Welcome Exhibitors Important Information You Should Know Dear Coffee Fest Exhibitors, Thank you for choosing to build your business at Coffee Fest Los Angeles 2018. We know that there are many other opportunities out there vying for your marketing resources and we appreciate that you have faith in Coffee Fest. We are committed to providing the best return on investment for you of any show you could choose to exhibit in. Enclosed is your Exhibitor Show Manual (ESM) which details important information and deadlines you need to be aware of regarding Coffee Fest Los Angeles. Please take a few minutes to read through the material in its entirety and make note of important dates when forms are due. You will receive a personalized electronic version of your discount admission e-coupon which will be emailed to the address provided on your exhibitor registration form. The discount admission e-coupon represents a 50% discount on general admission and is provided for you to invite your best, current and potential customers to see you at the show. In addition to your discount code, we also have Exhibitor Sponsored Attendee Guest Badges. These help make it as easy as possible for your customers and prospects to visit you at Coffee Fest Los Angeles. Details on both options can be found on page 13 of this manual. Please note the following: HOTEL ROOMS Connections Housing is the only travel agency approved to book rooms within the official host hotel room blocks for Coffee Fest Los Angeles. Be aware that others may try to mislead you into thinking they are the official travel agency for Coffee Fest Los Angeles. Please use Connections Housing (855-476-6976) to book your hotel rooms in the room block. The deadline is approaching; be sure to book your rooms soon while supplies last at 855-476-6976. LEAD RETRIEVAL Due to legal issues, attendee email addresses will no longer be included on attendee lists. To assist with the cost of lead retreival, we have negotiated a discount with Registration Control Systems (RCS). RCS is the official lead retrieval provider for Coffee Fest. What s Included with a Booth Booth Information Each Exhibitor is furnished with: One (1) 10 x10 fabric display booth with black carpeting. One (1) 8 high black back drape Two (2) 36 high side dividers. One (1) 6 draped black table (6 x30 x24 ). One (1) wastebasket, with nightly trash removal IF placed in the aisle each evening. One (1) chair. One (1) 7 x 44 exhibitor identification sign displaying your company name. Six (6) Exhibitor Credentials for each 10 x10 booth. Opening Night Reception invitation. Exhibitor listing in the official Coffee Fest Show Guide. Company listed on website at www.coffeefest.com. Personalized discount admission e-coupon to invite your customer to the show. Ware-washing sinks located on show floor for your convenience. Booth Dimensions: Booth decorations and displayed items must fit within each assigned 10 x10 space. The back wall may not exceed 8 high. Allowances up to 12 may be made on an individual basis and must be approved in advance by show management. Signage provided over the 8 limit can only be visible from the exhibitor s side. Sidewalls may be 8 high where the sidewall adjoins the back wall, only for the first 4 along each side of the booth. The remaining 6 running toward the aisle on each side may not exceed 3 tall (see diagram). All signs, banners and displays to be suspended from exhibit hall ceilings in allowed areas must be approved 60 days in advance by show management and may only be hung by the service contractor and building personnel. Island exhibits may not exceed 12 in height. An island exhibit with structural elements that are more than 12 tall must be pre-approved with Coffee Fest in advance. End cap booths may not have a back wall which blocks the adjoining booth side wall. The center 8 only, four foot left and right of center may only be 8 high. The remaining 6 must be no higher than 3 high. Walls adjoining a cross aisle may be 8 high the entire 10 length. 6

Table Top Information What s Included With a Table Top Each Exhibitor is furnished with: One (1) 8 high black back drape. Black carpeting. Table tops must adhere to the same rules and regulations as a booth exhibitor in addition to the following: Exhibitor product and support equipment must fit on or under the 6 table provided. No other freestanding equipment or signage may be included in the Table Top space including any pop-up graphics. However, anything under the table may not be visible to attendees. A banner sign may be included in the Table Top space; dimensions must not exceed 8 high by 6 wide. Your banner or sign may be hung on the pipe and drape back wall provided. 7

