the State of Michigan, to provide proper identification when consuming alcoholic beverages. Deposit The first non-refundable deposit due with your signed agreement is equal to 20% of the food and beverage minimum for your event. The remaining deposits schedule is as followed: 30% of the food and beverage minimum for your event is due three months after the signed contract date. 30% of the food and beverage minimum for your event is due six months after the signed contract date. 20% of the food and beverage minimum for your event is due one month prior to the date of your event. The estimated final balance is due five (5) days prior to the event. All deposits are non-refundable and coincide with cancellation fees if the event is to cancel. Overnight Guest Room Accommodations Your Sales Manager can assist you with setting up a room block between 10 and 40 rooms, with a special sleeping room rate exclusively for your event and guests. Rates are based on single and double occupancy. Valet Parking Short term Valet Parking is available for $7 per vehicle. Please see your Event Planner for details.
Hotel Policies (continued) Banquet Services All packages include standard white linen and napkins, skirting, dance floor, risers, tables, glassware, flatware & china and all required buffet service pieces. A labor fee of $500 will be incurred for every hour dinner service is delayed. Additional cleaning fee of $500 will apply to any event that leaves behind debris, décor, or other refuse. All event rooms will be made available two hours prior to the scheduled start time for vendor setup. All event related items must be picked up by the vendor one hour after the event concludes. For any items left behind, $250 per day storage fee will apply. Hospitality Suites The Dearborn Inn is pleased to provide set up service to include small plates, cutlery, glassware, and napkins in hospitality suites. A $150/day set up fee will apply. Event Technology Complete, in-house audio-visual equipment and services are available through our Event Technology Department via your Event Manager. Any outside services are subject to a surcharge. Planning Arrangements Upon receipt of your signed agreement, your event will be assigned to an experienced Event Manager at the Hotel. The Event Manager will contact you within 48 hours after the signed agreement is returned. The Event Manager will assist you with finalizing all aspects of your program details including: guest room block arrangements, food & beverage selections, audio-visual needs, and any other special requirements you may have. The Event Manager will be your primary contact at the hotel. General Arrangements Finalizations should be done no later than 3 months prior to your wedding date. Generally, finalizations will last approximately 1-2 hours and your event manager will work with you to schedule an appointment for this meeting. Please see the Dearborn Inn Wedding Check-list for items that will be discussed at your finalization appointment. Guarantee We need your assistance in making your event a success. We ask that you give a final guarantee of attendance 1-week prior to your event. This date will be specified in your contract as well. This will be your minimum guarantee and is not subject to reduction; it can only increase up to 24 hours before your event. If a final guarantee is not received, we will consider the expected number indicated on the original signed contract to be the guarantee. Your Event Manager will also provide you with a room diagram of your ballroom and the final room diagram with the total amount of guests at each table is also due 1 week prior to your event.
