Upon receipt of the initial deposit and signed contract, the Herbert University Center will consider the reservation confirmed. Decorating, Setup and Breakdown Clients and/or their decorators will have access to the room to decorate three hours prior to their event time. All decorations must be removed at the conclusion of the reception. Deposits and Payments All deposits are nonrefundable. The payment schedule for weddings is as follows: Initial deposit: room fee Six months prior to event: 50% of total estimated costs One month prior to event: 100% of estimated costs Payments may be made via cash, credit card or money order. Personal checks are not accepted. Any additional costs incurred during the event will be billed to the host at the conclusion of the event. Minimum Requirements All wedding events are required to meet a minimum number of guests. Reserving the Board of Trustees Room requires a minimum of 50 guests; the Grand Banquet Hall requires a minimum of 150 guests. Children are not included in this minimum count. If your final guest count is fewer than the minimum for the room, you will be charged for the minimum.
Please plan accordingly with vendors. You should work through your event coordinator for any arrangements regarding vendors needs, deliveries, set-up and break-down. If you would like additional time to set up your room, an additional fee of a half-day room rental will be charged. Food and Beverage Services The Herbert University Center does not allow any outside catering with the exception of a wedding cake. All alcoholic beverages must be provided by Herbert University Center catering services. No other alcoholic beverages may be brought into, served or consumed on premises. The Herbert University Center staff have the right to refuse beverage service to any guest for any reason. Menu selections are due to your event coordinator three months prior to your event, and a final guest count is due one month prior to your event. Hosts of parties selecting more than one entrée for plated meals must provide an exact count of each entrée and place cards denoting each guest s choice. Kid s Meals Guests under 12 years of age may be served children s meals at a cost of $10 per child. Vendor Meals If you would like your vendors to go through the buffet line or receive a plated meal, please include them in your guest count. Boxed lunch options are available for $11.50 each. Cancellations The initial deposit is nonrefundable. If cancellation is made 30 or more business days from the event, the Herbert University Center will retain the secondary deposit. If cancellation is received within 30 business days of the event, the host will be responsible for payment of the total estimated costs. Additional Information Hosts, please plan to provide the following: wedding officiant (for ceremony), dayof coordinator, wedding cake, decorator, decorations, DJ or other entertainment.