Booth & Table Top Information --Continued Maintenance All waste-water must be disposed of by the exhibitor. Waste-water may only be disposed of in the gray disposal/ware washing area located on the show floor. Exhibitors are responsible for cleaning their own booths. Exhibitors can order vacuuming services for booths through the show decorator (see Key Contacts). Booths and Table Tops are NOT vacuumed Sunday morning unless you ve ordered vacuum service in advance. Garbage cans in your booth will be dumped overnight provided you place your can in the aisle in front of your booth at the end of each day. Exhibitors must dump accumulated garbage during show hours. Coffee Fest reserves the right to require exhibitors to modify or remove exhibits not in compliance with show rules. Exhibitor agrees to assume all costs associated with compliance, without recourse to Coffee Fest or its agents. Merchandise & Marketing There will be tables set up near registration at the front of the hall for you to display additional materials at no cost to you. Most attendees walk to these tables to collect literature, flyers and promotional items upon entering and exiting the show. If you are planning to sell merchandise on-site, please bring all display equipment and accounting items you will need to process sales. Be sure to have sufficient change on-hand for cash sales. You may NOT pass out any adhesive backed stickers. A New/Featured Product Preview display will be located adjacent to the exhibition entrance. Presenting your product in the New/Featured Product Preview display case requires separate registration and an additional investment. See form enclosed in the Optional Forms Section. 8

If you are registering a guest, be sure to select this is a guest on the second page and update their company name. This allows a guest to use one of your allotted free passes. Exhibitor Booth Staff: You will be able to register up to 6 booth staff for each 10 x10 booth space or 3 booth staff for each Table Top. Additional booth staff credentials are available at $15.00 per person. If you would like to use your allotted badges for an attendee, please follow the instructions in Step 5 (above). 12

Invite Your Customers to the Show Sponsored Attendee Registration Badges We offer the opportunity for you, the exhibitor, to sponsor an attendee by covering the cost of their admission. For just $15 each, you can purchase registration badges for as many guests as you would like. This small gesture can go a long way in cultivating a long-lasting relationship. Log in, just like you are registering your booth staff badges (see page 12). Click Register Guests under the Register Guests to Attend the Show banner to complete the process for attendees you would like to provide a badge for. Personalized information is required for each guest. Entering your guest s correct email addresses is especially important as the registration confirmation with your guest s unique barcode will automatically be sent to that email address. E-Coupons You will receive a personalized electronic version of a discount admission e-coupon which will be emailed to the address you provide on your exhibitor registration form. The discount admission e-coupon represents a 50% discount on general admission and is provided for you to invite your best, current and potential customers. FOOD & BEVERAGE SAMPLING GUIDELINES LOS ANGELES DEPARTMENT OF ENVIRONMENTAL HEALTH Every exhibitor that plans to sample food and/or beverage must have a valid Community Event/Seasonal Event Permit. The permit is only valid for the specified site, dates, and business or organization. Each permit is limited to one food facility (exhibitor) operated by one owner. Two or more businesses or organizations operating in a contiguous area may not combine their booths for the purpose of obtaining a single permit. To obtain a permit, you must submit a Temporary Food Facility Application and permit fee. The event organizer will be responsible for collecting all applications and permit fees and submitting everything at once to the Department of Health. Each exhibitor will be responsible for sending their application. Please read over the full community event health department requirements (especially as it relates to hand washing and ware washing sinks) HERE. Sampling exhibitors are all required to provide their own hand washing sink. LOS ANGELES CONVENTION CENTER TASTE OF LA by LEVY RESTAURANTS Taste of LA by Levy Restaurants is the exclusive provider of food and beverage operations at the Los Angeles Convention Center. All exhibitors must adhere to the following guidelines: 1. No outside food and beverage can be brought in and consumed in the Center at any time without the written approval of Taste of LA by Levy Restaurants. 2. All arrangements for food and beverage must be contracted directly with Taste of LA by Levy Restaurants. 3. Sampling of food and beverage items is allowed contingent on the following conditions: a. Taste of LA by Levy Restaurants must approve all food & beverage sampling programs in writing. b. Sampling is limited to tradeshow, conventions or food-specific consumer shows. c. Product being sampled must be germane to the exhibitor s line of business. d. Food sample size is limited to 2 oz. portion of pre-packaged food. e. Non-alcoholic beverage samples are limited to 4 oz. portions. f. In accordance to LA County Public Health Department, Licensee and exhibitors are jointly responsible for meeting outlined requirements and securing all necessary license, permits, etc. g. Restrooms, concession stands, and/or facility kitchens may not be used as exhibitor cleanup areas. h. Food and beverage sampling may be subject to applicable receiving, storage, utility and labor charges. 4. Exhibiting firm must provide Levy Restaurants with a Certificate of Insurance showing evidence of Commercial General Liability with an each occurrence limit of $1,000,000 and naming Levy Premium Foodservice Limited Partnership and AEG/Los Angeles Convention Center as additional insured. 16
