FOOD AND BEVERAGE It is recommended that menu selections and contracts be finalized forty five (45) days prior to the function. All food and beverage for events held within the hotel will be exclusively supplied by the COURTYARD BY MARRIOTT OTTAWA. The only exception to this are wedding cakes. The number of guests attending must be guaranteed 72 hours prior to the event. In the event that the hotel has not received a guaranteed number, the last number received by the hotel from the client will be deemed the guarantee. Guarantees for Sunday and Monday are required by noon on the previous Thursday. The hotel will prepare for 5% above this guaranteed number, to a maximum of 20. The client will be charged for this guaranteed number or the actual number of guests served whichever is greater. Menu prices will be confirmed no more than three (3) months prior to an event. All prices are quoted in Canadian dollars, and are subject to change without notice in order to meet increased market costs. However, the hotel will honour all confirmed prices on function contracts signed and returned by the client. All food and beverage events will be subject to a surcharge in the event that minimum guarantees are not met. A labour charge will apply for food and beverage events with less than 25 guests. All prices quoted for food and beverage are subject to applicable provincial and federal taxes as well as a 15% service charge. Food on buffet can only be left out after service for a maximum of 2 hours due to Food Safety Regulations. No liquor service is permitted after 1:00am unless previously arranged. Entertainment should cease at this time in order to vacate all function rooms within 30 minutes. A labour charge of $75.00 may apply for a bartender on a cash bar of host bar if the total net bar sales amounts to less than $350.00.

DIETARY CONSTRAINTS AND FOOD ALLERGIES The hotel is pleased to offer alternative meals for those guests with special dietary requirements. Requests must be made 72 hours prior to the event. In the event that any guest in your group has food allergies, you shall inform the hotel of the names of such persons and the nature of their allergies, in order that the necessary precautions can be taken when preparing their food. DEPOSIT AND PAYMENT A $500.00 deposit is required at the time of booking in order to confirm social events for less than 100 people. For booking of 100 people or more, a deposit of $1,000 is required at the signature of the contract. This deposit is non-refundable. 100% of the estimated amount is due 3 days prior to the event and is payable by cash, certified cheque or credit card. MUSIC For events with either live or recorded music, a SOCAN (Society of Composers, Authors and Music Publishers of Canada) fee for royalties of copyright music will apply. Entertainers must contact the hotel in order to receive instructions on entering the hotel and to make arrangements for set-up. DECORATIONS All decoration materials and items must be of professional nature and are subject to approval. Decorations shall not be posted or nailed or screwed or otherwise attached to columns, walls, floors or other parts of the building or furniture. Confetti, sparklers or any product of similar nature cannot be used on property. The hotel will charge the client for any damage or required cleaning accordingly.

AUDIO VISUAL Any audio visual equipment required for an event must be approved by the hotel. Please note that the preferred audiovisual supplier is Advantage Audio Visual Rentals Ltd. Please contact at (613) 727-9200. COAT CHECK Coat check facilities are available in the meeting rooms. The hotel assumes no responsibility for loss or theft. CANCELLATION In the event of cancellation within nine (9) weeks prior to the function date, the hotel will keep the initial deposit. If the function is cancelled six (6) weeks or less prior to the function, the hotel will keep the initial deposit and a fee equal to the full value of the meeting room rental and food and beverage will be charged.
