CATERING AGREEMENT Event Orders Upon review of your event requirements, a contract will be sent to you to confi rm all the fi nal arrangements and pricing. This contract will serve as part of this agreement and must be signed and returned to process your order. If you do not advise us of any changes on the contract on or before 14 days prior to the event, you agree the contract will be accepted by you as correct and you will be billed accordingly. After the 14 day deadline a limited menu will be available, this menu will also be available during the event for any add-ons. Event day add-ons have a minimum estimated 45 minute delivery time, and are subject to a 20% surcharge. Packages are designed to offer the most comprehensive menu options with the highest value for our guests. As the design of the menu package benefi ts all, substitutions are discouraged. Changes are subject to SUBSTITUTION FEES. If you would like to add items to a package, please review the a la carte menus when considering options. Guarantee Policy Ten (10) working days prior to all events, Americrown requires the client to submit an expected guest count for each contracted area. The expected guest count cannot be reduced during the 10 day period. The fi nal guest count for all events must be submitted to the Catering Department by Noon, fi ve (5) business days prior to the fi rst event date. Tax All federal, state, and municipal taxes which may be imposed or be applicable to this agreement and to the services rendered are in addition to the prices herein agreed upon, and the client agrees to pay for them accordingly. Special Menu Requests Americrown will make every effort possible to fulfi ll special menu requests, including kosher, gluten-free, and vegetarian meals. Should you prefer any of these items or special beverage items that are not included on our menu, please notify us 21 days in advance and we will make every effort to fulfi ll your request. For special occasions, we offer personalized decorated layer cakes for purchase and delivery. Base Price Your hospitality area is generously stocked with everything needed to provide a stress free experience. Items included but not limited to: plates, napkins, cups, corkscrews, knives, forks, spoons, salt and pepper shakers, one hospitality attendant up to 75 guests, smallwares equipment, delivery, and service. If spirits are being served, a bartender will be provided. Base Price is intended to accommodate all service needs and supplies for you and your guests. If additional staffi ng is requested, staff will be billed at $175 per addition. Gratuities Gratuities are at the sole discretion of the client and should be handled at the time of the event. Weather Delays and Cancellations Americrown recognizes weather can play a role in our operation. Our weather policy is as follows: On event days, once the service time has passed, your credit card will be charged for all orders If for any reason an event is rescheduled before service time, we will serve the items that were originally ordered on the rescheduled day If you cannot or choose not to attend the event on the rescheduled day, you will still be charged for all orders Security and Liability To maintain compliance with federal and local laws and regulations, we ask that you adhere to the following: 1. Outside alcoholic beverages prohibited in the hospitality area. 2. It is the responsibility of the hospitality area holder, or their representative, to monitor and control alcohol consumption within the area. 3. Those under the age of 21 are not permitted to consume alcoholic beverages. 4. It is unlawful to serve alcoholic beverages to an intoxicated person. 5. Guests are not permitted to take cans, bottles, or glasses outside the hospitality area. Alcoholic beverages taken outside of the hospitality area must be poured into a disposable cup. Please note, no alcoholic beverages may leave the suite level. 6. During some events, alcoholic consumption may be restricted. 7. Please be sure to remove all personal property when leaving the premises at the end of each event day. Americrown does not accept any responsibility for damage or loss of any merchandise of article left in hospitality area prior to, during, or following your event. Payment Procedures Americrown requires 100% payment prior to the event. A completed credit/order authorization form is required when order is submitted. Charges will be applied to authorized credit cards (5) business days prior to the event. Americrown reserves the right to cancel service of contracted event orders without prior notice, for failure to meet the payment terms stated above. No food or beverages of any kind are permitted into premium areas by the client and/or the client s guest(s) or invitees. Any such occurrence is subject to a charge to the suite holder. Additional items ordered following initial payment will be charged to the credit card on fi le. For any remaining balances not paid as agreed, a monthly late charge of 1.5% of the balance will be incurred, along with any cost of collections, including court costs and/or attorney fees. All non-profi t groups must provide proof of tax-exempt status 501(c)(3) to be exempt from sales tax.
