COS RESTAURANT TERMS AND CONDITIONS Effective from February 2017 Page 1 of 2 1 HIRE OF FUNCTION ROOM/ BOOKING CONFIRMATION FORM Functions being held in the private function room will incur a non-refundable deposit of $30 per person. This fee must be paid to secure your booking and in any case within 7 days of your enquiry, otherwise your booking may be cancelled or given to other guests without further notice. A minimum spend is required for the exclusive use of our private function room and courtyard. Please confirm the details with the Functions Coordinator. The function room will be available for lunch between 12noon and 5pm and dinner from 6pm to midnight. Last drinks will be served thirty minutes prior to guests vacating the premises at the scheduled times above. All functions require catering and beverage consumption. A room hire fee of $44.00 will apply for every 30 minutes (or part thereof) outside designated function times above. 2 PAYMENT METHODS Function deposits will usually be paid by charging the card listed on the Function Booking Form. Alternatively, you can arrange to pay the deposit in person at Cos 18 Leigh by cash or credit card, over the phone with the Functions Coordinator, or we also accept bank transfer or cheques, details as follow: Name of bank: Commonwealth Bank of Australia BSB: 065 000 Account number: 121 001 65 Name on account: 18 Leigh Pty Ltd Whichever payment method is used, Cos must have a standing authority against a nominated credit card to cover any incidentals. 3 CANCELLATIONS/LAST MINUTE BOOKINGS/ CHANGES Cancellation of a function after a deposit has been paid but with not less than 5 days notice will result in that deposit being non-refundable. Cancellations with 4 or less days notice may result in the customer being charged some or all of the remainder of the function fee (depending on food ordered, staff rostered etc). The customer agrees to pay any such amount invoiced without delay. Non-attendance by any booked guests or varying down the numbers booked with less than 4-days notice will result in those persons being charged at the full function rate (as food will have already been ordered and staffing confirmed). Varying down the size of any booking with 5 or more days notice will result in forfeiture of the deposit for those guests but the remainder of the full function fee will not be payable. Making a booking with less than 7 days notice or varying up any booking with 4 or less days notice will result in a 15% premium being payable. Cos does not guarantee that it can accommodate any such requests. Where bookings are given with an estimated number of guests only, it is the customer s responsibility to inform Cos of the final numbers within 7 days of the function date otherwise Cos will use the estimated numbers as the final booking number. 4 TABLE PLANS/RUNNING SHEETS/MENU SELECTION 5 MENU SELECTIONS AND PRICES MAY VARY 6 SETTLEMENT OF ACCOUNT/ DISCOUNTS Unless you have chosen to leave the menu selection to us, you will need to confirm your menu choices and advise us of any special dietary requirements (both health and cultural) that your guests may have, 7 days prior to your event. Please ensure that table plans and any timetables or running sheets are also available for the Functions Coordinator not less than 5 days before your event. Whilst every effort is made to maintain your menu selections and prices, these are subject to change prior to your function if required stock becomes unavailable or costs change significantly. You will be notified before your function of any proposed changes and offered the opportunity agree on alternatives if required. All food/beverages prices quoted are GST inclusive. Payment in full is required prior to or on the day of your function, unless arranged prior with the Functions Coordinator. Any adjustments to the account (say for extra drinks on consumption) are to be settled at the end of the function by cash or credit card. No separate accounts or personal cheques. A surcharge of 1.5% will apply to payments made by Visa or Mastercard and a 2.5% surcharge will apply to payments by AMEX. Where credit card details have been provided as a means of booking your function, we reserve the right to use these details for full payment of any amounts left due unless clear alternative payment instructions have been provided. No discounts will be applied to an account by negotiation on the night of the function. Any discounts offered must be in writing at the time of confirmation to be valid. Any discounts offered will be forfeited if the conditions of offering that discount are not met. Discounts are subject to any minimum spend requirement noted. COS RESTAURANT TERMS AND CONDITIONS Effective from February 2017 Page 2 of 2 7 CATERING/CAKE CUTTING FEE/SERVICE CHARGES Cos 18 Leigh retains the right to provide all catering on its premises. No food or beverage may be brought onto the premises without the prior agreement of the Functions Coordinator. If bringing in a celebration cake, a cake cutting fee of $35.00 applies. Functions will include staffing at the levels determined by the Functions Coordinator. Additional staff may be hired for $44.00 for each 30 minutes (or part thereof) by pre-arrangement with the Functions Coordinator. Cos may agree to accommodate Wine Club functions at reduced rates or under varied conditions. Any such arrangements must be made in writing with the Functions Coordinator. Food spend, number of diners attracted into the restaurant and positive exposure for the restaurant will be key factors in deciding any relaxation of standard function terms or pricing. 8 SET UP & DELIVERY OF EQUIPMENT All deliveries to Cos 18 Leigh, for use during a function should be made by prior arrangement with the Functions Coordinator. Deliveries should be made no earlier than the day before the event, and not between the hours of 12.00pm and 3.00pm. Deliveries should be clearly marked with the name and date of the function. 9 COLLECTING GOODS All goods are to be collected the following working day after 10.00am unless other arrangements are made with the Functions Coordinator. Cos accepts no responsibility for goods left unsupervised on the premises under any circumstances. Please note Cos 18 Leigh is not open during the day on Saturday, all day Sundays or public holidays. 10 EXCESSIVE BREAKAGES/ CLEANING 11 PERFORMER/CREW CATERING The hirer will be charged for any breakages, damage or loss to furniture, glasses, china and cutlery. General cleaning is included in the cost of the function. If cleaning requirements following your function are judged to be excessive, additional cleaning charges will apply. Confetti is not permitted. Meals for band members, production teams, performers, and chauffeurs, can be provided by prior arrangement. Impromptu meals and refreshments will not be provided on the night, without approval from the organising host. 12 CLOSURE OF FUNCTION We are licensed until 12 midnight. Guests will be asked to vacate the function room shortly after.
