Catering Policies Minimum Food Requirements Various food & beverage minimums apply for the different ballrooms. Please consult your Bridal Expert for current pricing structures. Food and beverage minimums are not inclusive of service charges, sales taxes, labor charges or any other miscellaneous charges. If the minimum is not met, you may choose to upgrade your menu or bar 30 days prior to your event or the remaining amount will be charged as a room rental. Receptions are for a five-hour time period. Receptions that exceed five hours will be subject to fee. All food and beverages will be provided by the hotel and cannot be brought in from an outside source. A 22% Service Charge is added to all food & beverage amounts listed on our printed materials. A 9% Tax is added to all food & beverage amounts. Bar Services Hosted Bars are charged by the person, based on a package price, or on consumption. Cash Bars are available at a minimum fee to the host and your guests will purchase their own drinks. Hotel Bridal Expert Your Bridal Expert looks forward to meeting with you to assist you & your wedding coordinator with ballroom design, menu selection and event agenda for your special day. The Bridal Expert will help coordinate your vendors the day of your event to ensure that your wedding day goes as planned perfect! Room set up All seating for Three-Course Plated Dinners and Buffet Dinners are set with 72 round tables to accommodate 10 persons each. Set up includes all white table linen and napkins. The hotel staff will set up 3% over your guarantee number, (i.e. should your number of guests be 200 for a plated three- a $75.00 per course meal the hotel will set up for 206). If the request for additional tables is made, table-overset fee will be added to your final bill. We will provide a cake table, guestbook table as well as a gift table. Table Linens and Skirting The hotel provides white linens and napkins. White skirting is used for your cake, gift and guest book tables. Please consult your Bridal Expert for décor ideas for your event or to upgrade any linen. All prices are per person. Wedding Cakes The Hilton Indianapolis North Hotel does allow Wedding cakes to be brought in from an outside vendor. The hotel will provide one round cake table for your cakes. Your bakery vendor must supply cake boxes for any unused cake that is to be taken out of the hotel. Cakes are allowed to be set 2 hours prior to the reception time. The hotel does not take responsibility for any items not returned to your baker. Deposits & Payments An initial non-refundable deposit of 20% of the estimated total is due in order to hold any event space. Thirty days prior to your wedding, a payment in the amount equal to half of your estimated charges is required. Final payment is due 4 days prior to your event. All monies paid will be credited toward your final bill. A credit card must be on file for all events and is used should you exceed your preyour Bridal payment amount on the night of your reception. Overnight Accommodations Should you require overnight accommodations for out of town guests, please advise Expert. The hotel sales departmentt can provide more information including rates and availability over you preferred date(s). To secure a block of rooms, a minimum guarantee of 10 rooms is required. We suggest these arrangements be made as soon as possible to ensure availability. Cancellations Should it be necessary to cancel an event the following liquidated damages will be charged. Any cancellations of your function must be received in writing. More than 90 Days prior to the function, you will be charged 50% of the estimated minimum. 30-89 Days prior to the function, you will be charged 75% of the estimated minimum. 0-29 Days prior to the function, you will be charged 100% of the minimum. This is based on all expected revenues based on your minimum guarantee guest count and our minimum per person menu price. All prices are per person.
